Getting Started
What do I need before my club can go live? Three things: complete club profile, at least one court or venue configured (if using court hire), and at least one published class. Connecting Stripe is recommended but not blocking — you can publish classes and accept bookings before completing Stripe Connect. Incoming payments are held at the platform level and release to your account once Stripe Connect onboarding is finished.
Can I manage more than one club from the same account? Yes. Use the club context switcher in the top navigation to move between clubs. All data, finances, and settings are fully isolated per club.
How do I add coaches to my club? Dashboard > Team > Invite Coach. Enter the coach's email. They receive an invitation and must accept before being affiliated.
Can a coach be in my club but also work independently? Yes. Coaches manage their own independent classes separately from club-affiliated classes. Both appear in their dashboard side by side.
Classes and Scheduling
Can I create classes on behalf of a coach? Yes. When creating a class as a club admin, assign the head coach in Step 4. The coach manages the roster and receives booking notifications.
How do I duplicate multiple classes at once? Select the classes in the Classes tab using the checkbox, then select Bulk Duplicate. Draft copies of all selected classes are created.
What happens if I archive a class with active enrolments? All enrolled players are notified, future sessions are cancelled, and full credit refunds are issued automatically.
Can I change a class's booking type after it's live? No. Booking type is locked once a class is created, whether or not it has bookings yet — and a duplicated class always keeps the source's type too. Archive and recreate if the type needs to change.
Court Hire
How do I set up court hire for my club? Dashboard > Court Hire > Manage Courts. Add each court with its name, sport type, and availability hours. Then configure pricing in Dashboard > Court Hire > Pricing.
Can I have different prices for day and night bookings? Yes. Enable time-based pricing and set the day/night threshold (e.g., 5:00pm). Set separate rates for day and night.
How does member pricing work for court hire? Players with an active membership assigned to their contact record automatically receive the member rate at checkout. No action needed from the player.
How do I block a court for maintenance? Dashboard > Court Hire > select the court card > kebab menu > Manage Blocks. Add a block with date range, full day or time range, and optional reason. Blocks can also be deleted from the same modal.
Can I see all court bookings in one view? Yes. The court hire calendar shows a day-view with one column per court. Navigate by date to see any day's full schedule.
Memberships
How do I create a membership product? There is no dedicated Memberships page. Membership status is set inline on each contact: Dashboard > Contacts > open the contact's drawer > set membership_status to active and a membership_expires_at date.
How do I assign a membership to a player? Same flow — Dashboard > Contacts > open the contact > set status to active + expiry date.
Does membership renew automatically? Membership renewals are currently managed manually. A notification is sent to the club admin before a membership expires.
Do family members share a membership? It depends on your membership model. By default (account mode) one membership on the account holder gives every player on that account — including children — the member rate. If your club uses player mode, membership is per-participant and each player needs their own.
Discounts and Session Packs
How do I create a discount? Dashboard > Promo Codes > Add. Set the name, type (percentage or fixed), applicable classes, and any conditions (e.g., promo code, minimum bookings).
What is a session pack? A session pack is a pre-purchased bundle of sessions sold at a discount (e.g., 10 sessions for $180). Players purchase the pack (booking at least one date up front) and one session is deducted per booked session at booking time — not at attendance. Packs are valid 12 months and cover any class at the same club that also has session packs enabled and is priced at or below the pack's per-session rate — a class with session packs switched off cannot be redeemed against, even if its price would otherwise qualify; a session is reinstated if a booking is cancelled within policy.
How do I create a session pack? Session packs are configured per-class in the class wizard, not in a global settings page. Open the class via Dashboard > Squads, edit, and add a session pack option in Step 2 / Step 3 (depending on schedule type). Set the quantity, price, validity period.
Contacts and CRM
How are players added to my contacts? Automatically on their first booking. Additional contacts can be added manually or imported via CSV.
How does CSV import work? Contacts > Import. Select a .csv file with at least a first_name, name, or email column; optional columns include last_name, phone, date_of_birth, membership_status, membership_expires, emergency_contact_name, emergency_contact_phone, and notes. Download the template from Contacts > Import Template for the canonical header row. After you pick a file, a banner reports the imported count (and the skipped count + first-row errors if any rows failed). Duplicates by email are skipped automatically.
How do I tag contacts? Contact detail > Tags > Add Tag. Tags are custom labels (e.g., Junior, Competitive, VIP). Use tags to filter contacts for bulk messaging.
