Player Guide

Setting up a player account, child profiles, and how to search, book, and manage classes.

Account Setup

Creating an account

  1. Navigate to allsquads.com.au
  2. Select Sign Up
  3. Sign up with email and password, or continue with Google (Google OAuth — no email verification required)
  4. Verify email address via the confirmation link (email/password sign-up only)
  5. Complete the onboarding profile: sport preferences, skill level, location
  6. Account is active and ready to use

Profile completion

A complete profile includes: full name, profile photo (optional), location, sport preferences, skill level, and emergency contact details. Emergency contact details are collected (optionally) during onboarding — if you skipped them, you'll be nudged to add them from the dashboard "Next steps" card, and some individual classes require them before you can book (see "Emergency contact required" under Booking a Class).

People I book for (child profiles and other people)

Your profile has a People I book for section holding everyone you book classes for — not just family.

Add dependent saves a child: name, date of birth, allergies, dietary requirements, medical notes and an emergency contact. Date of birth and the emergency contact are required for a child, and you confirm you have parental authority to enrol them. A child always needs their own emergency contact on file before they can be booked into any class.

Add person saves anyone else you book for — a friend, a partner, a teammate. It asks for their name, and optionally an email, an emergency contact (name, phone, relationship) and the same allergies / dietary / medical notes. Date of birth is optional for an adult, and there is no parental-authority confirmation — that only applies to children. If you add their email and they later create their own AllSquads account with it, the two records are linked; nothing is merged and they keep their own account.

When you're booking an adult or open class, each seat lets you pick one of these saved people or type a name instead — so you don't re-enter a friend's details every time. Kids classes only ever offer child profiles. At checkout the account holder selects which participants each booking is for. Multiple players can be booked into the same class in one transaction — the booking confirmation email lists every player by name, and the coach's roster shows each attendee by name rather than the person who paid.

Installing the app

AllSquads is a Progressive Web App (PWA) and can be added to your home screen for a native app-like experience:

  • iOS: Open in Safari > Share > Add to Home Screen
  • Android: Open in Chrome > three-dot menu > Add to Home Screen or Install App

Once installed, AllSquads opens without browser chrome and supports push notifications for session reminders and booking updates.

Mobile navigation

On phones, the bottom nav bar has five tabs in this order: Explore → Bookings → Favourites → Ask AI → More. Bookings goes directly to your upcoming classes so you can check them with one tap. Favourites holds the clubs and coaches you have followed. More opens the rest of the dashboard (profile, family, saved cards, notifications, settings, help, sign out). The cart icon in the top bar shows a badge with the number of items in your cart and updates as soon as you add or remove a class.

Account type

The signup screen labels the consumer account type as "Player / Parent" because the same account can book classes for yourself and for your children via family / child profiles.

Player welcome screen

First-time players see a single welcome screen — not a multi-step wizard. It collects display name, mobile number, date of birth (used for age-appropriate class matching), and optional sport preferences + profile photo. After that they land on the dashboard. Emergency contact and child profiles can be added post-signup under Account settings — they are not required upfront.

A dismissible "Explore classes near you" banner appears on the player dashboard until the player makes their first booking, after which it is removed permanently.

Home dashboard layout

Below the greeting, the home dashboard runs in this order:

  1. A Next up photo hero card — your soonest upcoming booking (class name, club, date and time), with Calendar (add to your calendar) and Directions buttons. It only appears when you have an upcoming booking.
  2. Three quick-action tap targets: Find a class (opens Explore), Courts (opens Explore's Courts tab), and My bookings (opens your bookings list).
  3. An Ask the Concierge card with suggested prompts, one tap into the AI assistant.
  4. Also coming up — your other upcoming bookings, condensed with a rebook option per class.
  5. The Book again rail (see "Book again — rebooking a regular class" below).
  6. Your club memberships (when you belong to one or more clubs), a Favourites rail of classes and courts you've hearted (each card showing the club/venue, price where available, and the next available session date for classes), and your full Saved list (classes, coaches, clubs and courts). Tap a card to open the class, coach, club or court. If you haven't hearted anything yet, a small "Add favourites from Explore" link appears instead of the rail.
  7. Your performance chart (sessions attended per month).
  8. A dismissible "Explore classes near you" banner (players with no bookings yet — see above), an article rail ("From AllSquads"), and a "Find more clubs & coaches" search banner.

