Social sessions
The one-off, without turning it into a recurring class
1st month free. A card is required to start, and nothing is charged until your free month ends. The free profile and free tiers never need one.
TL;DR
- One date, one start time, one duration, and no recurrence to unpick afterwards.
- It carries its own capacity and its own price, independent of anything else on your calendar.
- Free ones are still worth putting through, for the head count and the contact record.
- These fill fast and empty fast, which is why the automatic queue earns its keep here.
- If you find yourself creating the same one every month, that is a recurring class, not this.
A social session is a single, non-recurring event: one date, one start time, one duration. It exists because the alternative - creating a recurring class and then cancelling every session but one - is how one-off events usually get run in software that has no shape for them, and it leaves a mess in the schedule afterwards.
How it is scheduled
You set a single date, a start time and a duration. There is no recurrence to configure and none to unpick later. The session appears in your schedule once, is booked once, and closes.
Pricing and capacity
A social session carries a standard price per session and its own capacity, independent of anything else you run. When it fills, it shows as full and the waitlist activates automatically - which for a social event usually matters, because they fill quickly and then people drop out just as quickly.
Free and paid events
Plenty of social sessions are not about revenue: a member social, a come-and-try day, a season opener. Running them through AllSquads anyway is still worth it for the head count and the contact list - you know who is coming, you can message exactly that group, and the attendees end up in your club's records rather than in a reply-all thread.
Cancellations
The class cancellation policy applies as it does everywhere else: you set the notice threshold and what a player gets if they cancel with at least that much notice, and a cancellation inside the threshold returns no credit. For a one-off with catering or a guest coach committed, a longer threshold than your weekly classes is usually the right call.
How it differs from a group lesson
A group lesson repeats and generates sessions on a rolling basis; a social session happens once. Use a social session for anything with a single date on it - a clinic, a guest coach evening, a tournament warm-up, a club social day. If you find yourself running the same social every month, that is a group lesson with a monthly cadence.
Who it suits
Clubs running social days, come-and-try sessions and one-off clinics, and coaches putting on a guest session or a seasonal event. If your one-offs currently get announced in a group chat and tracked by counting replies, this is the format that replaces that.
Which setup fits you?
You put on one-off clinics, guest coaches and club social days
Good fitExactly what this is for. The alternative most software forces is creating a recurring class and cancelling every session but one, which leaves a mess in your schedule that somebody has to clean up later, usually the week you are busiest.
You want it to repeat monthly without setting it up again
Worth knowingThen this is the wrong format by design. A social session is a single date and does not repeat. Set it up as a recurring class on a monthly cadence and let the sessions generate, rather than fighting a one-off shape into a recurring job.
It is free, so it feels like overkill to put it through a booking system
Worth knowingDepends what you want afterwards. If a head count and a follow-up list are worth anything to you, run it through anyway: you know who is coming, you can message exactly them, and the attendees land in the club record instead of a reply-all thread nobody can search in March.
You have paid a guest coach or ordered catering before the day
Good fitThen give this event a longer notice threshold than your weekly classes. The threshold is set per class rather than per club, so a one-off with real committed costs can demand more warning than a Tuesday night squad without you changing anything else.
What AllSquads is
AllSquads is booking, payments and admin software for sports coaches and clubs. Players find your classes, book and pay online, and get reminded before every session. You get the roster, the money and the contact record in one place, with a payout to your bank every week. It runs term programs, casual classes, camps, private lessons and court hire side by side, so the whole operation is in one system rather than a booking tool plus a spreadsheet plus a payment app.
