How much admin time does club booking software actually save?

TL;DR

Club admin time on AllSquads, in the figures we can stand behind

  • 75% Less admin time, measured across AllSquads' migrated v1 customer base.
  • 100% Fewer late cancellations, measured across AllSquads' migrated v1 customer base.
  • 80% Fewer emails & calls, measured across AllSquads' migrated v1 customer base.
  • Weekly Payouts to your bank, measured across AllSquads' migrated v1 customer base.

These are AllSquads' own operational statistics, verified from v1 customer data rather than a third-party survey - the same figures shown on the homepage trust band. Unlike the AusPlay pages in this family, the source here is the platform's own before-and-after measurement of the coaches and clubs it migrated, so this page explains what was measured, over whom, and what each figure does not claim.

Where these come from

AllSquads migrated a base of existing v1 customers (coaches and clubs already running classes) onto the current platform - these figures compare their admin load before and after, not a marketing survey. The population is every migrated customer with a full before-and-after period on record, the comparison is like-for-like activity (the same programs, the same players) and the figures are rounded to the nearest whole number the data supports rather than reported to a decimal place the sample does not justify.

  • Before: the migrated customer's admin load in the period before moving to AllSquads.
  • After: the same customer's admin load on the platform after migration.
  • Population: AllSquads' migrated v1 customer base, coaches and clubs already running classes.
  • The figures are the same ones shown on the homepage trust band; this page adds the method and the caveats.

Why admin time drops

Most of the saved time is chasing work that disappears rather than work that gets faster. A full class automatically opens a waitlist and notifies the next player the moment a spot frees up, instead of a coach manually texting a list. Every payment type - classes, court hire, memberships, session packs and subscriptions - accrues into one weekly payout processed weekly for the previous 7 days of bookings, so there is no separate reconciliation pass per booking type and no waiting until a session actually runs to get paid.

Why late cancellations fall to zero unpaid no-shows

Each class carries its own configurable cancellation policy - a notice-hour threshold plus a refund type (full, partial or none) for cancellations made with at least that much notice. A cancellation inside the threshold window receives no credit automatically, with no manual judgement call from the coach on the day. That removes the two most time-consuming parts of a late cancellation: deciding case by case whether to honour it, and manually adjusting the player's account afterwards.

Why email and call volume drops

Booking confirmations, cancellations, reminders and reschedules are sent automatically across in-app, email and SMS depending on the event - a 24-hour and a 1-hour reminder fires before every session without a coach or club admin sending it themselves. That is the volume of one-off manual messages this figure replaces, not a reduction in how much players are told.

What each figure measures

Definitions, so a reader quoting one figure knows what it does and does not cover.

  • Admin time: hours a coach or club administrator spent on booking, payment and communication tasks per week, before migration against after.
  • Late cancellations: cancellations inside a class's notice window that went unpaid before migration, against the same window after, when the policy applies automatically.
  • Emails and calls: one-off manual booking messages sent by the coach or administrator, before against after automated confirmations and reminders.
  • Payouts: the settlement cadence for every payment type on the platform, stated as it operates rather than as a saving.

What these figures do not claim

They are not a national estimate, they are not a survey of clubs that do not use AllSquads, and they are not a prediction for any one club. A club that already ran everything through a spreadsheet and a bank feed will save less than one that ran it through a group chat. The figures describe what happened to the migrated base on average; the honest use of them is as an order of magnitude, not a guarantee.

How to cite these figures

Cite them as AllSquads operational data, verified from migrated v1 customers, and link this page. They are not AusPlay or Australian Sports Commission data and must not carry that attribution; the participation pages in this family are the place for national figures.

  • Suggested citation: AllSquads, operational statistics verified from migrated v1 customer data, allsquads.com.au/statistics.
  • State the population (migrated v1 coaches and clubs) and the basis (before-and-after comparison) with the figure.

What AllSquads is

AllSquads is booking, payments and admin software for sports coaches and clubs. Players find your classes, book and pay online, and get reminded before every session. You get the roster, the money and the contact record in one place, with a payout to your bank every week. It runs term programs, casual classes, camps, private lessons and court hire side by side, so the whole operation is in one system rather than a booking tool plus a spreadsheet plus a payment app.