Your own profile details (name, email, phone, member-since date) live on Profile (Menu → Profile), not on the home dashboard. Your recent activity/notifications are in the notifications bell (top nav), not a separate home-dashboard card.


Finding Classes

Browsing the explore page

The explore page lists all public classes on AllSquads. Players can filter by:

  • Sport type
  • Class type (group lesson, camp, private lesson, court hire)
  • Location
  • Day and time
  • Skill level
  • Price range

Results load 20 at a time and extend automatically as the player scrolls — there is no upper cap on how many classes a club can list. The same applies to the Coaches, Clubs and Courts tabs.

Map view

The grid/map toggle switches the results between cards and a Google map. Classes, coaches and clubs all appear as coloured pins — teal for classes, green for coaches, blue for clubs — positioned at the venue where they run. Tapping a pin highlights and scrolls to that result's card; nearby pins group into a numbered bubble that expands as you zoom in.

A pin only appears when the venue's location is known. A club that has not set a venue address shows no pin, and its classes are still listed in the results — they simply cannot be placed on the map. Clubs can fix this by adding their venue address in the club dashboard.

Finding classes near you

"Use my location" on the explore page asks the browser for your position, then re-orders the results nearest first and shows the distance to each class's venue on its card (for example "2.3 km"). The map recentres on you at the same time. Setting the Distance filter (5 km / 10 km / 25 km / 50 km / 100 km) narrows the results to that radius; leaving it on "Anywhere" keeps every result and only re-orders them.

Your location is used for that search only — it is never saved to your profile and never added to the page's web address, so sharing an explore link never shares where you are. If you decline the location prompt, or your browser cannot provide a position, the page says so and you can still search by suburb using the Location filter.

Typing a capital city (for example "Perth" or "Sydney") into the Location filter searches the whole metro area, not just an exact name match — a class in a nearby suburb still turns up even if its address doesn't say the city name. And if you search a specific suburb where nothing is on offer right now, the search automatically widens to roughly 25 km around that suburb instead of coming back empty; ask the AI Concierge the same question and it will tell you the search was widened and how far away each result is.

Searching

Use the search bar to find classes, clubs, or coaches by name or keyword.

Club and coach profiles

Each club and coach has a profile page listing all their active public classes, reviews, and contact information. Players can follow clubs and coaches to receive updates.


Booking a Class

Standard booking flow

  1. Select a class from explore or a club/coach profile
  2. Review class details: description, schedule, pricing, cancellation policy, coach
  3. Select the session date (for one-off bookings) or enrolment type (for terms/camps)
  4. Select participant (self or child profile)
  5. Add to cart
  6. Proceed to checkout — a booking context bar at the top of checkout shows the class name, venue, and term dates throughout all steps
  7. If you have saved child profiles, an Attendee step appears so you can select which participant each booking is for. If all bookings are for yourself and you have no children saved, this step is skipped automatically.
  8. Enter payment details, apply credits, or enter a promo code (see Promo Codes below)
  9. Confirm booking

Book again — rebooking a regular class

If you've been to a class recently, you don't have to go through the full booking flow again:

  • Home dashboard "Book again" rail: classes you've attended in roughly the last 8 weeks that still have a future session appear at the top of your home dashboard, below your greeting. Tap the class card's Rebook button.
  • Past bookings: on Dashboard > My Classes > Past, a completed booking shows a Rebook button when the class has a future session available.

