Online payments
Every way a player can pay, and every way a club can record it, in one place
2 months free. A card is required to start, and nothing is charged until your 2 free months end. The free profile and free tiers never need one.
TL;DR
Taking payment by invoice, bank transfer and a WhatsApp reminder, or online through AllSquads
- A transfer arrives whenever the player remembers, with a reference that may say nothing; an AllSquads booking exists only once the card payment has succeeded.
- Players pay by credit or debit card, Apple Pay, Google Pay, Stripe Link or a saved card, with any club credits applied first and a promo code entered on the cart.
- If the card needs bank verification, the challenge appears inline at checkout and the booking waits for it; there is no pretend-success state.
- Two emails follow: a Stripe receipt that is the card proof, and an AllSquads confirmation that is the itemised record, listing every attendee, session and amount and the booking fee with its GST.
- For everything else there are payment links that expire, a QR code to collect at the court, and cash, free or already-paid marking on a manual booking.
Taking money is the part of club admin that goes wrong most expensively, because a bank transfer with a first name as the reference is a debt to reconcile rather than a payment. AllSquads runs every checkout through Stripe's payment element, confirms a booking only when the payment has actually succeeded, sends a receipt that itemises what was paid for, and gives the club a way to record the cash and the exceptions so nothing is outside the system.

How most clubs take payment today
Players are given the club's bank details, or the coach's, and asked to transfer. Some pay before, some after, some in cash on the day into a tin. The reference is a first name, a child's nickname or blank. A spreadsheet has a paid column that the coach updates when they think of it. A receipt is a text saying thanks. A refund is another transfer, out, from the same account, with a note in the margin. When a parent wants to know what they paid for the term, someone searches the bank feed.
- Payment and booking are two events that happen on two days and are matched by hand.
- Card processing means a personal card reader, a personal account, or nothing.
- A receipt is a favour rather than a document.
Where transfers and the tin break
Bank transfers work for a dozen families the coach can name. They break with a stranger, a dispute, a refund or an accountant.
- The unmatched transfer: money in the account with no booking to attach it to, carried as a mystery.
- The unpaid booking: a name on the roster whose transfer never came, discovered at the door.
- No receipt to point at: a parent disputes an amount and the only record is a bank line.
- Refunds out of the club account: cash out against cash in for the same booking, in different months.
- Cash in a tin: counted late, banked later, tied to nothing.
- Cards impossible: a visitor with no bank app and no cash cannot pay at all.
- The accountant's question: which transfers were which supply, answered with a shrug.
One checkout, every payment method
Checkout uses Stripe's payment element, so card details are entered into a Stripe-hosted frame and never touch AllSquads. It accepts credit and debit cards, Apple Pay where the browser can offer it, Google Pay, Stripe Link, and saved cards a player has added under their account for one-click and off-session charges such as memberships and class subscriptions. Any club credits the player holds are applied automatically first, oldest expiry first, and a promo code from the club is entered on the cart page before payment. Which wallets appear depends on the player's device and browser; the checkout only offers Apple Pay when it can actually work.
A booking is confirmed only when the money is
If a player's card requires bank verification, the challenge is shown inline as part of the checkout step and must be completed before the booking exists. A booking is never confirmed optimistically: it waits for Stripe to report the payment succeeded. For a booking that needs the coach's approval, the payment is taken and held until the coach decides, and a decline credits the class price in full. A player using a class's free trial session pays nothing and is limited to one trial per class.
Two emails, two jobs
A card payment produces two emails. Stripe's receipt is the card proof: it shows the amount charged, and it also opens from the receipt link under a payment in the club's transactions. The AllSquads confirmation, by email and as the in-app receipt, is the itemised record: one section per attendee and class with the session date, time and that attendee's own amount, then a payment table with the subtotal, the player's booking fee showing the GST it includes, any credits applied, the total charged, the card used and the reference, and its lines always add up. The platform's business number appears on the booking fee line once the fee is large enough to need a tax invoice.
