Weekly club payouts
Three cards, one batch a week, and a receipt you can file: the mechanics of getting paid
2 months free. A card is required to start, and nothing is charged until your 2 free months end. The free profile and free tiers never need one.
TL;DR
Chasing invoices on WhatsApp and reading a bank statement to see what the club earned, or reading the Payments tab
- The Payments tab shows three cards: Last Payout with its booking week, Current payout with this week's accrual or last week's amount awaiting approval, and Total Paid Out for the lifetime.
- Each weekly batch is one Stripe transfer of the previous Monday-to-Sunday bookings, itemised per booking, with a downloadable receipt per payout and a CSV of transactions per period.
- A week reads Awaiting approval with no figure until it has been paid, because a pending amount can still change; Money paid to you only ever labels a transfer that went out.
- Payout processed and payout failed notifications are always sent by email and in the app and cannot be switched off.
- The player count on a payout is distinct people booked into the week, cash players included, not bookings.
Getting paid is the feature a club looks at more than any other, and the one it most needs to trust. This page walks the Payments dashboard as it is built: what the three cards mean, what the batch contains, what Awaiting approval means and why, what the receipt and the export contain, and what happens when a booking, a cash player or a late approval does not fit the tidy week.

How a club reads its own income today
The treasurer opens the bank statement and scrolls. Transfers from players, a transfer from the coach who collected cash, a card-reader settlement with a fee already deducted, and a refund going the other way. There is no per-booking view, no per-week figure and no document that says what a given week earned. If the club uses a card reader, the processor's statement arrives monthly with its own fee lines, and the treasurer reconciles two statements against a spreadsheet neither of them knows about.
- Income is a scroll, not a figure.
- A processor statement is a second thing to reconcile, with fees on it.
- Nothing tells the club a payment has arrived except checking the bank.
Where reading the bank statement breaks
The statement method holds for a club whose income is a few identical transfers. It breaks with volume, with a card reader, and with anyone who asks for last week's number.
- No weekly figure: the committee asks what the club took and the answer is a scroll and a shrug.
- Fee lines to explain: a processor's deductions on a separate statement that never match the club's own sums.
- No receipt per period: nothing to file that says this week earned this much for these bookings.
- Late payments that reopen the books: money for a March booking arriving in May and being counted twice or not at all.
- Cash counted as if it were transferred: the tin's takings added to the bank's and double-counted.
- No alert: a failed settlement discovered a fortnight later.
- Players versus bookings: a family of three counted as three payments and one player, or the reverse, depending on who counts.
The three cards
The Payments tab opens on three cards. Last Payout shows the amount and the booking week of the most recent batch. Current payout shows either last week's amount awaiting approval or this week's accrual so far. Total Paid Out is the lifetime figure. There is no separate current-balance card, because under platform-held payments nothing sits in the club's Stripe account outside the weekly transfer. The dashboard Home carries the same payout card, following the period selector: an unpaid period reads Current payout with an accruing badge, and a paid one reads Money paid to you with the recorded amount.
What a batch contains
Every week, bookings made in the previous Monday-to-Sunday week are approved and paid as one Stripe transfer to the club's connected account. Every payment type is in it: class bookings, court hire, memberships, session packs, subscription charges, lesson fees and online pro shop orders. The transfer is the payable total minus the club's platform fee, with Stripe's processing fee absorbed. Payable means completed card payments AllSquads holds; cash registered by the club, unpaid payment links and the credit portion of a booking are recorded but never transferred. Payouts under the minimum threshold are held and rolled into the next cycle.
Awaiting approval, and why there is no number yet
A payout week is shown to a club only once it has been approved and paid. Until then every club-facing surface, the Payouts tab, the Home card, the weekly pulse tile and the Reports payout view, reads Awaiting approval with no dollar figure, and the week counts as nothing. A pending amount can still change before approval, from a fee-tier change, a price correction or a top-up, so publishing a figure would invite the treasurer to reconcile against a number that then moves. The week appears with its real amount the moment the transfer goes out, and every surface reads one shared calculation, so two of them cannot disagree.
The receipt, the export and the notification
Each completed payout has a downloadable receipt summarising the included transactions and the amount. The Transactions view lists every booking, refund and credit with its itemised breakdown, and a CSV export covers any calendar period, on the same Monday-to-Sunday weeks and calendar months the rest of the dashboard uses. Reports shows the payout view per period with a breakdown by class type, and its export's rows add up to its totals. When a payout is processed, and if one fails, the club is notified by email and in the app; those two notifications are always sent and are not user-toggleable.
The edges: late approvals, cash, corrections