Either way, tapping Rebook adds the class's next available session straight to your cart at your normal price (member/standard pricing and any active credits still apply automatically) and takes you directly to checkout — no need to reopen the class page. It's just two taps to your Pay button. The Rebook option is hidden when the class is full, has been cancelled or archived, or doesn't have a bookable single session to add (e.g. a term class you'd need to re-enrol in from its class page instead).

Free trial

If a class has a free trial enabled, eligible players will see a "Try a free session" option. Each player may use one free trial per class.

Subscribing to a class

Some recurring classes offer subscriptions with automatic weekly or fortnightly billing:

  1. On the class detail page, click Subscribe (shows the subscription price and interval)
  2. You are sent to a confirmation page where you enter your card and complete payment via Stripe. If your card requires Strong Customer Authentication (SCA / 3DS), the challenge appears here and must be completed for the subscription to start.
  3. Your subscription is active — you are billed automatically each period. A booking fee of 3% applies to each instalment.
  4. Manage and cancel subscriptions from Dashboard > Subscriptions
  5. Cancelling a subscription: when you cancel, the subscription continues to the end of the current billing period (no partial refund) and your dashboard shows "Ends [date]". You keep attending sessions until that date and are not billed again. If your coach cancels a session you've already paid for, the per-session value is automatically applied as a credit to your next Stripe invoice. (Skip-a-week is not supported at launch — cancel and re-subscribe if you need to pause.)

Waitlist

If a class is full, players can join the waitlist. When a spot becomes available, waitlisted players are notified in the order they joined. Spots are strictly first-come, first-served — there is no expiry or hold on the offer, so book promptly once notified (ADR-042).

Booking a spot on a session you are waitlisted for — however you pay for it, card or credits — takes you off that session's waitlist automatically. You will not appear on both the roster and the waitlist for the same session.

Already booked in? There's no waitlist to join. If you already hold a place on a session, joining that session's waitlist is refused with "You're already booked into this session". A full session can look full to you precisely because you are in it, so the Join waitlist button can still appear — but pressing it will not add you. You already have the seat; there is nothing to wait for.

Losing the race: if someone else books the spot before you act on your notification, you are not permanently excluded — your waitlist row automatically returns to the waiting queue, and you'll be notified again the next time a spot opens on that session. You can also self-recover by re-joining the waitlist yourself (Dashboard > the class page); a re-join always resets a stuck "notified" row back to "waiting" as a safety net, and is harmless (a no-op) if you're already waiting. If you already hold a seat on that session you'll be told so instead — see above.

Private lesson booking

  1. Select a coach
  2. Select preferred date and duration (30/45/60 minutes)
  3. The system checks coach and court availability
  4. Confirm and pay
  5. Await coach approval (or instant confirmation if auto-approval is enabled)

Emergency contact required

A coach can toggle "Emergency contact required" on a specific class in the create/edit wizard. When it's on, the account holder must have an emergency contact name and phone number on file before completing a booking — the class page shows a notice, and if you haven't added one yet, the cart prompts you inline (a small form right there — you never have to leave the cart) before letting you proceed to checkout. Every other named attendee needs their own emergency contact too: if you add guests to a booking on one of these classes, checkout asks for a contact name and phone for each guest, and those details are stored against that person's spot so club hosts see the right contact on the roster (not just yours). This is separate from and in addition to the existing rule that a child attendee always needs their own emergency contact on file (set on the child profile), regardless of this toggle. If the attendee is someone you've saved under People I book for, the class asks for their emergency contact rather than yours — the cart tells you exactly who is missing one and links straight to their record, and once saved it's stored against that person's spot so the club sees the right contact on the roster. Classes that don't turn this on are completely unaffected — it's off by default.


Managing Bookings

Viewing bookings

All bookings are visible in the Dashboard under My Classes. Upcoming, past, and cancelled bookings are shown with full details. A booking covering multiple sessions lists each session; if a session has been assigned to a different coach than the one shown on the booking card, that session's row shows its own coach.

