School programs

A term block, run for one school, and kept off your public page

1st month free. A card is required to start, and nothing is charged until your free month ends. The free profile and free tiers never need one.

TL;DR

  • There is no separate school module. This is a block enrolment with two settings that matter.
  • Setting one: the block's dates are the school's dates, not yours.
  • Setting two: the listing keeps it off your public page, which is almost always what you want.
  • Pupil-free days, carnivals and excursions are excluded dates, and excluded dates are not charged.
  • If the school pays rather than the families, the roster still belongs here and the invoice does not.

A school program is coaching delivered in partnership with a school - in curriculum time, as an after-school program, or as a club program that a school's families feed into. On AllSquads it is a term program with two settings that matter: a schedule aligned to the school's term, and a listing that keeps it out of your public class list. Being clear about that is more useful than implying a separate school module, because there is not one.

Run it as a term program

School programs are term-shaped: a fixed block with a start, an end, and a recurring schedule inside it. Set the term's dates to the school's term, configure the days and times, and AllSquads generates every session in the block. That alignment is the whole reason the term format fits here - a school program with a rolling weekly schedule and no end date does not match how a school plans anything.

Holidays, pupil-free days and excluded dates

This is where school programs differ most from a normal term class, and where a spreadsheet goes wrong first. Dates inside the term can be excluded, Australian public holidays are flagged automatically for review, and any other date a school is not running - a pupil-free day, a carnival, an excursion - can be excluded too. Excluded dates appear on the class page, and enrolled players are not charged for them.

Keeping it off your public page

A school program usually should not be publicly bookable, and the listing setting is how you control that.

  • Invite-only - only families you explicitly invite can book, which suits a program offered to one year level or one school
  • Private - anyone with the direct link can book, which suits a link the school distributes in its own newsletter
  • Public - visible to everyone, which is usually wrong for a school program

Who pays, and how

If families pay individually, they enrol and pay like any other term class, and the money settles into your normal weekly payout. If the school pays for the whole cohort, the booking side is still worth running through AllSquads - you get the roster, the attendance and the comms in one place - with the school invoiced separately outside the platform. Deciding which of those two you are doing before you build the class saves undoing it later.

How it differs from a normal term program

Mechanically it is the same format. What differs is that the calendar is the school's rather than yours, the listing is almost always restricted, and the cohort is defined by the school rather than by who finds you. If your school work is just another public term class on your page, those three differences are the ones costing you time.

Who it suits

Coaches and clubs delivering in-school sport, after-school programs, and school-partnership pathways that feed into a club program. If you run several schools at once, running each as its own invite-only term block is what keeps their rosters, schedules and communications from getting mixed together.

Which setup fits you?

You deliver in one school and want its families kept separate

Good fit

Run it as its own invite-only block and it stays separate all the way through: its own roster, its own schedule, its own message list. That separation is the thing that breaks first when several schools are run as one class and somebody messages the wrong year level.

You want the school billed automatically through the platform

Worth knowing

That does not exist, and it is better to know now. There is no school-invoicing or purchase-order flow. If the school is paying for a cohort rather than the families paying individually, the bookings still belong here for the roster and the attendance, and the invoice goes out the way it always has.

The school hands out the link and wants families to self-enrol

Worth knowing

Private listing suits that better than invite-only, but the trade is real. Anybody with the link can book, which is fine for a newsletter going to one year level and not fine if that newsletter gets forwarded. Invite-only costs you the effort of a list and buys you certainty about who is in.

Half your term is school work and half is club work

Good fit

That is the common shape and it works cleanly, because the listing setting is per class. School blocks stay off the public page while your club programs stay on it, out of one account, one calendar and one weekly payout.

What AllSquads is

AllSquads is booking, payments and admin software for sports coaches and clubs. Players find your classes, book and pay online, and get reminded before every session. You get the roster, the money and the contact record in one place, with a payout to your bank every week. It runs term programs, casual classes, camps, private lessons and court hire side by side, so the whole operation is in one system rather than a booking tool plus a spreadsheet plus a payment app.
