Family accounts
Three children, three classes, one parent, and a roster that says 'Smith' three times
1st month free. A card is required to start, and nothing is charged until your free month ends. The free profile and free tiers never need one.
TL;DR
Family bookings on a WhatsApp group and a surnames spreadsheet, or a family account on AllSquads
- Manually, the parent is a surname in the chat and the children are a guess; on AllSquads, each child is a saved profile with a date of birth, allergies, medical notes and an emergency contact.
- One checkout can enrol several children into several classes, and the confirmation lists every child by name.
- Each child is priced individually, so a member child and a visiting cousin on the same booking pay their own rates, and one child's seat can be cancelled on its own.
- The coach's roster shows the child's name and the emergency contact for that child, not the name of the parent who paid.
- A family membership tier covers a set number of adults and children at one price, and the parent decides who fills the slots.
Junior sport is booked by parents, attended by children and coached by someone who needs to know which is which. The manual version handles that with a spreadsheet of surnames and a coach who learns the faces. AllSquads gives each family one account that holds every child, with the medical notes and emergency contact the coach actually needs, and a single checkout that enrols all of them while the roster shows each child by name.

How most clubs handle family bookings today
A parent messages to say all three children want to do the Saturday program. The coach writes the surname in the spreadsheet three times, asks for the ages by text, and hopes the parent mentions the peanut allergy. Payment is one transfer with the surname as the reference, which the treasurer later splits across three enrolments by guesswork. When the middle child drops out, the refund is worked out from what the parent remembers paying, and the emergency contact for all three is whatever number sent the first message.
- The child exists as a surname, an age typed in a text, and a face the coach learns by week three.
- Medical information is in a chat thread, if it was mentioned at all, and not on the sheet the assistant coach has.
- One transfer covers three children and the accounting behind it is a guess.
Where the surnames spreadsheet breaks
A club can run a junior program on surnames while it is small enough for every coach to know every family. Growth breaks it, and so does the first medical incident.
- The wrong child on the roster: two Smiths, one class, and a coach who cannot tell from the sheet which one is enrolled.
- Medical notes nobody can find: the allergy was mentioned in a message in February and the relief coach in June has never seen it.
- No emergency contact on the day: the only number is the parent who booked, who is at work and not answering.
- Refunds by memory: cancelling one child's place from a three-child transfer means reconstructing what each place cost.
- Sibling pricing applied unevenly: the second-child discount depends on who took the booking and whether they remembered.
- The parent is the only contact: the club cannot see which contacts are parents, so junior programs are marketed to everyone or no one.
- Membership cover is unclear: whether the family membership includes the third child is a question the coach cannot answer at the gate.
One account, every child
A parent's profile has a People I book for section. Add dependant saves a child with their name, date of birth, allergies, dietary requirements, medical notes and an emergency contact; the date of birth and the emergency contact are required, and the parent confirms they have authority to enrol the child. A child always needs their own emergency contact on file before they can be booked into any class, whatever the class settings. Add person saves any other adult the parent books for, a partner or a teammate, with an optional email; if that person later creates their own account with it, the two records are linked without merging.
Several children, several classes, one checkout
When a parent books, each seat lets them pick one of their saved people, and a kids class only ever offers child profiles. Several children can be enrolled into the same class or different classes in one transaction; an Attendee step at checkout lets the parent assign each booking to the right child, and it is skipped automatically when everything is for the parent themselves. The confirmation email lists every child by name with their own session dates and their own amount, and the coach's roster shows each child rather than the person who paid.
Each child priced, and cancelled, on their own
Every attendee on a booking is priced for them specifically. A saved child checks that child's or the account's membership depending on the club's membership model, and a typed guest is matched by name to a club member if one exists, otherwise pays the standard rate; a guest never inherits the booker's own rate just by being on their booking. A parent, a coach or the club can cancel one child's seat without touching the others, and the credit issued reflects what that child actually paid rather than an average across the booking. Every roster, booking detail and email shows each attendee's own amount beside their name.
What the coach sees on Saturday morning
The session roster lists each child by name with their booking status, payment status and attendance, and the emergency contact captured for that child sits next to their name so a relief coach has it without asking. A club can require an emergency contact per class, and the cart prompts the parent inline for any saved person who is missing one, naming exactly who. Attendance is marked per child, and a review prompt goes to the parent a day after attendance is marked.
Family memberships and the Parents segment
A club chooses its membership model: in account mode one membership on the parent gives every child on the account the member rate, and in player mode each child needs their own. A family tier sets how many adults and children one price covers, the parent fills the slots at checkout from their saved dependants, and can change who is covered later from their subscriptions page. On the club side, juniors surface through the Parents segment of Contacts, which counts every contact with at least one child profile, so a junior program can be broadcast to parents rather than to everyone.
