Weekly club payouts
Getting the club's money into the club's bank, once a week, with nothing to reconcile
1st month free. A card is required to start, and nothing is charged until your free month ends. The free profile and free tiers never need one.
TL;DR
Club money on invoices, bank transfers and a WhatsApp chase, or one weekly payout on AllSquads
- Manually, money arrives whenever players remember, into whichever account they were given; on AllSquads it is paid once a week, for the previous Monday-to-Sunday bookings.
- Classes, court hire, memberships, session packs, subscriptions and pro shop orders all accrue into the same transfer, itemised per booking.
- The club's fee is netted off before the money lands and the card processing cost is absorbed, so there is no separate deduction line to explain.
- Only money AllSquads actually holds is transferred: cash the club took itself, unpaid payment links and goodwill credits are recorded but never paid twice.
- A booking approved after its week has been paid rolls into the next weekly batch, listed against the date the class ran, and the closed week stays closed.
The money side of a club rarely fails loudly. It fails as a hundred small transfers into three different accounts, a coach who paid the venue from his own pocket, and a treasurer who spends a Sunday matching references to names. AllSquads collapses that into one event: every paid booking from the previous week, of every type, is paid weekly into the club's connected bank account as a single itemised transfer.

How most clubs get paid today
Players are given a bank account, the club's or the coach's, and asked to transfer. Some do on the day, some at the end of term, some after a reminder. References are a first name, a child's nickname or nothing. The coach keeps a tally of who has paid, the treasurer downloads the bank statement monthly, and the two lists are reconciled over a weekend with a highlighter. Cash from the social night sits in a tin until someone banks it. Nobody can say, on a given Tuesday, what the club is owed.
- The bank statement is the only record, and it does not say which booking any line was for.
- A coach who takes payments personally becomes the club's unofficial float, and the club's unofficial debtor.
- Refunds go back out by transfer, so the same money crosses the account twice and appears in both directions.
Where the transfer trail breaks
The transfer model holds while the club is small enough for one person to recognise every reference. It breaks with growth, turnover, or the first time that person steps back.
- Unreconciled income: dozens of transfers a week with references that match nothing, and a treasurer guessing which child a payment belongs to.
- Money in the wrong account: fees paid to a coach personally that the club has to invoice back, or never sees.
- Chasing at pickup: the coach asking parents for money on court because the spreadsheet says they have not paid.
- Refunds by hand: every cancellation is a transfer out of the club account, a judgement call and a note nobody can find later.
- Cash in a tin: social night takings that are counted twice, banked late or not banked at all.
- No weekly figure: the committee asks what the club took last week and the answer is next month's bank statement.
- Handover risk: when the person who knows the references leaves, the club's income record leaves with them.
One transfer, every week
Every payment a player makes on AllSquads is processed on the platform's Stripe account and settles to the club through a weekly payout. Bookings made from Monday to Sunday are approved and paid the following week as one Stripe transfer to the club's own connected account. The amount is the payable total of those bookings minus the club's platform fee; AllSquads absorbs Stripe's processing fees, so no card cost ever appears as a deduction on the payout.
Every payment type, in the same batch
Class bookings, court hire, memberships, session packs, class subscriptions, private lesson fees and online pro shop orders all accrue into the same weekly payout. A family who pays for a term in April is paid to the club in April's batch even though the first session is in May, and a pro shop order paid online lands in the same transfer as the Tuesday squad. There is no separate settlement per product and no second statement to reconcile.
What is in the transfer, and what is not
Only money AllSquads holds is transferred. Completed card payments are payable. An unpaid payment link is not payable until it is paid. Cash a club registered against a booking is counted on the roster but never transferred, because the club already has it. Manual goodwill credits and cancellation credits represent no new cash, so the credit portion of a booking does not generate a transfer. Refunds are issued as club-scoped credits rather than cash, so the money from a confirmed booking stays with the club and the player's value stays at the club.
A late booking does not reopen a closed week
If a booking is approved only after its week has already been paid out, the money is not lost and the paid week is not reopened. The seat rolls forward into the next weekly payout, listed against the date its class actually ran, for up to four weeks after the class. A club admin can also add a walk-in to a finished session, as cash, a payment link or an attendance-only entry, right up until that week's payout is compiled; once a week is finalised its figure never moves underneath the treasurer.
