No-show tracking

The players who said yes and did not come, counted in the coach's head

1st month free. A card is required to start, and nothing is charged until your free month ends. The free profile and free tiers never need one.

TL;DR

Counting no-shows in a notebook and a WhatsApp thread, or on AllSquads

  • In the notebook a no-show is a memory and an unpaid seat; on AllSquads the seat was paid for at booking and the absence is a mark on the roster.
  • Attendance is marked per player from the session roster, by the coach or the club.
  • A late cancellation inside the class's notice threshold receives no credit, so the incentive to cancel early is written into the policy, not delivered in person.
  • Analytics show attendance rate, no-show rate and late-cancellation rate by class and by coach, so the Thursday problem is visible before it becomes a Thursday closure.
  • There is no automatic no-show fee or strike system; the payment at booking and the policy do the work, and the page says so.

A no-show costs a club twice: once in the empty place that someone on the waitlist would have paid for, and once in the coach's time deciding whether to say something. Most clubs track them by feel. AllSquads takes the payment at booking so a no-show is not an unpaid seat, marks attendance per player in a tap, and shows no-show and late-cancellation rates by class so the pattern is a number rather than a grievance.

How most clubs track no-shows today

Six thumbs-up on Sunday, four players on Tuesday. The coach notices, sometimes writes it down, and mostly remembers. The two who did not come had not paid, so the club is out two places it could have filled and the coach has a decision to make about whether to mention it. After a term the coach has a feeling that Thursday is worse than Tuesday and that a couple of families are the problem, but nothing to show the committee except the feeling. Reminders, when they are sent, are a message in the thread on the afternoon of the session.

  • No-shows are unpaid because nobody pays until they turn up.
  • Attendance lives in the coach's memory and occasionally a notebook that stays in the car.
  • The evidence for cutting or moving a class is an impression, not a rate.

Where the notebook breaks

Tracking no-shows by memory works for one coach and one squad whose absences are rare. It breaks when absences are routine, when there is more than one coach, or when the committee asks for a reason.

  • Unpaid empty seats: a no-show who had not paid is a place the club gave away for free to nobody.
  • The waitlist never gets the place: with no cancellation, the player on the list is never told and the seat stays empty.
  • The awkward conversation: the coach is the only enforcement, and enforcement at pickup costs goodwill.
  • No pattern, only anecdotes: the club cannot tell whether the problem is a class, a time slot, a coach or two families.
  • Reminders are a coin toss: attendance tracks whether anyone remembered to post on the afternoon.
  • Reviews and retention are guesswork: nobody knows which players are drifting until they have gone.
  • Two coaches, two notebooks: the assistant coach's count and the head coach's never match.

A no-show is not an unpaid seat

The first thing that changes is not the tracking; it is the money. A place on an AllSquads roster exists because it was paid for at checkout, so a player who does not turn up has already paid for the session they missed. A late cancellation inside the class's notice threshold receives no credit whatever the refund type is set to, and the player sees that outcome in a preview before confirming. The club is no longer out of pocket for the absence and the coach is no longer the collector.

Marking attendance in a tap

From the session detail, Mark Attendance lists every booked player and lets the coach mark each one attended or absent and save. The roster is the check-in: the coach taps each name as players arrive. A coach assigned to cover a single session can mark that session's attendance without access to the rest of the class, and attendance marking stays available on past sessions after the roster has otherwise become read-only.

The rates, by class and by coach

Analytics show the overall attendance rate, attendance by class and by coach, the no-show rate and the late-cancellation rate, alongside capacity utilisation and sessions delivered against sessions cancelled. Drilling into a class gives session-by-session attendance beside its revenue, so the question of whether Thursday should move has a rate behind it. Player retention, the share of players who make a second booking, sits on the same page, because a no-show pattern is often the first sign of a player drifting.

Reminders that arrive before the absence

Every booked player is reminded by email and in the app a day before the session and in the app an hour before, with the class, the coach, the time and the full venue address. Nobody types them and nobody forgets them. A player who cannot make it has the cancel button and the policy in front of them, and a cancellation made in time frees the seat for the waitlist, where the next player is notified in join order.

What no-show tracking is not

AllSquads does not charge an automatic no-show fee, issue strikes or ban a player after a number of absences, and this page will not pretend otherwise. What it does is remove the reason most clubs want those things: the seat is paid for before the session, the late cancel keeps its no-credit outcome, attendance is recorded per player, and the rates are on a dashboard. A coach who wants to act on a pattern has the contact record, the message button and the numbers, and makes the call themselves.

Where the notebook is fine

A squad of regulars who pay for the term up front and come every week does not need no-show tracking; there is nothing to track. The notebook stops being fine when players pay per session, when a class ever has a waitlist, when a second coach takes a session, or when someone asks whether the Thursday class should move and the answer has to be a number.

Which no-show setup fits your club?

Casual classes where players book week to week and sometimes do not come

Good fit

Payment at booking is the fix: the seat is paid whether or not the player arrives, and a late cancellation returns nothing. Set the notice threshold to the point at which you could realistically fill the seat from the waitlist, and let the reminders and the policy do the enforcing.

