Athletics club and Little Athletics booking software

Centre nights, event squads and a track that is booked out by four o'clock

1st month free. A card is required to start, and nothing is charged until your free month ends. The free profile and free tiers never need one.

TL;DR

  • A centre is really a dozen sports sharing one facility, all happening at once on a Friday evening.
  • Little Athletics, run by Little Athletics Australia, registers as a season block rather than week by week.
  • Event squads are organised by event group rather than by age, so their rosters cut across the centre nights.
  • The track is in demand from late afternoon, and those hours are sellable rather than given away.

Athletics is really a dozen sports sharing a facility. A centre night runs sprints, jumps and throws simultaneously with volunteers on each event, the squads above it are organised by event group rather than by age, and the track itself is in demand from schools and outside groups every afternoon. Almost every administrative problem an athletics club has comes from those three things competing for the same surface and the same volunteers.

Little Athletics registrations

Little Athletics Australia's centres run the weekly competition that most Australian children encounter athletics through, typically across the warmer months with age groups spanning primary and early secondary school. Registration sold through the club page is paid at the point of booking rather than collected at a desk on the first night, and each registration creates a contact record with its history attached. Where a centre wants families to be able to try before committing, a free trial can be enabled on the program and is limited to one per player per class automatically.

Event squads and specialist coaching

Above the centre night, coaching is organised by event group: sprints and hurdles, middle distance, jumps, throws. Each squad is its own class with its own capacity, coach, price and roster, which is the only sane way to handle a Tuesday where four squads share a track. Squads that are selected can be published invite-only so they never appear in a public search, and a squad that is not running this season can be paused rather than deleted, keeping its bookings and history intact.

The summer and winter split

Most clubs run a track season through the warm months and a cross-country or winter program through the cold ones, with different venues, different volunteers and often different families. Running them as separate programs with their own dates and prices makes the changeover a publishing decision rather than a rebuild. A program's dates that fall on public holidays are flagged for review during setup and can be excluded, and an excluded session is not charged.

Track hire

Schools, running groups and outside coaches want track time, and in most clubs that request goes to a committee member's mobile. Sold as facility hire, track time is booked by date, surface and start time in half-hour increments against live availability, with a member rate for registered athletes and an evening rate separate from a daytime one for the hours under lights. A school that wants the same afternoon every week can set a repeating booking for up to twelve weeks and cancel the series in one action.

Three things sharing one track

The centre night, the squads and the hire all use the same surface and behave differently, which is worth being explicit about before the season starts.

Volunteers, permissions and the committee

An athletics centre is run by more volunteers than almost any other club its size, and giving all of them full access is how mistakes happen. Access ranges from view-only, through managing only assigned squads, to full administration, so an event coordinator sees their own roster and nothing else. Where a centre operates across a track and a winter venue, both run from one account with their own settings and coordinators, and everything still settles into one weekly transfer paid in the week after it was taken, itemised per booking.

Which setup fits you?

Registration night is a queue of parents and a folder of forms

Good fit

Self-service registration removes the night entirely. Families enrol and pay before the season starts, and the person who used to run the table gets to be at the track instead.

You want results, personal bests or event timing here

Worth knowing

None of that exists. Results and timing systems keep the performance record and always will. Registrations, squads, track hire and the money are what move, which is the volunteer load rather than the competition.

Twenty volunteers each run their own event

Worth knowing

Permissions make that workable, but it is worth deciding the shape before the season. Give each volunteer access to their own squad rather than the centre, and the person who leaves in March does not take anything with them or leave anything open.

AllSquads at an athletics centre

AllSquads is Australian software that runs a club's bookings, its payments and its records. An athletics centre uses it to take registrations without a desk on the first night, publish every event squad with its own roster, sell track time to schools and outside groups, limit volunteer access sensibly, and receive one weekly transfer it can reconcile.
