AllSquads for independent coaches

A coaching business run from a phone, a paper diary and a personal bank account

1st month free. A card is required to start, and nothing is charged until your free month ends. The free profile and free tiers never need one.

TL;DR

A coaching business on WhatsApp, a diary and bank transfers, or on AllSquads

  • By text, every lesson and every class is arranged, chased and reconciled by the coach; on AllSquads players book from the coach's own page and pay before the session.
  • Your own Stripe account receives your own weekly payout for the previous week's bookings, with the fee netted off and card processing absorbed.
  • A coach profile with work history, qualifications and your Working with Children number appears in the public Coaches directory whether or not you are attached to a club.
  • Group classes, private lessons, camps and weekly subscriptions all run from one dashboard, with your own contacts, messages and analytics.
  • Court hire, pro shop, promo codes and team management are club features; a coach account sees them as an upgrade path, and the page says so.

An independent coach is a whole club in one person: the booking desk, the treasurer, the marketing department and the coach. Most run all of it from a phone, a diary and a personal bank account, and the admin quietly eats the evenings the coaching was supposed to pay for. AllSquads gives an independent coach a public profile, a booking page, a contact list and a weekly payout to their own bank, with nothing owned by a club unless the coach chooses to work with one.

How most independent coaches run their business today

Lessons are booked by text, group sessions by a poll in the chat, and camps by an email with the coach's bank details in it. Players pay by transfer to a personal account, sometimes before and sometimes after, and the coach keeps a note of who owes what. New players find the coach through a friend or a flyer, because there is no page to send them to. The coach's qualifications are on a laminated card in the bag. At the end of the quarter the accountant asks which transfers were coaching income and which were a mate paying for dinner.

  • The business's records are a phone, a diary and a personal bank statement.
  • Every booking costs the coach a conversation before it earns them an hour.
  • Growth means more admin per week, not more coaching per week.

Where the phone-and-diary business breaks

A coach with a handful of long-standing students can run this way for years. It breaks at the point the coach wants to grow, which is the point the admin starts costing more evenings than the extra lessons bring in.

  • The unpaid hour: a lesson booked by text and cancelled by text, with nothing paid and the slot gone.
  • Nowhere to send a new enquiry: a stranger asks how to book and the answer is a phone number.
  • Income tangled with a personal account: the accountant, the tax return and the coach's own budgeting all suffer.
  • The diary as a bottleneck: availability lives in the coach's head and every request needs a reply.
  • No record per player: who has paid for which lesson, who holds a credit, who has not booked since March.
  • Reviews nobody can find: satisfied students tell friends, and the friends have nothing to look at.
  • Chasing at the gate: the coach asking a parent for last week's fee before this week's lesson.

A profile that gets you found

A coach profile is a professional page at the coach's own address: bio, sports, qualifications, a photo, a location, and the Working with Children check number the coach enters. Work history, achievements, languages and social links sit on it like a professional profile, all editable from Settings. Every coach with a public profile and a name appears in the public Coaches directory on Explore, independent or club-attached, with no active class required, and the profile lists the coach's private lessons and group classes with a working Book link.

Classes, lessons and camps from one wizard

The same class wizard creates a recurring group lesson, a one-off social session, a holiday camp or a private lesson, each with its own pricing, capacity, cancellation policy and listing access. A recurring class can offer a weekly or fortnightly subscription beside its per-session price. Private lessons are booked into the coach's published availability windows, with the court checked at the same time where one is assigned, priced by duration and approved by the coach or confirmed instantly per class. A coach who is asked to run a class for a club keeps it beside their own classes in the same dashboard.

Your own payout, to your own bank

An independent coach connects their own Stripe account, and every booking they take, classes, lessons, camps and subscription charges, settles to it as one weekly transfer for the previous Monday-to-Sunday bookings, with the coach's platform fee netted off and Stripe's processing fee absorbed. Stripe is not required to publish: a coach can take bookings on day one, and the payout stays pending until Connect onboarding is approved, then pays on the normal schedule. The Payments tab shows the last payout, the current week's accrual and the lifetime total, with each transaction itemised.

Your contacts, your messages, your numbers

Every player who books becomes a contact with their booking history, membership, notes and tags, and a CSV of existing students can be imported. Messages go to an individual, to everyone on a session, or as an announcement filtered by tag, sport or class, and the operational messages, confirmations, reminders and cancellations, send themselves. Analytics show revenue by period and by class, bookings by type, attendance and no-show rates, and retention. Reviews are requested after attendance is marked, count toward the coach's own profile, and can be answered publicly once each.

What a coach account does not include

Court hire, the pro shop, promo codes and team management are club features. A coach account sees them in the sidebar marked as an upgrade, and clicking one shows what a business account unlocks rather than a broken page. A coach who grows into a facility, a shop or a team of coaches creates a business under the same login, which adds the club role without removing the coach one. The pricing page lists what each plan includes; this page will not pretend a coach account has a court calendar.

Where the phone and the diary are fine

A coach with six regulars at fixed times who pay on the day, on a court the coach controls, taking no new students, does not need any of this; the diary never changes and the money always arrives. It stops being fine at the first new enquiry from a stranger, the first no-show that cost an unpaid hour, the first term the coach wants to fill the quiet mornings, or the first tax return that mixes lessons with lunch.

Which independent coach are you?

A private-lesson coach with a diary full of texts

Good fit

Publish your availability windows, price each duration, and let players book into the gaps from your profile with the court checked alongside you. Requests wait for your approval or confirm instantly, a minimum lead time keeps them out of your buffer, and the lesson is paid before it happens.