Two numbers, deliberately different
The dashboard shows revenue two ways. Performance is what the classes that ran in a period earned, counted on the day each session ran, with a term counting on its first session. Payout is the money actually transferred for that period's batch. They legitimately differ: a term paid in April performs in May, cash collected in person is revenue that never transfers, and a week that has run may not have been paid yet. Until a week is approved and paid it reads Awaiting approval with no figure, so nobody reconciles against a number that then changes.
Before Stripe is connected
A club can publish classes, go public and take bookings before finishing Stripe Connect. Players still pay by card; the club's payout accrues and stays pending until onboarding is complete, then pays on the normal weekly schedule. Payouts below the minimum threshold are held and rolled into the next cycle. Club-employed coaches never need their own Stripe account, because their classes pay out to the club.
Manual vs AllSquads
| Bank transfers, a tin and a bank export | AllSquads | |
|---|---|---|
| Getting paid | When the player remembers, into whichever account they were given | At checkout, on the platform's Stripe account, before the booking is confirmed |
| The roster | The paid column in the coach's spreadsheet | Each session's roster shows payment status per player, cash included |
| Cancellations | A transfer back out of the club account | A club-scoped credit; the cash from the booking stays with the club |
| Reminders | A text to the ones the spreadsheet says owe money | No chasing: the booking was paid for before it existed |
| Member pricing | The treasurer spots the wrong amount a month later | Applied at checkout, so the amount that lands is the amount that was due |
| Waitlist | A late booking paid in cash on the night | A waitlisted player who books is in the same weekly batch |
| Payouts | Continuous dribs, reconciled monthly with a highlighter | One transfer every week for the previous seven days, itemised |
| Records | A bank statement with first names for references | A payout receipt per batch and a transaction list per booking |
Where bank transfers are fine
A club with one coach, a dozen players and a single price can run on transfers indefinitely, because the coach knows every name in the bank feed. The trail becomes a problem at the first refund, the first cash night, the first second coach, or the first treasurer who did not set the system up. At that point the club is not saving money by avoiding software; it is spending a volunteer's weekends instead.
Which payout setup fits your club?
A committee-run club with a volunteer treasurer
Good fitThis is the club the weekly payout was designed for. One dated transfer a week, itemised per booking, with the fee already off and no processing line, means the treasurer reconciles one number against one bank line rather than a month of references. Every payment type lands in the same batch, so there is nothing else to look for.
A club with several coaches, some of whom take their own bookings
Good fitClub-employed coaches' classes pay out to the club, and the coaches need no Stripe account of their own. A coach who also runs an independent business keeps that separate: their own classes pay to their own account, the club's classes pay to the club's, from the same dashboard. Analytics shows revenue by coach without splitting the money by hand.
Most of your players still pay cash on the night
Worth knowingCash is recorded, not transferred. A cash booking is added to the roster and marked collected, counts as revenue in analytics and in the players figure on the payout, and never appears in the transfer because the club already has the money. If the aim is to stop handling cash, share the class link and the QR collect option and let the card side grow; the week's transfer covers whatever was paid online.
You need the money faster than weekly
Worth knowingThe batch is weekly on purpose: it gives the club one number to reconcile and a closed week that never changes. A booking made on Tuesday is paid the following week, and a term booked months out is paid in the week it was booked rather than when it runs, which is usually earlier than a club expects. If your cash flow genuinely needs daily settlement, this is worth a conversation before you switch.
A club that has not set up Stripe yet and wants to start taking bookings now
Good fitStart now. Bookings and card payments work before Stripe Connect is finished; the payout simply stays pending and pays on the normal schedule once onboarding is complete. Connect Stripe from Settings when the committee has the club's details to hand.
Choose the weekly payout, or stay on transfers
Choose AllSquads if
- A treasurer has ever spent a weekend matching bank references to names.
- Club money has ever sat in a coach's personal account.
- You have ever refunded a player by transfer and later argued about whether you did.
- The committee wants a weekly figure, not next month's statement.
- More than one payment type comes in, and they currently land in more than one place.
Stick with WhatsApp if
- One coach, one price, a dozen players whose transfers you recognise on sight.
- The club is cash-only and content to stay that way.
- You have a treasurer with time to spare and a fondness for highlighters.