Payment links, QR collect and the tin
For a booking outside the standard flow, a club generates a payment link for an amount and a description and shares it; the player pays without an AllSquads account. A link stops working a day after it is sent and, if still unpaid after two days, releases the seat it was holding back to the class. For face-to-face payment, the Collect action on an unpaid booking shows a QR code that opens a Stripe payment for that exact amount, and the booking flips to paid once Stripe confirms. A coach adding a player by hand records the payment as cash, free, already paid or send link, and a cash player shows as owing until the cash is marked collected.
Vouchers, subscriptions and memberships
A class can accept a government kids sport voucher, entered at checkout; the voucher covers the class price first, any remainder is charged to a card on the spot, and the booking sits pending until the coach redeems the code on the government portal and confirms it, releasing automatically after seven days if not. Weekly and fortnightly class subscriptions and recurring memberships bill a saved card each period, with a reminder before each subscription charge and a notice on failure. Every payment type lands on the platform's Stripe account and settles to the club in one weekly transfer.
What the fees are, and where to read them
Two fees exist and two different people pay them: a booking fee the player pays at checkout, itemised before they pay and shown on their receipt, and a platform fee the club pays at payout, set by its plan. The rates are published on the pricing page and are not repeated here, because they change with the plan and a page that quoted them would go stale. What does not change is the shape: the club's payout is the class price minus the club's own fee, and the player's fee never touches it.
Manual vs AllSquads
| Bank transfers, a tin and a paid column | AllSquads | |
|---|---|---|
| Getting paid | Whenever the player remembers, with a first name as the reference | Card, wallet, Link or saved card at checkout; the booking exists once the payment succeeds |
| The roster | Names whose transfers may or may not have arrived | Every booking paid, pending approval, awaiting cash or awaiting a link, labelled |
| Cancellations | A transfer back out of the club account | A club-scoped credit applied automatically to the player's next booking |
| Reminders | A text asking for last week's money | A reminder before each subscription charge; nothing to chase on a paid booking |
| Member pricing | A different amount the member is trusted to transfer | The member rate applied at checkout before the payment is taken |
| Waitlist | The offered player pays if they turn up | The waitlisted player pays at booking like everyone else |
| Payouts | Money in three accounts and a tin | Every payment type on one platform account, settled weekly to the club |
| Records | A bank line and a thank-you text | A Stripe receipt, an itemised confirmation and a transaction the club can open |
Where transfers are fine
A single class of long-standing families who pay the same amount on the same day, to a club that never refunds and never has a visitor, can run on transfers. The tin stops being fine at the first stranger, the first dispute over an amount, the first refund, or the first receipt someone needs for their own records.
Which payment situation is yours?
A club that has never taken cards
Good fitPublish a class and players pay by card, wallet or Link from the first booking; no card reader, no merchant account and no personal device involved. Stripe Connect is needed to receive the weekly payout, not to take the payment, so the club can start before its bank is connected.
A club where some families will only pay cash
Good fitAdd them by hand as a cash booking and mark the cash collected when it arrives; they show on the roster, count as revenue and never appear in the transfer. The QR collect option on an unpaid booking is the halfway house: the parent pays by card at the court in the time it takes to scan.
A club that issues invoices for irregular amounts
Good fitA payment link carries an amount and a description and is paid without an account. It expires after a day and releases any held seat after two, so an unpaid link never blocks a class. For a regular class the standard checkout is simpler and produces the itemised confirmation.
A club whose players want refunds to their card
Worth knowingRefunds are issued as club-scoped credits, applied automatically to the player's next booking at the club, not as card reversals. A cash refund to a card is exceptional and handled by AllSquads support, not from the club dashboard. A club that must refund to card routinely should know that before switching.
A program funded partly by government activity vouchers
Worth knowingTurn on voucher acceptance per class. The player enters the code at checkout, any remainder goes on a card, and the booking waits for the coach to redeem the code on the portal and confirm it. AllSquads does not integrate with the portal itself; the coach redeems there and pastes the reference back.