Cancelling a booking

  1. Navigate to Dashboard > My Classes
  2. Select the booking to cancel
  3. A confirmation dialog shows the booking details and the refund outcome based on the class cancellation policy
  4. Confirm cancellation

Refund outcomes depend on the class cancellation policy and how far in advance the cancellation is made. Refunds are issued as credits to the player's account, not as Stripe reversals.

Changing a booking

To change to a different session date or time, cancel the existing booking (subject to the cancellation policy) and rebook the preferred session.


Credits

What are credits?

Credits are club-scoped store credit issued by a club. 1 credit = $1 AUD. Credits are used to pay for bookings with that same club, or are issued as refunds when a cancellation falls within the policy window.

Club-scoped credits

Credits are tied to the club that issued them. Credits from Club A cannot be used for bookings with Club B.

Using credits at checkout

At checkout, available credits for that club are applied automatically (oldest-expiry first). Credits always apply when available — there is no opt-out. The booking fee is computed on the full class price, and credits draw down the gross total (class price + booking fee) — the fee is charged once on the cash remainder. If credits cover the whole booking (credits ≥ class price + fee), the booking fee is waived and the player pays $0.

Credit expiry

Credits have an expiry date set at the time of issue. Expiring credits trigger a notification reminder.


Promo Codes

Where to enter a promo code

Promo codes are issued by individual clubs, not by AllSquads. Enter one on your Cart page, just before you continue to payment — where the field sits depends on your screen size. On a computer it's in the Summary panel on the right, above the Subtotal line. On a phone or tablet that Summary panel collapses into the bar at the bottom of the screen, so the promo field appears in its own Have a promo code? box directly under your cart items instead. Either way it has an Apply button next to it. There is no promo field on the payment page itself, so apply your code while you are still on the Cart page. Type the code exactly as your club gave it to you, with no spaces before or after, then tap Apply. Capitalisation does not matter — the code is matched ignoring case — but spaces do, so avoid a stray space before or after. A valid code shows a "Promo discount" line and reduces your total before you pay.

What the error messages mean

  • "Code not found." — no code matching what you typed exists for this club. Check the spelling and make sure you have the club's current code — clubs sometimes replace an old code with a new one, and only the current one will be recognised.
  • "This code has expired." — the code's valid period has ended.
  • "You have already used this code the maximum number of times." — the code has a per-player use limit and you've already reached it.
  • "This code doesn't apply to one or more items in your cart." — the code is restricted to specific classes or class types, and something in your cart isn't covered.
  • "This promo code is reserved for specific players." — the code is limited to a particular group of players (e.g. new members only) and this account isn't eligible.
  • "This code isn't valid for the items in your cart.", "This code is no longer active.", "This code is not yet valid.", and "Your order doesn't meet the minimum for this code." — the code exists but doesn't apply here: it belongs to a different club, has been deactivated, hasn't started yet, or your order is below the code's minimum spend.

Already paid without the code

A promo code only applies at checkout, before you pay — it cannot be added after the fact, and AllSquads cannot refund the difference. If you paid full price and should have had a discount, contact the club directly; they can issue you a credit.


Payments

Accepted payment methods

Checkout uses Stripe Payment Element, which accepts:

  • Credit and debit cards (Visa, Mastercard, Amex)
  • Apple Pay (Safari on iPhone/iPad/Mac with a card in Apple Wallet — not available inside in-app browsers such as links opened from Gmail, Instagram or Facebook; open the page in Safari itself)
  • Google Pay (supported Android / Chrome with a saved card)
  • Stripe Link (one-click saved details across Stripe-enabled sites)

AllSquads credits (if any) are applied at checkout to reduce the amount charged.

On classes where the coach/club has turned it on, you can also pay with a government voucher (e.g. QLD Play On!, $200/child) — see Government Vouchers in the Payments and Credits guide for how the checkout, redemption and cancellation flow works.

