Triathlon squad and coaching booking software

Three disciplines, three venues, one training week to sell

1st month free. A card is required to start, and nothing is charged until your free month ends. The free profile and free tiers never need one.

TL;DR

  • One athlete needs three venues in a week, each with a different coach and a different capacity.
  • You are choosing between selling a block of a specific squad and selling access to a week of sessions.
  • Packs suit the athlete who takes four sessions a fortnight and cannot commit to a fixed night.
  • An athlete joining a race build late pays for what is left, if that setting was on before you published.

Triathlon has a scheduling problem no single-discipline sport has: the same athlete needs pool water on Tuesday, a road or trainer session on Thursday and a run set on Saturday, and each of those happens somewhere different with a different coach and a different cost base. Selling that as one training week, rather than as three unrelated things a member has to work out for themselves, is most of the operational challenge for a squad or a coaching business.

A training week across three disciplines

Each discipline session is its own class with its own capacity, because the constraint is different every time: lane space in the pool, a safe group size on the road, a coach-to-athlete ratio on the track. Publishing them separately means an athlete can book the swim without being committed to the ride, and the coach opens a roster for the session actually in front of them. Combined sessions that run the disciplines back to back, the brick work most squads schedule in the build to a race, are simply another class with its own start time and capacity.

Selling a block, or selling access

Squads split roughly into two commercial models and the platform handles both. A coached block runs as a term class with a fixed start and end and one price for the run, with sessions generated from the weekly pattern. Access-style squads instead sell membership, applying a member price automatically at checkout with renewals and expiry handled, or sell packs of five or ten session credits that an athlete books against as their week allows. Discount tiers can lower the per-session price automatically for someone booking several sessions at once, which is exactly the athlete a squad most wants to keep.

Race-build blocks and the athlete who joins late

Squads commonly run a defined build into a target race, and athletes ask to join it three weeks in because that is when they entered the race. Pro-rata is a per-class setting for that case: with it on, the athlete pays only for the sessions still to come, calculated when they book and shown as an adjusted price with the remaining count. With it off, the block price applies in full. Either answer is defensible; what matters is that it is a decision the coach makes per block rather than a surprise at checkout.

One-to-one coaching and testing

Technique work, video analysis and testing are one-to-one bookings rather than squad sessions. A private booking checks the coach's availability and the venue's availability together and only offers a slot when both are free. Prices are set per duration, so a half-hour stroke correction and a full-hour testing block carry separate prices, and where a coach takes two athletes for a single flat price that can be configured on the durations it applies to and is shown before payment. Requests need approval by default, and a minimum lead time in hours can be set so the coach's Sunday is not booked at ten on Saturday night.

Athletes, contacts and what the season showed

Every booking adds the athlete to the squad's contacts automatically with their history attached, and an existing list can be imported from a spreadsheet. Each squad gets a group chat, so a swim session moving pools is one message to the people in that session rather than a general broadcast nobody reads. Across the season the dashboard reports revenue, bookings and athlete retention per session, which is the honest way to find out whether the Thursday ride is carrying the squad or costing it. Everything paid settles into one weekly transfer, in the week after it was taken.

Which setup fits you?

Your athletes pick and mix across three disciplines

Good fit

That is what packs are for. An athlete buys a number of sessions and spends them across the week wherever they turn up, and you get the money in advance without pretending they will be at the same pool session every Tuesday.

You want training plans, load tracking or power data here

Worth knowing

None of that exists and none of it is coming. Your coaching platform keeps the plans and the data. What moves is who is booked into which session, what they paid, and whether the lane you hired is full.

Three of your venues are hired from three different operators

Worth knowing

Workable, and multi-venue is designed for it, but your capacities are only as honest as the hours you actually hold. Publishing a Thursday session against a lane you have not confirmed for the block is the failure mode, and it is a scheduling problem rather than a software one.
