Baseball club, cage and lesson booking software

Tee-ball through the divisions, plus the cage nobody can book

1st month free. A card is required to start, and nothing is charged until your free month ends. The free profile and free tiers never need one.

TL;DR

  • The skill ladder is steep, so a lot of the coaching is one-to-one: hitting, pitching, catching.
  • One-to-one bookings check the coach and the cage together, and offer only slots where both are free.
  • The cage is infrastructure almost nobody else on this site has, and it is sellable by the half hour.
  • Divisions run as their own squads, so the intake and the top division do not share a roster.

Baseball has a steeper skill ladder than most junior sports, which is why so much of a club's coaching is specialist and one-to-one: hitting, pitching, catching. It also has a piece of infrastructure almost no other sport on this list has, the batting cage, which is in demand every evening and is usually booked by asking somebody. Between the entry intake, the division squads and the cage, a club is running three different businesses.

The entry intake

Tee-ball is where most Australian clubs start their youngest players, and it is normally sold as a short weekly run at the front of the season. Set the start and end dates and the evening, and every session is generated with one price for the run. Each registration creates a contact record with its history attached, and where a family is deciding, a free trial session can be enabled on the class and is limited to one per player per class automatically, so a first-timer can come once without anybody tracking it on paper.

Divisions as separate squads

Above the entry intake, clubs run age divisions with different field dimensions and different rules, and each one needs its own capacity, price and roster rather than a shared list with annotations. Divisions that are selected can be published invite-only so trials are not open to public booking, and a division that is not fielding a team this season can be paused, which hides it while leaving its existing bookings and history intact.

Pitching, hitting and catching lessons

Specialist coaching is the format baseball uses more heavily than most sports, and it is a private booking rather than a class. The system checks the coach's availability and the facility's availability at the same time and only offers a slot when both are genuinely free, which is what stops two coaches being promised the same cage. Each duration is priced separately, so a thirty-minute bullpen and a full hour of hitting work carry different prices, and where a coach takes two players for one flat price that can be configured on the durations it applies to. Requests need coach approval by default, with auto-approval available where a coach would rather they just book, and a minimum lead time in hours can be set to stop last-minute requests.

Cage time

Batting cages are the club asset most often wasted, because the booking method is a phone call to a volunteer. Sold as facility hire, a cage is booked by date, cage and start time in half-hour increments against live availability, with a member rate for registered players and an evening rate distinct from a daytime one. A player who takes the same slot every week can set the booking to repeat for up to twelve weeks and cancel the series in one action if their season changes.

Which format for which thing

The three things a baseball club sells behave differently once a player books them, and the differences are the ones people ring up about.

The season, and the money in it

Registrations, lessons and cage hire taken between Monday and Sunday arrive as one transfer in the following week, with an itemised breakdown per booking. Stripe's processing fee is absorbed by AllSquads rather than shown as another deduction, and the figure against a payout counts players rather than bookings. Over the season the dashboard shows revenue, bookings and retention per program, which is how a club finds out whether the cage is subsidising the juniors or the other way around.

Which setup fits you?

Your cage is booked by whoever texts the coach first

Good fit

That is the thing worth fixing this week. Cage time becomes bookable against genuine availability with a members rate if you want one, and the coach stops being the diary for a piece of equipment.

You want pitch counts, statistics or scoring

Worth knowing

None of that exists here. Scoring systems keep the numbers. Lessons, divisions, cage hire and the money behind them are what move, which for most clubs is the administrative half rather than the baseball half.

Your specialist coaches are independent rather than employed

Worth knowing

Common in this sport, and workable, but it changes how the money should be arranged. Decide before you publish whether a lesson is sold by the club or by the coach, because that determines whose account the payment settles into and it is awkward to unwind afterwards.
