Court scheduling

The whiteboard by the clubhouse door, and the phone call to see if Court 3 is free

1st month free. A card is required to start, and nothing is charged until your free month ends. The free profile and free tiers never need one.

TL;DR

Court time on a whiteboard, a WhatsApp group and an invoice, or on AllSquads

  • The whiteboard shows what someone remembered to write; the court calendar shows every class, lesson, hire and block on every court in one day view.
  • Players hire a court online in thirty or sixty minute slots, at standard, member, day or night rates the club set once, and can repeat the booking weekly or fortnightly for up to twelve weeks.
  • A court assigned to a class is blocked for hire during that session, and a hire cannot be confirmed onto a court a class already holds.
  • Blocks for maintenance or events remove a court from the bookable hours instantly, and a relief admin can book a walk-in from the calendar as cash or internal.
  • Utilisation per court and peak hours by day are on the analytics page, so the decision to resurface Court 3 or open Sunday mornings has a number behind it.

Court time is the one thing a club cannot make more of, and most clubs allocate it with a whiteboard, a phone and a volunteer who knows the regulars. Classes, coaching, social nights and casual hire all compete for the same surface, and the collision is discovered on the night. AllSquads puts every court on one calendar, sells the empty hours online at the rates the club sets, and refuses to put a class and a hire on the same court at the same time.

How most clubs schedule courts today

There is a whiteboard, or a laminated grid, by the clubhouse door. The coaching program is written on it in permanent marker and everything else in whatever pen was nearest. A member wanting a court rings the club or the secretary, who checks the board from memory and says yes. Fees are put in an honesty box or transferred later. The social night is assumed to have Courts 1 and 2, the Wednesday squad is assumed to have Court 3, and on the Wednesday the squad moved to Court 1 there is an argument at the gate. When the court is resurfaced, someone tapes a note to the board.

  • The board is the truth only for the people standing in front of it.
  • Casual hire income depends on an honesty box and the secretary's evening.
  • The class timetable and the hire bookings are two separate systems that meet on the court.

Where the whiteboard breaks

A whiteboard runs a two-court club with a fixed program. It breaks with a third court, a second coach, a growing social program or any member who would like to book from home.

  • The double-booking: a hire and a class on the same court at the same time, discovered when both turn up.
  • Empty courts nobody sells: weekday mornings and off-peak evenings sit idle because nobody is at the club to say yes.
  • The honesty box: casual hire income is whatever was left in the tin, and the treasurer cannot tie it to a booking.
  • Members and visitors pay the same: there is no way to apply a member rate or an off-peak rate on a whiteboard.
  • Cancellations by phone: a hire cancelled at the last minute leaves a court empty and a fee to argue about.
  • Maintenance surprises: the resurfacing note falls off the board and a booking lands on wet acrylic.
  • No utilisation data: the committee debates a new court or a lighting upgrade with no idea how full the existing ones are.

Every court, on one calendar

Courts are added with a number and an optional name, a facility type that sets the terminology across the platform, and availability hours per weekday. The facility type matters: a tennis club sees Court Hire, a golf club sees Tee Times and a swim school sees Lane Booking, on the dashboard and on the public profile alike. The court hire calendar is a day view with one column per court showing every hire, every class session assigned to that court and every block, and court bookings also appear on the club's main calendar beside its classes.

Selling the empty hours

Players hire a court from the club's public profile or from Explore, choosing a date, a court, a start time and a duration in the court's slot length, thirty minutes by default or sixty where the club sets it. Pricing is set once: a standard rate, a member rate that applies automatically to active members, day and night rates around a threshold time, optional bands by day of week, and on any band the option to make the slot free for members. A booking that crosses a rate boundary is priced half by half at each band's rate. Players can repeat a booking weekly or fortnightly for up to twelve weeks, paying per occurrence, and cancel one date or the whole future series.

Classes, lessons and hires cannot collide

A court assigned to a class is blocked for hire during each of its sessions. A private lesson checks the coach and a court together before it can be confirmed. When a recurring class is created, every future session is checked against the court and coach schedules and any clashing dates are flagged before publishing; a holiday camp is checked on every camp day and the save is blocked with the day, the class and the time named. A hard conflict, a definite double booking, stops the booking; a partial one, a coach free but their court not, warns the admin, who can resolve it or override it with the override logged.

Blocks, walk-ins and the desk

A court can be blocked for a date range, a full day or a time range with a reason, and the blocked period leaves the bookable slots immediately. From the calendar, an admin or a club coach can book an empty slot for a walk-in: search the contact, toggle the member rate, set the duration and recurrence, and record the payment as already paid, cash or internal for a staff booking. Court hire carries its own cancellation policy, a notice threshold and refund type set per club, evaluated against the slot in the club's own time zone, and a club admin can cancel any hire or series with the player credited and notified.

How full the courts really are

Analytics show court hire bookings by period, the utilisation rate per court as booked hours against available hours, revenue per court, member against non-member hire, and peak usage by hour and by day of the week. That is the evidence for a committee deciding whether to light Court 4, open Sunday mornings, or promote the off-peak slots with a cheaper day rate. Court hire revenue lands in the same weekly payout as classes and memberships, so the honesty box is retired without a second reconciliation.

Where the whiteboard is fine

A two-court club with one coach, a fixed program, no casual hire and members who are always there anyway can run on a board indefinitely. The board stops being fine at the first court a stranger wants to hire, the first evening a class and a hire collide, the first member who asks why they pay the same as a visitor, or the first committee meeting that needs to know how busy the courts actually are.

