TL;DR
- This is one of the few sports here that sells competitions rather than coaching.
- A captain paying for a whole team is a single booking, and the roster still has to name everyone in it.
- Individuals with no team are a real cohort, and a queue is a better answer for them than a Facebook post.
- Summer and winter are separate blocks with different divisions, not one season with a gap.
Touch football is one of the few sports here that mostly sells competitions rather than coaching. A local association runs a summer comp and a winter comp, in mixed, men's and women's divisions, on fields it marks out itself, and the whole thing lives or dies on getting nominations in and paid before round one. The two hard parts are the team captain who pays for everybody and the individual who wants to play but has no team.

Competition entries as a season block
A competition season is a fixed run of weekly evenings, which is the shape a term-style block was built for: a start date, an end date, the night it runs, and one price for the season, with the rounds generated from the pattern. Capacity is set to the number of entries the draw can take, and the entry flow stops selling past it. Where an association runs several divisions on the same night, each division is its own bookable thing with its own capacity and its own price, so mixed filling up does not close men's.
The captain who pays for the team
Somebody usually pays for a whole side and collects from their team afterwards, and that is a normal booking rather than a special case: one account can book several players in a single checkout, with the players held as separate profiles under it. Where an association would rather each player pay their own way, individuals simply book themselves into the same division. Both models can run against the same competition, which is what most associations end up doing.
Players without a team
Every association has a queue of individuals looking for a side, and it is normally a folder of unanswered messages. When a division is full, the waitlist opens automatically and everyone who joins becomes a contact record, so the list of people who want to play is a list the association can actually message. Waitlisted players are notified in the order they joined, first-come first-served with no hold and no expiry on the offer, and someone who misses a spot stays in the queue instead of being dropped.
Two seasons, and what changes between them
Most associations run summer and winter, and the differences are real rather than cosmetic.
| Between seasons | Mid-season | |
|---|---|---|
| A division not running | Pause it: hidden, bookings and history kept | Pause it: existing entries are unaffected |
| A price change | Set the new price before entries open | Applies to new entries only |
| A finished division | Archive it rather than delete it | Not applicable |
| Dates moving | Set them before publishing | Everyone entered is notified and can cancel for a full credit |
Junior competitions and school programs
Junior touch typically runs earlier in the evening with shorter games and its own age divisions, and clubs frequently run a schools program alongside it. Each is a separate class with its own capacity and price. A free trial can be enabled on an ongoing program, limited to one per player per class, which is a low-friction way to convert a school participant into a club one without anybody keeping a manual list of who has had a go.
Fields, referees and the money
Where an association controls its own fields, unused hours can be sold as facility hire in half-hour blocks against live availability, with member and casual rates and separate daytime and evening pricing. Entries and hire taken across a week arrive as a single transfer the following week, itemised per booking, and the count against a payout is players rather than bookings, which is what a registrar can check against a draw. An association can open entries before its bank details are fully verified; the money accrues and pays out once onboarding completes.
Which setup fits you?
Team nominations and entry fees are most of your admin
Good fitThen the entry side is where the hours come back. Entries close themselves when the division is full, the fee is taken at nomination, and the list of who has actually paid is the list of who is in rather than a spreadsheet somebody maintains beside it.
You want the draw, the ladder or the results here
Worth knowingThey are not here and no page on this site will suggest otherwise. Your competition software keeps the draw. Nominations, entry fees, the field list and the referee bookings are the parts that move.
One captain pays and then chases their own team
Worth knowingSupported, and usually how it works, but be clear about who you have a record of. A team nomination gives you the captain as the contact; getting the individual players into your records needs them to be booked in as well, which is a decision about how you want to run the season.
