AI agents

The questions a club answers forty times a week, answered by an assistant that has read the roster

1st month free. A card is required to start, and nothing is charged until your free month ends. The free profile and free tiers never need one.

TL;DR

Answering every question yourself in a WhatsApp group, or letting the agents answer from the data

  • The dashboard agent answers how-to questions and live ones, such as this week's bookings or who has not paid, from the club's own data, and takes a limited set of actions with your explicit confirmation.
  • The player concierge on Explore, class pages and club pages answers suitability, schedule and policy questions, checks availability in real time, and can start a booking for a signed-in player.
  • The same concierge embeds on the club's own website as a branded chat bubble from one snippet, with full knowledge of the club's classes, prices, coaches and courts.
  • Cancellations, refunds and reschedules are never executed by an agent: it previews the impact and sends you to the page to do it yourself.
  • An email agent and a WhatsApp or SMS agent are planned and not yet available; nothing on this page describes them as working.

Most of a club's admin time is spent answering the same questions: is there room on Saturday, what happens if I cancel, who has not paid for Tuesday, how do I set up court pricing. AllSquads includes two AI agents built on the platform's own features, policies and the club's live data. One sits in the dashboard for coaches and admins; one sits on the club's public pages and its own website for players. This page sets out what each can do, what each asks permission for, and what is not built yet.

How most clubs answer questions today

A parent messages the group to ask whether the Saturday class suits a beginner. The coach answers at nine that night. Another asks about the cancellation policy and is told to check the website, which does not say. The treasurer asks the coach who has not paid for Tuesday and the coach opens the spreadsheet in the car. A new admin asks how court pricing works and is sent a screenshot from someone's phone. Every answer costs a volunteer's evening, and the same answer is given again next week to someone else.

  • The club's knowledge lives in a few people's heads and is dispensed by text.
  • Routine questions arrive at the same speed the club grows, and the answerers do not.
  • Nobody can answer a player who asks at eleven at night except the player who asked last week.

Where answering everything by hand breaks

A small club can answer its players personally, and should. It stops being able to at the volume where the answers are all the same and the evenings are all gone.

  • The unanswered enquiry: a player asks at night, gets no reply, and books somewhere that answered.
  • The wrong answer: a policy question answered from memory, differently by two coaches.
  • The spreadsheet in the car: a data question that means opening the laptop, not the phone.
  • The onboarding tax: every new admin learns the platform from whoever has time to explain it.
  • The website that does not answer: a club site with a phone number and no way to ask anything.
  • The same question, weekly: the cancellation policy explained fifty times a term.
  • The coach as help desk: coaching time spent on how-to questions.

The dashboard agent, for coaches and admins

A sparkle icon in the dashboard header opens the assistant as a side panel, and it is also reachable from a card on the dashboard Home and from quick-action chips on contextual pages. Type a question in plain English and it answers conversationally, with follow-ups. It answers how any feature works, walks through any workflow, explains settings and platform rules, and answers live data questions for the current club: how many bookings this week, which court is busiest, a player's credit balance, a session's roster, revenue for a period, a waitlist position. On a phone it opens full screen from the same icon or the AI Agent tab in the bottom navigation.

What it reads, and what it asks before doing

Read actions need no confirmation: checking a class's availability, listing classes, looking up a player's bookings or credits, checking court availability, previewing a cancellation's refund outcome, finding a waitlist position, opening a roster, listing upcoming sessions, summarising revenue, searching classes, or opening a class or coach profile. Write actions describe what they will do and ask for explicit confirmation first: issuing credits to a player, adding a player to a waitlist, sending a message, creating a draft class, or adding a class to a player's cart. Cancelling a booking or a session is deliberately not executed by the agent: it shows the impact, how many players and what credits are due, and redirects you to the booking or the calendar to complete it by hand.

The concierge, for players

On Explore the concierge appears as a chat bubble; on a class page it is an invitation to ask about that class; on a club profile it is a branded bubble in the club's name and colours. It answers suitability, requirements, schedule and cancellation policy questions, checks class and court availability in real time, makes recommendations from a player's sport, level and location, and guides them through booking. A signed-in player can ask it to book them in, with confirmation. Players do not need to be logged in to ask; booking prompts sign-in. Limits are per conversation rather than a monthly quota: a signed-in player has a dozen messages before being prompted to start fresh, an anonymous visitor a handful before being prompted to sign in, and cached answers to common questions count against neither.

On the club's own website

Settings, then Website Widget, generates a snippet the club pastes into its own site. The concierge then appears there as a branded chat bubble using the club's name and brand colour, with a small Powered by AllSquads line, and has full knowledge of the club's classes, pricing, coaches, court availability and policies pulled live from the platform. A player on the club's website asks a question and books a class without leaving it. The booking widget, a separate snippet, embeds the booking pages themselves alongside it.

What the agents will not tell, and what they keep

An agent only reads data relevant to the current club: its classes, bookings, contacts, credits and court availability, never another club's data or another player's private information. The agents do not disclose fee rates or plan prices to players; those live on the pricing page. Every action an agent takes is logged in the club's audit trail with the agent as the actor and a timestamp. Conversation history is kept for ninety days and then deleted. Signed-in users can rate any reply with a thumb up or down, and down-rated replies are reviewed alongside the questions the agent could not answer. If the agent cannot resolve something, it sends the user to the dashboard page where they can.

What is not built yet

Two further channels are planned and not available: an email agent that would answer inbound player enquiries to a club address automatically, and a WhatsApp and SMS agent that would reply on those channels. Neither exists today, no club address or number is issued, and this page does not describe them as working. Dashboard agent usage is a monthly allowance that varies by plan, with a message top-up available on paid plans; the pricing page has the figures.

