Rugby League junior academy and club software

TL;DR

  • A junior academy is a term-shaped product, and it is set up as one: dates, nights and a single block enrolment.
  • One parent account holds a profile per child, so a family registers every player in one visit.
  • Each age group is its own roster, capacity and coach, which keeps a mixed-age sheet from happening.
  • Registrations, hire and holiday clinics settle into the same weekly deposit.

In New South Wales and Queensland, Rugby League is the winter weekend. A junior academy is often a club's busiest product: dozens of families, a handful of age groups, coaches who are mostly volunteers or part-timers, and a start date that arrives before anyone has finished the registration spreadsheet. AllSquads takes that front end, the sign-up, the payment, the roster and the head-count, and puts it on one page parents can use from their phone.

An academy as a set of term enrolments

A development academy usually follows the school term, so that is how it is built here. Set the start date, the end date and the training nights, and every session is generated from that pattern. Dates that fall on a public holiday can be excluded during setup, with Australian public holidays flagged for you to review, and a family is never charged for a session that does not run. Joining part way through can be priced pro-rata, so a player who arrives in week four pays for what is left, or left off so the full block applies.

  • One enrolment covers the whole term block
  • Excluded dates are shown to families and not charged
  • Pro-rata is a setting on each program, not a rule for the club
  • A later price change applies to new enrolments only

Parent and child registration in one account

Most registrations are a parent signing up a child, often two or three. A parent keeps a single account with a saved profile for each child, and when they book, an attendee step lets them choose which child each place is for. A date of birth on the profile helps match children to age-appropriate programs. Where the club sells memberships per player, the parent picks which child the membership is for, so a family with two players is not forced to pick one.

Age groups kept apart

League is organised in narrow age groups, and a mixed-up roster is a safety conversation nobody wants. Each age group is its own class with its own capacity, price, coach and roster. A selected or invitation-only group can be published invite-only so it never appears in public search, and a group that is not running this year can be paused without losing its history.

Attendance on the night

Each session has a roster showing who is enrolled and who has paid. The coach opens it on their phone, marks attendance as kids arrive, and a printed attendance sheet is there for the club that still wants paper on the sideline. A coach can be given access to only the classes they are assigned, so a volunteer sees their own group without seeing the club's finances.

Member and non-member pricing

A club usually wants its registered members to pay less than a visitor. A membership product applies the member price automatically at checkout, with expiry and renewal handled for you, so nobody types a code and nobody is chased for the difference. The same idea carries to ground hire: a member rate can sit beside the casual rate, with separate daytime and evening pricing.

Payments, and when the money lands

Registrations paid through the club page across Monday to Sunday arrive as one transfer in the following week, with an itemised per-booking breakdown behind it. A club can publish and start taking registrations before its bank details are fully connected; the money accrues and pays out once that is done. For a volunteer treasurer, that is one deposit to check against a roster, not a bank statement of individual parent payments.

When an age group fills, and when the field is closed

Capacity is set per class, and when it is reached the waitlist opens by itself. Waitlisted families are told in the order they joined, with no hold on a spot, and joining a waitlist creates a contact the club can message when a second group opens. If a session is cancelled inside the allowed window, credits go to the player's account automatically, and cancellation notices go out by text as well as email.

Which setup fits you?

Your academy registration runs through a spreadsheet and a group chat

Good fit

That pair is the thing being replaced. Parents enrol and pay in the same step, appear on a roster, and become a contact list the club keeps rather than a list living on one volunteer's phone.

You want draws, results and match records in the same place

Worth knowing

They are not here. Your league keeps them. What comes across is the academy, the registrations, attendance and the money, which is where most of the off-field hours go.

Your club is run by a rotating group of parents

Worth knowing

Create the account in the club's name rather than under one person, so records survive a change of committee, and give each coach access to only their own group.