Strong Customer Authentication (SCA / 3DS)

If your card requires SCA, the 3DS challenge appears as part of the checkout step and must be completed before the booking is confirmed. Bookings do NOT confirm until Stripe returns a succeeded payment — there is no "pretend success" state.

Payment history

Full payment history is available in Dashboard > Payments.

Receipts

A receipt is sent to the player's email address automatically on payment confirmation.


Reviews

Leaving a review

After attending a class, players receive an email prompt to leave a review, sent about a day after attendance is marked. The email links to the class page with the review modal open. If several of a player's classes were marked attended around the same time, the prompts are spread over the following days rather than arriving all at once — at most one per club per day, and no more than three review prompts to the same person in a day.

For classes run by a club, the review form has two parts in one submission:

  1. Club review (primary) — a star rating (1–5) and optional written comment about the club/class experience.
  2. Coach review (optional) — a second star rating and optional comment about the coach who taught the session.

Either part can be left blank — submitting just the club part, just the coach part, or both is fine. For classes run by an independent coach (no club), there is a single coach review.

Players can also leave a review at any time by visiting the class page and clicking "Leave a review" — provided they have attended at least one class with the same coach or club. Reviews left from a coach's profile page rate the coach; reviews left from a club's profile page rate the club.

Reminder

If a player hasn't reviewed after 7 days, AllSquads sends one (and only one) follow-up reminder email. There is no further nagging — that's the entire reminder sequence.

Indefinite window

There is no hard deadline to leave a review. Even months after a session, players can still submit one through the class page so long as they have an attended booking with that coach or club.

One review per coach / club

A player has at most one review per coach and one per club, regardless of how many classes they have booked with that coach or club. Submitting a second review on the same coach or club updates the existing one — the modal pre-fills with the previous rating and comment and the CTA reads "Update your review".

How the review is attributed (coach vs club)

Each part of the review goes to its own target:

  • The club part counts toward the club's profile and rating (shown on the club's public profile).
  • The coach part counts toward the coach's profile and rating (shown on the coach's public profile).
  • If the class is run by an independent coach (no club), the single review counts toward the coach's profile.

This is account-level attribution — a player's club review covers all their experiences with that club, and their coach review covers all their experiences with that coach.

Review moderation

All reviews are moderated. Reviews that violate community guidelines are not published. Coaches and clubs can post one public response per review and may appeal a review they believe is inaccurate.


Notifications

Notification types

Players receive notifications across email, SMS, and in-app channels. Channel mix depends on the event:

  • Booking confirmed (email + in-app)
  • Booking rejected, private lesson (email + in-app)
  • Booking cancelled by coach/club (email + SMS + in-app)
  • Booking moved by coach/club (email + SMS + in-app)
  • Booking partial cancellation refund (email + SMS + in-app)
  • Payment confirmed (email + in-app)
  • Session reminder 24 hours before (email + SMS + in-app)
  • Session reminder 1 hour before (SMS + in-app)
  • Session rescheduled or class date changed (email + SMS + in-app)
  • Coach changed or replacement coach (email + SMS + in-app)
  • Court hire cancelled, court hire series occurrence reminder / cancelled / skipped (email + SMS + in-app)
  • Waitlist spot available (email + SMS + in-app)
  • Subscription paused, resuming, resume-outcome, cancelled, pre-resume reminder, pause confirmed (email + SMS + in-app)
  • Credits expiry warning (email + in-app)
  • New message from coach or club (email + in-app)

SMS is deliberately reserved for events where last-minute push matters (cancellations, schedule changes, reminders, subscription lifecycle). Creation events and player-initiated cancels do not trigger SMS — players get the in-app + email confirmation only.

Notification preferences

Players can manage notification preferences in Dashboard > Settings > Notifications.


Messages

Messaging coaches and clubs

Players can message coaches and clubs directly via the Messages tab in their dashboard. Coaches and clubs can initiate conversations with enrolled players.


Follows

Following clubs and coaches

Players can follow clubs and coaches from their profile pages. Followers receive updates when new classes are published.
