Cycling club ride and coaching software

For clubs running rides, skills sessions and coaching around the weather

1st month free. A card is required to start, and nothing is charged until your free month ends. The free profile and free tiers never need one.

TL;DR

  • Most of the calendar is one-off events strung together, and each one needs a sign-on list before wheels turn.
  • Very little of it is a block, so the one-off session is the format doing the heavy lifting here.
  • When weather cancels a ride, the credit follows the policy rather than a conversation on the start line.
  • Volunteers can be given access to their own events without being given the whole club.

A cycling club's calendar is mostly one-off events strung together: a Saturday bunch ride, a midweek criterium, a skills morning for juniors, a coached session on the track. Very little of it is a term program, most of it needs a sign-on list for insurance and safety reasons, and a decent share of it gets cancelled the night before because of weather. That combination is why so many clubs are still running on a spreadsheet, a payment app and a group chat.

Rides and races as bookable sessions

A ride or a race night is a single dated event rather than a recurring commitment, and it is published as exactly that: one date, one start time, one capacity, one price. Capacity matters more here than in most sports, because a bunch has a safe size and a race has a field limit, and once it is set the booking flow will not go past it. Because everyone books rather than turns up, the ride leader opens a roster instead of writing names on a clipboard, and the club has a record of who was there.

Skills blocks and coached programs

Where a club runs something with continuity, such as a junior development series or a coached block over a set number of weeks, it works as a term class: fixed start and end, sessions generated from the weekly pattern, one price for the run. Where the club instead wants people to be able to buy in as they go, drop-in pricing lets a rider pay for a single session at its own price, and they appear on the same roster as the block entrants. Both can run against the same program, and most clubs end up doing exactly that.

The weather, and what happens to the money

Cycling loses more sessions to conditions than almost any sport on this list, and how cancellations are handled is a retention issue rather than an admin one. A cancellation inside the allowed window issues credits to the rider's account automatically, with nothing to fill in and nobody to chase, and those credits go straight back against the next booking. Cancellation notices are one of the few messages sent by text rather than email alone, which matters when the decision is made at half past five for a six o'clock start.

Memberships, and selling a season up front

Most clubs want members to pay less than visitors, and want to sell the relationship rather than the ride. A membership product applies member pricing automatically at checkout, with expiry and renewal notifications built in, so nobody is manually checking a list against a spreadsheet at sign-on. Where the club would rather sell in bulk, a pack of five or ten session credits lets a regular buy once and book against it, and discount tiers can lower the per-session price automatically when someone books several at a time.

Volunteers, and who can see what

A cycling club runs on volunteers who each own one part of it, which makes permissions a real requirement rather than a nice-to-have. Access ranges from view-only, through managing only the sessions a person is assigned to, up to full club administration, so a ride coordinator can run their own roster without seeing the club's finances. Where a club operates across more than one location, such as a road program and a track program, both run from one account with their own settings and their own coordinators.

What the season looked like

Over a year the dashboard shows revenue, bookings and rider retention, plus how often waitlists turned into bookings, broken out per program. For a committee arguing about whether to keep the Wednesday session, that is a set of numbers rather than a set of opinions. Everything taken through the club page settles into a single weekly transfer, paid in the week after it was taken, with an itemised breakdown behind it.

Which setup fits you?

Every event needs a sign-on sheet for insurance

Good fit

A booking is that sheet, and it exists before the ride rather than being assembled on a clipboard at the start. The list of who is out on the road is the list of who paid to be there, and it is on a phone rather than in a folder in somebody's car.

You want race timing, results or handicapping

Worth knowing

None of it is here. Timing systems, results and handicaps stay where they are. Entries, the sign-on, the money and the contact list are the parts that move, and for most clubs that is where the volunteer hours actually go.

Your season is sold as membership rather than per event

Worth knowing

Both models work, and the right one depends on what you want the money to do. Membership up front smooths the year and prices the risk of a wet winter into the season; per-event pricing follows the weather but leaves you selling every week.