A term program where families pay up front but attendance drifts

Good fit

The money is already secured, so this is about the pattern. Mark attendance every session and read the attendance rate by class and the retention figure over the term; a child who has missed three in a row is a conversation worth having before re-enrolment, and the contact record has the message button.

A club that wants to charge a no-show fee automatically

Worth knowing

There is no automatic no-show fee. What exists is stronger for most clubs: the seat is paid for at booking, so the no-show has already paid, and a late cancel keeps its no-credit outcome. A club that wants an additional penalty would have to apply it by hand, and most find they no longer need to.

A check-in desk with a queue at the door

Good fit

Open the session on a phone or tablet at the desk and tap each player attended as they arrive: the roster is the check-in list. Anyone who turns up unbooked is added as a walk-in, and attendance can still be marked on past sessions afterwards.

A club with several coaches whose counts never match

Good fit

There is one roster per session and one attendance record on it, whoever marks it. A coach assigned to cover a session can mark that session, the club sees attendance by coach in analytics, and the notebook disagreement ends because there is no notebook.

Choose AllSquads for attendance, or keep the notebook

Choose AllSquads if

  • A no-show has ever been an unpaid seat you could have filled.
  • The coach has ever had to raise absences with a parent at pickup.
  • You have a feeling about Thursdays and nothing to show the committee.
  • Two coaches keep two different attendance counts for the same class.
  • You would like the reminder to go out even on the week nobody remembers.

Stick with WhatsApp if

  • Everyone pays for the term up front and comes every week.
  • One coach, one squad, and absences are rare enough to remember.
  • You would rather not know the rate.

Start tracking attendance properly this week

Nothing needs configuring beyond the class's cancellation policy. Payment at booking and the roster do the rest from the first session.

  1. Publish the class with its real cancellation policy

A notice threshold in hours and a refund type. Cancelling inside the threshold returns no credit, and players see that before they confirm.

  2. Share the booking link

Players book and pay before the session, so every seat on the roster is a paid seat and a no-show is not a loss.

  3. Mark attendance at each session

From the session detail, mark each player attended or absent as they arrive, and save.

  4. Read the rates after a few weeks

Analytics show attendance, no-show and late-cancel rates by class and by coach, with capacity utilisation beside them.

  5. Act on the pattern from the contact record

A player drifting has a booking history and a message button on their record. The decision is yours; the evidence is on the page.

What to try in your first week of attendance tracking

Every step is inside the free trial and ends in something on the roster or the dashboard.

  1. Book two test players into a session, then mark one attended and one absent.

The roster shows each player's attendance beside their paid status.

  2. Cancel a booking inside the class's notice threshold.

The cancellation preview shows no credit, and the seat frees for the waitlist only if there is one.

  3. Open the session on your phone at the court and tap each player attended as they arrive.

Attendance is saved per player and shows in the attendance rate in analytics.

  4. Open Analytics after marking two or three sessions.

An attendance rate and a no-show rate for the class, with sessions delivered against sessions cancelled.

  5. Open the absent player's contact record.

Their booking history with the missed session on it, and a message button to use if you choose to.

Why clubs and coaches run on AllSquads

One platform for the whole operation: bookings, payments, courts, members and messages, built for racquet clubs and the coaches who run them.

  • Every class type on one timetable

Group classes, terms, camps, private lessons, socials, court hire and retreats all live on one schedule, with one roster per session.

  • Every way to pay

Upfront, weekly or monthly subscriptions, drop-ins, memberships, session packs and term instalments, collected online and paid out to your club every week.

  • Court hire with cost splitting

Players book one court or several in a single checkout and split the cost between up to eight people, so nobody chases anyone for their share.

  • A CRM with every channel

Every player and parent has a contact record, and you reach them by email, in-app message, push notification or broadcast. Paid plans add SMS for cancellations, reminders and payment requests.

  • Team scheduling

Coaches set their availability, you assign a head coach to each class, and a substitute takes a single session without rebuilding the class.

  • Admin that runs itself

Reminders go out before a session and before every subscription charge, the waitlist tells everyone waiting the moment a place opens, and cancellations turn into account credit under your own policy.

  • Promo codes and a pro shop

Discount codes at checkout, and a pro shop with member pricing and online or cash sales that land in the same weekly payout.

  • An AI agent on both sides

The Club Agent answers questions about your bookings, members and money from the dashboard, and the Concierge helps players find and book the right class.

  • Analytics you can act on

Revenue, bookings, attendance, court use and member trends, with weekly, monthly, quarterly and financial-year reports you can drill into.

What AllSquads is

AllSquads is booking, payments and admin software for sports coaches and clubs. Players find your classes, book and pay online, and get reminded before every session. You get the roster, the money and the contact record in one place, with a payout to your bank every week. It runs term programs, casual classes, camps, private lessons and court hire side by side, so the whole operation is in one system rather than a booking tool plus a spreadsheet plus a payment app.