Choose online payments, or keep the transfers
Choose AllSquads if
- You have ever carried a transfer you could not attach to a booking.
- A parent has ever disputed an amount and you had only a bank line.
- A visitor has ever been unable to pay because they had no cash.
- A refund has ever gone out of the club account by transfer.
- The accountant has ever asked which transfer was which.
Stick with WhatsApp if
- A dozen families, one amount, one date, and never a visitor.
- The club never refunds and nobody needs a receipt.
- Cash in a tin is the club's tradition and it balances.

Take the first card payment this week
There is nothing to install and no merchant account to open. Publish a class, share the link, and connect the club's bank when you are ready to receive the payout.
Publish a class with its price
The class wizard sets the price, any member price and the cancellation policy. The checkout takes card, wallet and Link from the first booking.
Share the class link
Players book and pay from their phone and receive a Stripe receipt and an itemised confirmation.
Decide how cash is handled
Cash players are added by hand and marked collected, or shown the QR code to pay by card on the spot.
Create promo codes if you run discounts
A code word, a value, an audience and an expiry; players enter it on the cart page before paying.
Connect Stripe to receive the weekly payout
Settings, then Payments, then Connect Stripe. Payments taken before this is done accrue and pay out once it is.
What to try at the checkout in your first week
Everything here is inside the free trial and ends with a receipt, a roster status or a transaction you can open.
Book a class as a test player and pay by card.
Two emails arrive: a Stripe receipt and a confirmation listing the attendee, the session and the amount, with a payment table that adds up.
Issue the test player a credit, then book again.
The credit is applied at checkout automatically and the charged amount drops accordingly.
Create a promo code and enter it on the cart page.
A promo discount line appears and the total is reduced before payment.
Add a walk-in by hand as cash, then use Collect on the row.
A QR code opens a Stripe payment for the exact amount, and the booking flips to paid when it is scanned and completed.
Generate a payment link for an odd amount and open it in a private window.
The link pays without an account, and a day later the same link shows an expired page.

Why clubs and coaches run on AllSquads
One platform for the whole operation: bookings, payments, courts, members and messages, built for racquet clubs and the coaches who run them.
Every class type on one timetable
Group classes, terms, camps, private lessons, socials, court hire and retreats all live on one schedule, with one roster per session.
Every way to pay
Upfront, weekly or monthly subscriptions, drop-ins, memberships, session packs and term instalments, collected online and paid out to your club every week.
Court hire with cost splitting
Players book one court or several in a single checkout and split the cost between up to eight people, so nobody chases anyone for their share.
A CRM with every channel
Every player and parent has a contact record, and you reach them by email, in-app message, push notification or broadcast. Paid plans add SMS for cancellations, reminders and payment requests.
Team scheduling
Coaches set their availability, you assign a head coach to each class, and a substitute takes a single session without rebuilding the class.
Admin that runs itself
Reminders go out before a session and before every subscription charge, the waitlist tells everyone waiting the moment a place opens, and cancellations turn into account credit under your own policy.
Promo codes and a pro shop
Discount codes at checkout, and a pro shop with member pricing and online or cash sales that land in the same weekly payout.
An AI agent on both sides
The Club Agent answers questions about your bookings, members and money from the dashboard, and the Concierge helps players find and book the right class.
Analytics you can act on
Revenue, bookings, attendance, court use and member trends, with weekly, monthly, quarterly and financial-year reports you can drill into.
Coming soon: Competitions: leagues, ladders and tournaments; The AllSquads app on the App Store and Google Play.
What AllSquads is
AllSquads is booking, payments and admin software for sports coaches and clubs. Players find your classes, book and pay online, and get reminded before every session. You get the roster, the money and the contact record in one place, with a payout to your bank every week. It runs term programs, casual classes, camps, private lessons and court hire side by side, so the whole operation is in one system rather than a booking tool plus a spreadsheet plus a payment app.