How do I message all my contacts? Dashboard > Messages > New Announcement. Filter by tag, sport, membership status, or class enrolment, or send to all contacts.
Can I see a player's full history with my club? Yes. Contact detail shows: all bookings, payment history, credits balance, membership, notes, and communication history.
Credits
How do I manually issue credits to a player? Contacts > select player > Issue Credits. Enter the amount, reason, and expiry date.
What happens to credits if a player's membership expires? Credits remain valid until their own expiry date regardless of membership status.
Can credits be transferred between players? No. Credits are tied to the player's account and the issuing club.
Payments and Reporting
How do I view my club's revenue? Dashboard > Analytics > Revenue. Break down by period, coach, class, sport, or court hire.
How does commission work? There are two separate fees on each booking:
- Booking fee — added to the cash portion at player checkout. The rate depends on the class type (group/social/court hire/drop-in/annual/subscription instalment 3%; camp/private 2.5%; term enrolment 2.2%). Subscription instalments are billed at 3% per charge, not the 2.2% term rate.
- Platform fee — deducted from your payout. Tier-dependent: Coach Free 5% / Coach 2.5% / Coach Pro 2%; Club Free 5% / Club 1.5% / Club Pro 1%.
Both fees are calculated on the cash portion of each booking only — credits redeemed by a player are never charged a fee. Refunds claw back the cash portion only; fees are not refunded with the booking. When your tier's rate changes, every payout not yet paid settles at the current rate; payouts already paid keep the figures they settled at. What a player was charged at booking time never changes.
How do I generate a payment link for a player? Dashboard > Payments > Create Payment Link. Enter the amount and description, copy the link, and share directly with the player.
What is an internal booking? An internal (no-charge) booking places a player on the roster without charging them. Useful for complimentary spots, staff access, or administrative purposes.
Website Integration
Can I embed AllSquads booking on my own website? Yes. Dashboard > Settings > Widget generates a code snippet to embed the AllSquads booking widget on any website.
Can I have an AI chat agent on my own website? Yes, on the Pro plan. Dashboard > Settings > Website Widget generates a branded JS snippet. Players can ask questions and book classes directly from your website without leaving it.
Can the AI agent handle player enquiries via email? Not yet — the email agent is Coming Soon and not available in any plan today. It is planned for a future release: each club will receive a dedicated AllSquads email address, and inbound emails will be answered by the AI agent automatically with full conversation history in Dashboard > Messages. Until then, club admins handle email enquiries manually.
Team Management
Where do I manage my coaching team? Dashboard > Team tab (standalone tab in the sidebar). This screen shows all active coaches and pending invitations, their roles, status, and join date. You can invite new coaches, resend invitations, change roles, and remove members. Team management has been consolidated here — it is no longer in Settings.
Do my coaches need their own Stripe account? No. Club-employed coaches do not need their own Stripe account — payments flow through the club's Stripe account. The Stripe step is automatically skipped during onboarding for coaches who are employed by a club.
Onboarding
What are the new steps in the club onboarding wizard? The club onboarding wizard now includes: club profile with address autocomplete, an optional coach profile step (if you also coach), a coach invitation step, Stripe Connect with persistence (progress saved if you navigate away), and a full class creation wizard to publish your first class.
What is the account type selection screen? During registration, new users see a guidance screen that explains the three account types: Player (book and attend classes), Coach (create and manage classes), and Business (full club management with courts, team, and analytics). This helps users select the right account type from the start.
Multi-role Accounts
Can one person be a player, coach, and club admin? Yes. A single AllSquads account can hold multiple roles simultaneously. For example, a club admin who also coaches and plays can manage all three roles from one account. Roles are additive — adding a new role never removes existing ones.
How does the dashboard adapt to multiple roles? The dashboard shows features based on your active persona and context. When viewing as a club admin, you see full business features. The club context switcher lets you move between clubs if you manage more than one.
Squad Audience / Player Type
Can I select more than one player type for a squad — for example Adults AND Kids together? You don't need to multi-select: choose the "All" player type. "All" means the squad has no audience restriction — adults and kids can both book it, and it appears in Explore for every audience filter. The player-type picker is deliberately single-choice; "All" is the option that covers mixed groups. (If you want separate pricing or capacity per audience, create one squad per audience instead.)
