Rugby Union club and development program software

For clubs, schools and regional pathways building players from the juniors up

TL;DR

  • A union pathway has several stages, and each one is a program with its own coach, roster and invite list.
  • Skills blocks sell as term enrolments; squads can be kept invite-only.
  • One parent account covers every child, with the child chosen at checkout.
  • Members pay the member price automatically, with no code to type.

Rugby Union in Australia is built around a pathway: a junior at a local club, a school team, a regional development squad, and a senior grade at the end of it. Each stage has its own coach, its own cost and its own list of parents who need to hear from someone. The programs a union club sells around the playing season, skills blocks, development squads and holiday clinics, are where its volunteers lose their evenings. AllSquads is the booking and payment layer for those.

Skills blocks that follow the term

A skills or development block runs for a defined number of weeks, so it is set up as a term enrolment: a start date, an end date, the training nights and one price. Sessions generate from that pattern, and public holidays inside the block are flagged for review and can be excluded so a family is not charged for a session that is off. If the dates of a block change after families have enrolled, everyone enrolled is notified and offered the option to cancel for a full credit within a response window.

Development squads that are not open to everyone

A representative or invited squad is a different product from an open skills block. It can be published as invite-only, so only invited players can see or book it and it stays out of public search. The club decides whether the squad is a single enrolment for the season or sold term by term, and where a club offers a season-long commitment a player can subscribe across every term in one action.

One parent, several children

A union family often has a player in an under-ten side and another in a school squad. A parent holds a single account with a saved profile for each child, and an attendee step at checkout lets them say which child each place is for. Child profiles carry a date of birth, which helps with age-appropriate matching, and a membership sold per player can be bought for the child it is meant for.

Attendance and the coach's roster

The roster for each session shows enrolled players, their payment status and attendance, and the coach marks attendance from a phone. Where a coach is assigned only to one squad, they see that squad and nothing else. Printed attendance sheets are available for sessions where a sideline clipboard still wins.

Rewarding members at checkout

Clubs reward their members, and a membership product does that without anyone entering a code: the member price applies at checkout, and expiry and renewal are handled. Schools and clubs that hire out a training area can set a member rate beside a casual one, with a separate evening price, and let a regular booker repeat a slot weekly for up to twelve weeks.

Getting paid, and keeping the contact list

Everything taken from Monday to Sunday is transferred the following week as one payout with an itemised breakdown, counted in players rather than bookings so it lines up with a roster. Every booking adds the parent as a contact with their history attached, an existing list can be imported from a spreadsheet, and each program gets its own group chat, so a ground change reaches one squad rather than the whole club.

Which setup fits you?

Your pathway runs from a junior club into a school or regional squad

Good fit

Each stage is its own set of programs, so a coach sees only their group and a parent sees only what is open to them. Nothing forces the stages onto one list.

You want selection, teamsheets or results kept here

Worth knowing

They stay with your union. Selection decisions are yours; what is here is the enrolment, the invitation and the payment that follows.

A school controls the ground you train on

Worth knowing

Publish the hours your club controls and leave the school's allocation to the school. Facility hire only offers time that is genuinely free.