A booking approved after its week has been paid rolls into the next payout, listed against the date its class ran, for up to four weeks; the paid week is never reopened. A club admin can add a late arrival or a cash walk-in to a finished session until that week's payout is compiled, after which Add Player is greyed out and says so; for a term, that window follows the first session's week because a term is paid as one lump. The player count on a payout is distinct people booked into the week, so a child at three sessions is one player, and cash players are counted even though cash is never transferred. A booking charged at a slightly-off migrated price is paid on the proper configured price, with the platform covering the few cents of difference.
Setting it up
Settings, then Payments, then Connect Stripe opens Stripe's onboarding for the club, business or individual, and once approved the connected account is where every week transfer lands. Connecting is not required to sell: a club can publish, go public and take bookings first, and the payout stays pending until onboarding is complete, then pays on the normal schedule. Each club under one admin login needs its own separate Stripe connection, because each club's payout is its own. Club-employed coaches need no account of their own; independent coaches connect one and receive their own weekly transfer the same way.
Manual vs AllSquads
| A bank statement, a processor statement and a spreadsheet | AllSquads | |
|---|---|---|
| Getting paid | Transfers, a card-reader settlement with fees, and cash | One weekly transfer for the week, fee netted, processing absorbed |
| The roster | No link between a bank line and a booking | Every transaction itemised against its booking on the Transactions view |
| Cancellations | A refund line going the other way on the statement | A credit, recorded against the player, never a transfer out |
| Reminders | Checking the bank to see if the money came | Payout processed and payout failed notifications, always sent |
| Member pricing | The statement shows the amount, not why it was that amount | The transaction breakdown shows the price applied and the fee on it |
| Waitlist | A late booking's money arrives whenever | A late-approved booking rolls into the next week, against its class date |
| Payouts | Whatever the statement says, whenever it says it | Last Payout, Current payout and Total Paid Out; Awaiting approval until paid |
| Records | Two statements and a spreadsheet | A receipt per payout, a CSV per period, and Reports by week, month, quarter and year |
Where the bank statement is fine
A club with a dozen identical transfers a term and no card payments can read its income off the statement in a minute. The statement stops being enough at the first card payment with a processor fee, the first week the committee wants a number, the first late payment that lands after the books closed, or the first time nobody noticed a settlement had failed.
Which payout situation is yours?
A club that wants one number to reconcile each week
Good fitMatch the weekly transfer to the payout receipt and file it. The receipt lists the included transactions and the amount, the transfer equals the receipt to the cent, and the week never reopens. Fifty-two of those is the year.
A club that has not connected Stripe and wants to start now
Good fitStart. Bookings and card payments run before Connect is complete; the payout accrues as pending and pays on the normal weekly schedule once Stripe approves the account. Connect it from Settings when the club's details are to hand.
An admin running two clubs from one login
Good fitEach club connects its own Stripe account and receives its own weekly transfer; nothing is pooled. The Payments tab shows the club you have switched to, and the receipts and exports are per club, which is what two sets of books need.
A club that wants to see a pending week's figure before Monday
Worth knowingThe dashboard deliberately shows Awaiting approval with no figure until the transfer goes out, because the amount can still change. The current week's accrual is visible on the Current payout card as it builds; the finalised figure appears with the batch. A club that needs a committed number mid-week should know the week closes on Sunday.
A club that takes most of its money in cash
Worth knowingCash players are counted in the payout's player figure and in revenue, and are never transferred. The Reports summary shows cash collected as its own card, so the tin is at least visible beside the batch. The Payments tab will show a small transfer and a large roster, which is accurate, if unflattering.
Read your income on the Payments tab, or on the bank statement
Choose AllSquads if
- The committee wants a weekly figure and gets a scroll.
- A processor statement has ever needed explaining at a meeting.
- Nothing tells you a settlement failed until you look.
- A late payment has ever been counted twice, or not at all.
- You would like a receipt per week you can file.
Stick with WhatsApp if
- A dozen identical transfers a term and no card payments.
- Nobody ever asks what last week earned.
- The bank statement is the club's only book and always has been.

Read your first payout in a week
The payout needs no setup beyond the bank connection. Connect it, take bookings, and read the cards the following week.
Connect the club's Stripe account

Read the cards once the week has closed
Last Payout shows the amount and the booking week; Total Paid Out moves; the Home card reads Money paid to you for the paid period.
Download the receipt and file it against the bank line
Payments, then Payouts: the receipt summarises the included transactions and the amount, equal to the transfer.
Export the period from Transactions or Reports
A CSV whose rows add up to its totals, on the same calendar periods every other surface uses.

Admin that runs itself
Reminders go out before a session and before every subscription charge, the waitlist tells everyone waiting the moment a place opens, and cancellations turn into account credit under your own policy.
Promo codes and a pro shop
Discount codes at checkout, and a pro shop with member pricing and online or cash sales that land in the same weekly payout.
An AI agent on both sides
The Club Agent answers questions about your bookings, members and money from the dashboard, and the Concierge helps players find and book the right class.
Analytics you can act on