Where answering by hand is fine

A club small enough that every player knows the coach personally, whose questions are genuinely about that player rather than about the policy, is better answered by a person, and an agent would be an odd intermediary. The manual way stops being fine when the questions are the same questions, when they arrive when nobody is awake, or when the answer requires data the club would rather not open a laptop for.

Which agent do you actually need?

A club whose website has a phone number and nothing else

Good fit

Paste the website widget snippet. The concierge appears on the club's site in its colours, answers from the club's live classes and policies, and books a signed-in player in. The routine enquiries stop arriving at the secretary's inbox, and the ones that do are the ones that needed a person.

A new admin who does not know the platform yet

Good fit

Ask the dashboard agent how to do the thing. It walks any workflow step by step and explains settings, which is the onboarding a busy club never has time to give. When the answer is a data question, it answers that too, and when it cannot, it links to the page.

A treasurer who wants the agent to reconcile the books

Worth knowing

It will summarise revenue for a period and answer who has not paid; it will not reconcile a bank statement or export a report for you. The Payments and Reports pages do that. Use the agent for the quick question and the pages for the document.

A coach who wants the agent to cancel sessions and refund players

Worth knowing

It will not. Cancellations, refunds and reschedules are previewed by the agent, with the number of players and the credits due, and then handed to you on the calendar or the booking to complete. That is deliberate: an assistant should never move money or cancel a class on its own reading of a sentence.

A club that wants to answer emails and WhatsApp automatically

Worth knowing

Not yet. The email agent and the WhatsApp and SMS agent are planned and not available, and no club address or number exists today. The website widget is the channel that works now; a club that needs email automation should not switch on the promise of it.

Choose the agents, or keep answering by hand

Choose AllSquads if

  • The same policy question is answered fifty times a term.
  • Enquiries arrive at night and go unanswered until morning.
  • Data questions currently mean opening a laptop.
  • Your website cannot answer a single question.
  • New admins learn the platform from whoever has time.

Stick with WhatsApp if

  • Every player knows the coach and every question is personal.
  • The club's questions are few and its evenings are free.
  • You need email or WhatsApp automation specifically, which is not built.

Put the agents to work in a week

Both agents are part of the platform. The dashboard one is already there; the concierge is on your club page already and reaches your own website with one snippet.

  1. Open the dashboard agent and ask it something you would have texted someone

The sparkle icon in the header. Start with a how-to question, then a live one about this week's bookings.

  2. Publish the club profile

The concierge on the club's profile page answers from the published classes, courts and policies, so they need to be live.

  3. Generate the website widget

Settings, then Website Widget: copy the snippet and paste it into the club's site. The bubble takes the club's name and brand colour.

  4. Set the class pages up properly

A concierge answer is only as good as the class's description, level, schedule and cancellation policy. Fill them in and the answers follow.

  5. Rate the replies for a week

Thumb up or down on any reply. Down-rated replies and unanswered questions are reviewed, which is how the agents get better at your club.

What to try with the agents in your first week

Everything here is inside the free trial and ends with an answer, a draft or a preview you can see.

  1. Ask the dashboard agent how many bookings you have this week.

A figure for the current club, from the same data the Bookings tab shows.

  2. Ask it to create a class for Tuesday evenings.

It describes the draft it will create and asks for confirmation; the draft appears in Classes once you confirm.

  3. Ask it to cancel a session with bookings on it.

A preview of the players affected and the credits due, and a link to the calendar to do it yourself; nothing is cancelled.

  4. As a signed-out visitor, ask the concierge on a class page whether it suits a beginner.

An answer from the class's own description and level, with no sign-in required to ask.

  5. Paste the website widget snippet into a test page and ask it about court availability.

A branded bubble in the club's colours answering from the live court calendar.

Why clubs and coaches run on AllSquads

One platform for the whole operation: bookings, payments, courts, members and messages, built for racquet clubs and the coaches who run them.

  • Every class type on one timetable

Group classes, terms, camps, private lessons, socials, court hire and retreats all live on one schedule, with one roster per session.

  • Every way to pay

Upfront, weekly or monthly subscriptions, drop-ins, memberships, session packs and term instalments, collected online and paid out to your club every week.

  • Court hire with cost splitting

Players book one court or several in a single checkout and split the cost between up to eight people, so nobody chases anyone for their share.

  • A CRM with every channel

Every player and parent has a contact record, and you reach them by email, in-app message, push notification or broadcast. Paid plans add SMS for cancellations, reminders and payment requests.

  • Team scheduling

Coaches set their availability, you assign a head coach to each class, and a substitute takes a single session without rebuilding the class.

  • Admin that runs itself

Reminders go out before a session and before every subscription charge, the waitlist tells everyone waiting the moment a place opens, and cancellations turn into account credit under your own policy.

  • Promo codes and a pro shop

Discount codes at checkout, and a pro shop with member pricing and online or cash sales that land in the same weekly payout.

  • An AI agent on both sides

The Club Agent answers questions about your bookings, members and money from the dashboard, and the Concierge helps players find and book the right class.

  • Analytics you can act on

Revenue, bookings, attendance, court use and member trends, with weekly, monthly, quarterly and financial-year reports you can drill into.

What AllSquads is

AllSquads is booking, payments and admin software for sports coaches and clubs. Players find your classes, book and pay online, and get reminded before every session. You get the roster, the money and the contact record in one place, with a payout to your bank every week. It runs term programs, casual classes, camps, private lessons and court hire side by side, so the whole operation is in one system rather than a booking tool plus a spreadsheet plus a payment app.