Get the club paid this way within a week
The payout needs no configuration; it is how every booking on AllSquads settles. The switch is connecting the club's bank and moving bookings across, and neither has to happen first.
Create the club and publish a class
Bookings can start before Stripe is connected. Players pay by card from the first day, and the money accrues into a pending payout.
Connect the club's Stripe account
Settings, then Payments, then Connect Stripe, and complete Stripe's identity check for the club. The connected account is where every week transfer lands.
Move each payment type across as you go
Term classes, court hire, memberships and packs all settle into the same batch, so there is no order to follow and no second system to reconcile as each one moves.
Record cash on the roster rather than in a tin
Add cash players from the session and mark the cash collected. It counts as revenue and on the roster without ever being transferred twice.
Give the treasurer the Payments tab
Last payout, current payout and total paid out, with a downloadable receipt per batch. Reconciling becomes one number against one bank line each week.
What to try in your first payout week
Everything here is inside the free trial. Each step ends with a figure or a document you can hand to the treasurer.
Take three test bookings of different types: a class, a court and a pack.
All three appear in the current payout figure on the Payments tab, itemised under the same week.
Add a cash player to a session and mark the cash collected.
The player is on the roster and in the week's player count, and the transfer amount does not change.
Cancel one of the card bookings outside its notice window.
The player receives a club-scoped credit and the club's payout for that booking is unchanged.
Open the dashboard Home with the period set to this week.
The payout card reads Current payout with an accruing badge until the batch is paid, then Money paid to you.
Compare Analytics revenue for the week with the Payments figure.
Two different, labelled numbers: revenue counted on session dates and payout counted on booking dates.

Why clubs and coaches run on AllSquads
One platform for the whole operation: bookings, payments, courts, members and messages, built for racquet clubs and the coaches who run them.
Every class type on one timetable
Group classes, terms, camps, private lessons, socials, court hire and retreats all live on one schedule, with one roster per session.
Every way to pay
Upfront, weekly or monthly subscriptions, drop-ins, memberships, session packs and term instalments, collected online and paid out to your club every week.
Court hire with cost splitting
Players book one court or several in a single checkout and split the cost between up to eight people, so nobody chases anyone for their share.

Every player and parent has a contact record, and you reach them by email, in-app message, push notification or broadcast. Paid plans add SMS for cancellations, reminders and payment requests.
Team scheduling
Coaches set their availability, you assign a head coach to each class, and a substitute takes a single session without rebuilding the class.
Admin that runs itself
Reminders go out before a session and before every subscription charge, the waitlist tells everyone waiting the moment a place opens, and cancellations turn into account credit under your own policy.
Promo codes and a pro shop
Discount codes at checkout, and a pro shop with member pricing and online or cash sales that land in the same weekly payout.
An AI agent on both sides
The Club Agent answers questions about your bookings, members and money from the dashboard, and the Concierge helps players find and book the right class.
Analytics you can act on
Revenue, bookings, attendance, court use and member trends, with weekly, monthly, quarterly and financial-year reports you can drill into.

What AllSquads is
AllSquads is booking, payments and admin software for sports coaches and clubs. Players find your classes, book and pay online, and get reminded before every session. You get the roster, the money and the contact record in one place, with a payout to your bank every week. It runs term programs, casual classes, camps, private lessons and court hire side by side, so the whole operation is in one system rather than a booking tool plus a spreadsheet plus a payment app.