A coach running group squads on a hired court

Good fit

Create each squad as a recurring class with its capacity and cancellation policy, and offer a weekly subscription to the regulars beside the per-session price. The class carries the venue address on every confirmation and reminder, and the roster is the paid list you take to the court you hired.

A coach who also coaches for a club

Good fit

Both live in one dashboard. The club invites you as a coach and assigns you to its classes, which pay out to the club; your own classes and lessons pay out to your own Stripe account. You see your own work on both sides and never the rest of the club's schedule.

A coach who needs to hire out courts or sell gear

Worth knowing

Those are club features, and a coach account shows them as an upgrade rather than hiding them. Create a business under your login when you need them; the coach role stays, the club role is added, and the pricing page shows which plan includes court hire and the pro shop.

A coach who is not ready to set up Stripe

Good fit

Publish anyway. Players pay by card from the first booking and your payout accrues as pending until Stripe Connect is approved, then pays on the normal weekly schedule. Connect it from the dashboard checklist when you have your details to hand.

Choose AllSquads, or keep the diary and the phone

Choose AllSquads if

  • A stranger has asked how to book you and been given a phone number.
  • A no-show has ever cost you an unpaid hour.
  • Your coaching income lives in the same account as your groceries.
  • You would like the quiet mornings to fill without a text campaign.
  • A happy student's friend has had nothing to look at.

Stick with WhatsApp if

  • Six regulars, fixed times, a court you control, and no new students.
  • Every lesson is paid on the day and nobody ever cancels.
  • You would rather the admin than the growth.

Move your coaching business across in a week

Your existing students keep their times; they just book the next one from your page instead of by text. Profile, first class, Stripe when ready.

  1. Sign up as a coach and complete your profile

Bio, sports, qualifications, photo, location and your Working with Children number. The profile must be complete before a class can be published.

  2. Import your students

Contacts, then Import, with names and emails. Duplicates are skipped and anyone who books later is added automatically.

  3. Publish your first class or lesson

The onboarding wizard runs the full class wizard: type, schedule or availability, pricing, capacity and cancellation policy. Publish and it is on your profile.

  4. Connect Stripe from the checklist

The dashboard's next-steps checklist links straight to Stripe Connect. Bookings and payments run before it is done; the payout waits for it.

  5. Send your profile link where the texts used to arrive

Students book and pay from your page, get their reminders, and your evening goes back to being yours.

What an independent coach should try in the first week

Everything here is inside the free trial and takes an evening. Each step ends with something on your profile or your schedule.

  1. Complete your profile with a Working with Children number and open it as a visitor.

Your public page shows that a WWC number is provided, plus your qualifications and your classes with a Book link.

  2. Publish a private lesson with morning availability and book one as a test player.

The request appears on your schedule awaiting approval, and only morning slots were offered.

  3. Enable a weekly subscription on a group class and subscribe as a test player.

The subscriptions page shows the class, the next payment and the schedule; booking a session skips payment.

  4. Search the Coaches tab on Explore for your name.

Your profile is listed, with no club attached and no class assignment required.

  5. Open Payments the week after a test booking.

The booking sits in the current payout figure, itemised, pending until Stripe is connected and paid the week after it is.

Why clubs and coaches run on AllSquads

One platform for the whole operation: bookings, payments, courts, members and messages, built for racquet clubs and the coaches who run them.

  • Every class type on one timetable

Group classes, terms, camps, private lessons, socials, court hire and retreats all live on one schedule, with one roster per session.

  • Every way to pay

Upfront, weekly or monthly subscriptions, drop-ins, memberships, session packs and term instalments, collected online and paid out to your club every week.

  • Court hire with cost splitting

Players book one court or several in a single checkout and split the cost between up to eight people, so nobody chases anyone for their share.

  • A CRM with every channel

Every player and parent has a contact record, and you reach them by email, in-app message, push notification or broadcast. Paid plans add SMS for cancellations, reminders and payment requests.

  • Team scheduling

Coaches set their availability, you assign a head coach to each class, and a substitute takes a single session without rebuilding the class.

  • Admin that runs itself

Reminders go out before a session and before every subscription charge, the waitlist tells everyone waiting the moment a place opens, and cancellations turn into account credit under your own policy.

  • Promo codes and a pro shop

Discount codes at checkout, and a pro shop with member pricing and online or cash sales that land in the same weekly payout.

  • An AI agent on both sides

The Club Agent answers questions about your bookings, members and money from the dashboard, and the Concierge helps players find and book the right class.

  • Analytics you can act on

Revenue, bookings, attendance, court use and member trends, with weekly, monthly, quarterly and financial-year reports you can drill into.

What AllSquads is

AllSquads is booking, payments and admin software for sports coaches and clubs. Players find your classes, book and pay online, and get reminded before every session. You get the roster, the money and the contact record in one place, with a payout to your bank every week. It runs term programs, casual classes, camps, private lessons and court hire side by side, so the whole operation is in one system rather than a booking tool plus a spreadsheet plus a payment app.

Players pay online at booking, via payment links, or you manage payments manually. Payouts are paid weekly, for the week ending Sunday, direct to your bank account.

  • Player contacts & CRM

Every booking adds a player to your contacts automatically. Import your existing list via CSV. Track membership, booking history, and notes.

  • Messaging & group chats

Message players one-on-one or in groups. Class group chats created automatically. Broadcast announcements to all followers.

  • Analytics built in

Track revenue, bookings, and player retention over time. Coach view, club view, and court hire stats — all in one dashboard.

“I had all of term 1 paid in the first week. 75% less admin, 100% fewer late cancellations, and 80% fewer emails and phone calls.”