Manual vs AllSquads
| Group chat, surnames spreadsheet and one bank transfer | AllSquads | |
|---|---|---|
| Getting paid | One transfer for three children, split by the treasurer's best guess | One checkout, each child's own amount recorded and shown on the confirmation |
| The roster | A surname written three times | Each child by name, with their emergency contact and attendance beside it |
| Cancellations | A refund reconstructed from what the parent remembers paying | One child's seat cancelled alone, credited on what that child actually paid |
| Reminders | One message to the parent about all three, if it is sent | Reminders to the parent naming the class, session and venue address for each booking |
| Member pricing | The sibling discount depends on who took the booking | Account or player membership model, applied per child at checkout |
| Waitlist | The parent asks the coach to squeeze one more in | The parent joins the child to the session's waitlist and is notified in join order |
| Payouts | Three enrolments' worth of money arriving as one line | Every child's booking itemised in the club's weekly payout |
| Records | Allergies in a February text nobody can find | Medical notes, dietary needs and emergency contact on the child's profile, visible on the roster |
Where surnames on a spreadsheet are fine
A single coach with a dozen juniors whose parents are at every session, who know each child's needs by heart and are paid on the day, does not need family accounts. The manual version stops being fine at the first relief coach, the first child with a medical need, the first refund for one sibling out of three, or the first term the program has more children than the head coach can name.
Which family setup fits your club?
A junior program where parents book and children attend
Good fitThis is the reason family accounts exist. Parents save each child once, kids classes only offer child profiles, the roster shows the children, and the emergency contact for each child is on the sheet. Mark the class as requiring an emergency contact if you want the cart to insist on it for every attendee.
Families with a member parent and non-member children
Good fitChoose the membership model that matches your rules. Account mode extends the parent's membership to every child on the account; player mode prices each child on their own membership, so a sibling without one pays the standard rate. Both read the same records; only whose membership is checked differs.
An adult who books for a partner or a friend, not a child
Good fitAdd person covers any other adult the account holder books for, with an optional email and emergency contact but no parental authority step. On an open class each seat can pick one of these saved people or a typed name, and a saved adult who later signs up with the same email is linked to their own account.
A family membership that covers everyone at one price
Good fitSet the tier's composition, the number of adults and children it covers, and the price is the tier's own, never a per-head multiplier. The buyer fills the slots at checkout and every covered person gets the member rate on whatever the tier applies to.
A club that mostly runs adult classes with the odd junior
Worth knowingFamily accounts cost nothing to have: a parent who books one child saves that child once and the roster shows the child. There is no separate junior mode to set up, so the occasional junior is handled the same way as a hundred of them. The Parents segment simply stays small.
Choose family accounts, or keep the surnames spreadsheet
Choose AllSquads if
- A coach has ever been unsure which child on the sheet was the one enrolled.
- A medical note has ever lived in a chat thread rather than on the roster.
- You have ever refunded one sibling out of a multi-child transfer by guesswork.
- A relief coach has ever run a session without an emergency contact for a child.
- You want to market a junior program to parents rather than to everyone.
Stick with WhatsApp if
- One coach, a dozen juniors, and a parent at every session.
- No child in the program has a medical need you have to track.
- Every family pays per child, on the day, and nobody ever cancels one seat.

Move your junior program's families across in a week
Parents set up their own children when they first book, so the switch is mostly sending the link. Import the parents first so the club can message them.
Import the parents as contacts
Contacts, then Import, with the parents' names and emails. Children are not contacts in their own right; they arrive as profiles when each parent books.
Set the class audience and the emergency contact rule
A kids class offers only child profiles at booking. Turn on emergency contact required if every attendee must have one on file before checkout.
Choose the membership model
Memberships, then Settings: account mode for one membership per family, player mode for one per participant. Build a family tier if you sell one.
Send the class link to parents
Each parent adds their children once, with medical notes and an emergency contact, and books all of them in one checkout.
Open the roster on Saturday
Every child by name, with their contact and notes beside them. Mark attendance per child and the review prompt goes to the parent the next day.
What to try with a test family in your first week
All of it is inside the free trial and takes an evening. Each step ends with something a coach could hold on a Saturday morning.
As a parent, add two dependants with different allergies and emergency contacts.
Both children appear under People I book for, and neither can be booked until their emergency contact is saved.
Book both children into a kids class in one checkout.
The Attendee step assigns each booking to a child, and the confirmation lists both by name with their own amounts.
Open the session roster as the coach.
Two children by name, each with their emergency contact, allergies and payment status, and no sign of the parent's name.
Cancel one child's seat from the booking.
That child comes off the roster with credit on their own amount; the other child's place is unchanged.
Filter Contacts by the Parents segment.
The test parent is listed, and the segment count matches the contacts with a child profile attached.
