Beach volleyball booking and court hire software

Sand court hire, social ladders and coaching, without the phone

1st month free. A card is required to start, and nothing is charged until your free month ends. The free profile and free tiers never need one.

TL;DR

  • Income concentrates into the hours when weather and daylight both cooperate, so the shoulder hours are the real problem.
  • Sand is hired by the hour against genuine availability, with different rates for peak and off-peak.
  • When a session is called off, what the player gets back is the policy you set rather than a decision you make at the time.
  • Public reviews on a venue answer the question a first-time player is actually asking before they book.

Beach volleyball runs on weather and daylight, and a venue's income is concentrated into the hours when both cooperate. Sand courts are hired by the hour, social play clusters into the warm months, and the operator's real problem is filling the shoulder hours and handling the days when the weather makes the decision for everyone. That is a booking and communication problem before it is anything else.

Sand courts sold by the hour

Court hire is the backbone of most beach venues, and it works as a direct facility booking with no coach attached. Players choose a date, a specific court and a start time in half-hour increments, and only genuinely free time is offered. A member rate can sit alongside the casual rate, and a twilight or evening rate can be set separately from the daytime rate, which matters when the six o'clock courts sell out and the eleven o'clock ones do not. A group that plays the same slot every week can lock in a repeating booking for up to twelve weeks and cancel the whole series in a single action.

Social ladders and seasonal leagues

Social beach play tends to be organised as a run of weekly evenings across a summer season, and it fits a term-shaped enrolment: fixed start, fixed end, sessions generated from the weekly pattern, and one price for the block. Where a venue would rather sell it casually, drop-in pricing lets a player buy a single night at its own price and appear on the same roster as the season entrants, counting against the same capacity. Both approaches can run on the same venue page, which is usually what happens in practice.

Coaching on sand

Beach coaching is often one-to-one or a pair, which is a private booking rather than a class. A private lesson checks the coach's availability and the court's availability at the same time and will only offer a slot when both are genuinely free. Prices are set per duration, so a thirty-minute session and a full hour are separately priced, and where a coach is happy to take a pair for a single flat price that can be configured on the durations it applies to. Requests need the coach's approval by default, and a coach who does not want last-minute bookings can set a minimum lead time in hours, which the calendar then enforces.

The weather problem

Beach volleyball loses sessions to weather more than most sports, and how that is handled decides whether players come back. A cancelled session inside the allowed window issues credits to the player's account automatically, with no form to fill in and no refund conversation. If a whole block's dates change, everybody enrolled is notified and given the option to cancel for a full credit within a response window. Cancellation notices are one of the few things that go out by text message rather than email alone, because a cancellation is the message that has to arrive before someone drives to the beach.

Weekend clinics and multi-day programs

A clinic that runs across a weekend is not a weekly class and should not be sold like one. Where the days can be bought separately, the camp format prices the whole program, a week of it, or a single day, and the days do not have to be consecutive, which suits a venue whose sand is only free on certain mornings. Where the program is genuinely one unit because accommodation or meals are attached, it is published as a retreat and sold as a single enrolment with no per-day breakdown offered to the player. Either way capacity applies and a waitlist opens by itself once it is reached.

Reputation, and letting the booking page answer

Players leave a review after a session and the venue replies from its own dashboard rather than chasing a separate review site. The booking page also carries an assistant that handles the routine traffic, which court is free on Saturday afternoon, what a member pays, whether the eight o'clock is taken, so a staff member is not answering the same three questions all summer. Anything not ready to go on sale can be left in draft, invisible to players until it is published, which is useful when a season's schedule takes a fortnight to settle.

Filling the quiet hours

Everyone who books becomes a contact automatically, and an existing list can be imported from a spreadsheet, which means a Tuesday morning with three courts free is a message away from being a Tuesday morning with one. Announcements reach everyone following the venue, and each program gets its own group chat for the people actually in it. The dashboard shows which hours and which formats are earning, so pricing decisions come from the booking pattern rather than a hunch.

Which setup fits you?

Your quiet hours are the difference between a good month and a bad one

Good fit

Off-peak pricing plus a page that is open at eleven at night is most of the answer. The booking that fills a Tuesday afternoon is usually made by somebody who was never going to ring you, and it is made at a rate you set for exactly that slot.

You want the weather forecast to cancel sessions for you

Worth knowing

There is no forecast integration and no automatic weather cancellation. You make the call. What the platform does is make the consequence of the call consistent: everyone booked is told, and the credit follows the policy rather than the conversation.

You run a social ladder over a season

Worth knowing

The entries and the money work here; the ladder does not. Take the season as a block enrolment and keep the ladder wherever you keep it now. If the ladder itself is the product you sell, this covers less of your operation than it does for a venue selling court hours.
