One enrolment for the whole block, not ten bookings in a row

1st month free. A card is required to start, and nothing is charged until your free month ends. The free profile and free tiers never need one.

TL;DR

  • One enrolment covers the whole block; you are not selling the same family ten times.
  • Excluded dates come out of the schedule and out of the charge, and Australian public holidays are flagged for you to review rather than remembered.
  • Pro-rata for a late joiner is OFF unless you turn it on, which is the setting people find out about too late.
  • Drop-in can sit on top, so a full block still absorbs the parent who wants one week first.
  • Auto-renew carries a place into the next block on the family's saved payment method.

A term program is a fixed-duration enrolment: a player signs up once for an entire block of sessions with a defined start, end and schedule. It is the standard shape for learn-to-swim, junior coaching pathways and school-term programs - and the one that generic booking tools model worst, because a term is not ten independent bookings that happen to be adjacent.

Building the term

You set the term's start and end dates and the recurring schedule inside it - every Tuesday and Thursday, say - and AllSquads generates every session between those dates on the configured days. You are not entering eighteen dates by hand and you are not discovering in week six that one of them is wrong.

Public holidays and excluded dates

Dates inside the term can be excluded, which is the part that usually breaks in a spreadsheet. Australian public holidays are flagged automatically for you to review rather than left for you to remember. Excluded dates are shown on the class page so families can see them before they enrol, and enrolled players are not charged for them.

Joining mid-term

Pro-rata is a per-class setting, and it is off by default - worth knowing, because with it off a player joining in week four pays the full term price with no adjustment at all. Switch it on and they pay for the sessions actually remaining, calculated at the moment they book and shown to them at checkout as an adjusted price with the session count, so the number is explained rather than just lower.

Drop-in places alongside enrolments

You can enable drop-in on a term class with its own price, typically higher than the equivalent per-session term rate. A drop-in player is booked into one specific session rather than the term, counts against that session's capacity like anyone else, and appears on the roster next to the enrolled players. It is how a full-term class still absorbs the parent who wants one week before committing.

Rolling into the next term

Players can opt in to auto-renew, so their place carries into the next term and their saved payment method is charged automatically. For a program that runs four terms a year, this is the difference between re-selling the same families every term and simply confirming who is not returning. Payment settles into your normal weekly payout either way - a single up-front term payment and instalment-billed terms both land there.

How it differs from a group lesson

A group lesson is booked one session at a time and runs indefinitely; a term program is booked once and has an end. They are not either-or: drop-in is a toggle on a term class with its own price, so one class can take the block enrolment and the player who wants a single week, on the same roster. Choose a term program when you want the commitment, the roster and the revenue settled in advance, and when the schedule has holidays in it that need excluding, and turn drop-in on if casual players should still have a door. Choose a recurring group lesson when nobody commits to a block and the class simply continues.

Which setup fits you?

Your program follows the school terms and always has

Good fit

This is the format built around exactly that. Give it the block's first and last date plus the days it runs, and the sessions between them are generated, holidays and all. The excluded dates are visible to a family before they enrol, which removes the most common pre-term email you get.

Players should be able to come and go week to week

Worth knowing

Then this is the wrong commitment shape, and forcing it will cost you bookings. A block enrolment asks for the whole block. Run recurring group lessons instead, or keep the block and open drop-in on it so the casual player has a door that does not require signing up for ten weeks.

You take enrolments right through the block, not just before it

Worth knowing

Workable, but decide the pro-rata question first, because the default will surprise you. Left off, somebody enrolling in week six pays the full block price with no adjustment. Turned on, they pay for what is left and see the adjusted price with the session count next to it at checkout.

You want next block's roster mostly settled before it starts

Good fit

Auto-renew is how that happens. Families opt in, their place carries forward, their saved card is charged, and your job at the end of a block shrinks from re-selling everybody to confirming the handful who are not coming back.

What AllSquads is

AllSquads is booking, payments and admin software for sports coaches and clubs. Players find your classes, book and pay online, and get reminded before every session. You get the roster, the money and the contact record in one place, with a payout to your bank every week. It runs term programs, casual classes, camps, private lessons and court hire side by side, so the whole operation is in one system rather than a booking tool plus a spreadsheet plus a payment app.