Which court setup fits your club?

A club with a coaching program and casual hire competing for the same courts

Good fit

Assign a court to each class and the sessions block that court for hire automatically; the empty hours between them go on sale online at the rates you set. The conflict engine keeps a hire off a class's court, and the day view shows the committee both programs on one screen.

Members who expect a cheaper rate, or free courts at quiet times

Good fit

Set a member rate on each band, or mark an off-peak band free for members, and the rate applies at checkout to anyone with an active membership. A tier's facility hire switch decides whether that membership reads court pricing at all, and a free-for-members slot confirms with no card charge.

A golf club or swim school rather than a tennis club

Good fit

Set the facility type and the platform speaks your language: Tee Times or Lane Booking on the dashboard, the public profile and the embed widget. Slot length, rates, blocks and the conflict engine work identically whatever the surface is called.

A club that mostly takes hire bookings at the desk, in cash

Worth knowing

Book them from the calendar's quick-add: contact, member rate, duration, recurrence and cash as the payment method. The hire is on the calendar and in the records without a card charge, and online hire can grow beside it as members discover the profile page. Cash hires count as revenue but are never transferred, because the club already has the money.

Courts owned by a council and run by several user groups

Worth knowing

Each club manages its own courts under its own account, with its own rates and its own calendar; there is no shared allocation across separate clubs. A council or facility that runs the courts directly sets them up once and lets clubs and the public hire the hours it chooses to release, with blocks for the hours it keeps back.

Choose AllSquads for the courts, or keep the whiteboard

Choose AllSquads if

  • A hire and a class have ever turned up to the same court at the same time.
  • Weekday mornings sit empty because nobody is at the club to sell them.
  • The honesty box has ever been the only record of casual hire income.
  • Members and visitors currently pay the same because the board has one price.
  • The committee has debated a new court without knowing how full the old ones are.

Stick with WhatsApp if

  • Two courts, one coach, no casual hire and members who are always there.
  • The program never changes and nobody ever books from home.
  • You are fond of the whiteboard.

Put the courts online in a week

Court hire is a club feature and sits beside your classes from the first day. Add the courts, price the bands, assign the classes, and open the empty hours.

  1. Add each court with its hours

Court Hire, then Manage Courts: number, optional name, facility type and the availability hours per weekday. Choose thirty or sixty minute slots per court.

  2. Set the rates

Standard and member rates, a day and night threshold, any day-of-week bands, and free for members on the bands where you want it.

  3. Assign courts to the classes that use them

In each class's settings, assign its court. The sessions block that court for hire and the conflict engine checks the rest of the timetable against it.

  4. Set the court hire cancellation policy

A notice threshold and a refund type, separate from the class policies, evaluated against the slot in the club's time zone.

  5. Add the blocks you already know about and open hire on the profile

Resurfacing dates, events, closures. Then turn on Court hire in the public profile content settings and the empty hours are on sale.

What to try with your courts in the first week

Everything here is inside the free trial and ends with something you can see on the day-view calendar.

  1. Add two courts with weekday hours and a night rate after six, then hire one as a player at seven.

The checkout shows the night rate, and the hire appears in that court's column on the day view.

  2. Assign a court to a class, then try to hire that court during its session.

The slot is not offered, because the class session holds the court.

  3. Block a court for a resurfacing day with a reason.

The day disappears from the court's bookable slots immediately and shows as a block on the calendar.

  4. Book a walk-in from the calendar's quick-add as cash.

The hire is on the calendar with its payment status shown as cash, and no card charge was made.

  5. Set a fortnightly recurrence on a hire for eight weeks, then cancel one occurrence.

The series shows four bookings, one cancelled, with the rest untouched and the player notified.

Why clubs and coaches run on AllSquads

One platform for the whole operation: bookings, payments, courts, members and messages, built for racquet clubs and the coaches who run them.

  • Every class type on one timetable

Group classes, terms, camps, private lessons, socials, court hire and retreats all live on one schedule, with one roster per session.

  • Every way to pay

Upfront, weekly or monthly subscriptions, drop-ins, memberships, session packs and term instalments, collected online and paid out to your club every week.

  • Court hire with cost splitting

Players book one court or several in a single checkout and split the cost between up to eight people, so nobody chases anyone for their share.

  • A CRM with every channel

Every player and parent has a contact record, and you reach them by email, in-app message, push notification or broadcast. Paid plans add SMS for cancellations, reminders and payment requests.

  • Team scheduling

Coaches set their availability, you assign a head coach to each class, and a substitute takes a single session without rebuilding the class.

  • Admin that runs itself

Reminders go out before a session and before every subscription charge, the waitlist tells everyone waiting the moment a place opens, and cancellations turn into account credit under your own policy.

  • Promo codes and a pro shop

Discount codes at checkout, and a pro shop with member pricing and online or cash sales that land in the same weekly payout.

  • An AI agent on both sides

The Club Agent answers questions about your bookings, members and money from the dashboard, and the Concierge helps players find and book the right class.

  • Analytics you can act on

Revenue, bookings, attendance, court use and member trends, with weekly, monthly, quarterly and financial-year reports you can drill into.

What AllSquads is

AllSquads is booking, payments and admin software for sports coaches and clubs. Players find your classes, book and pay online, and get reminded before every session. You get the roster, the money and the contact record in one place, with a payout to your bank every week. It runs term programs, casual classes, camps, private lessons and court hire side by side, so the whole operation is in one system rather than a booking tool plus a spreadsheet plus a payment app.
