Session packs

The ten-visit card, kept in a drawer at the club and marked off with a pen

1st month free. A card is required to start, and nothing is charged until your free month ends. The free profile and free tiers never need one.

TL;DR

Ten-visit cards in a drawer and a WhatsApp reminder, or session packs on AllSquads

  • The card is marked off at the door by whoever is there; the pack is deducted at booking, so the roster already knows the seat is paid.
  • A pack is bought online with at least one session booked at the same time, and the balance sits on the player's account, not in a drawer.
  • A pack works on any class at the same club that has packs enabled and is priced at or under the pack's per-session ceiling, so one pack can cover Tuesday squad and Thursday drills.
  • Cancel inside the class's policy and the session goes back onto the pack; cancel late and it is used.
  • Packs are paid to the club in full in the week they are purchased and are non-refundable, which the player is told at the point of sale.

A session pack is the oldest deal in club sport: pay for ten, come to ten, save a little. The manual version is a card with ten boxes, a pen, and a coach who trusts the player to bring it. AllSquads sells the pack online, deducts a session at the moment of booking rather than at the door, lets the pack be used on any class the club has opened it to, and pays the club for the whole pack in the week it is bought.

How most clubs run session packs today

A player pays for ten sessions up front, usually by transfer, and is given a card or a line in a spreadsheet. Each week the coach marks a box, or means to. The card lives in a drawer at the club, or in the player's bag, or nowhere, and at some point the player and the coach disagree about how many are left. A pack bought in March is still being argued about in November, and nobody can say whether the pack was meant to cover the Thursday session as well as the Tuesday one.

  • The balance is a physical object or a memory, and both go missing.
  • The pack is deducted at the door, so a booked seat is not necessarily a paid seat.
  • Which classes the pack covers is a conversation, held again every time a new class starts.

Where the ten-visit card breaks

Punch cards work for one class with one coach who sees every player every week. They break with a second class, a second coach, or a player who stops coming and wants the money back.

  • Lost count: the card says six, the spreadsheet says four, and the player is sure it is seven.
  • Unpaid seats on the roster: the player is on the list for Tuesday but whether a session comes off the pack depends on someone remembering at the door.
  • Packs used on the wrong class: a pack sold for the cheap Tuesday session gets marked off against the dearer Thursday one.
  • Refund requests: a player moves away with four sessions left and the club has no policy and no record to point at.
  • Expiry arguments: a card bought two years ago turns up and the club has to decide, on the spot, whether it is still good.
  • The treasurer cannot see it: pack money arrived as one transfer months ago and the sessions it covers never appear anywhere.
  • Two coaches, two counts: the assistant coach marks the card differently from the head coach, and both are right.

Enabled per class, sold at checkout

Session packs are configured per class in the class wizard, not on a global settings page: the club decides, class by class, whether a pack can be used there. A player buys a pack at checkout and must book at least one session in the same purchase, so a pack never exists as a floating balance with nothing against it. The pack balance sits on the player's account and is visible to the club on the contact record.

Deducted at booking, not at the door

One session is deducted from the pack for each session the player books, at the moment of booking. That is the change that removes the punch card: a seat on the roster taken with a pack is already paid for, and the coach at the door has nothing to mark off. If the player cancels within the class's cancellation policy, the session is reinstated to the pack automatically; a late cancellation, inside the notice threshold, uses the session like any other late cancel.

One pack, several classes

A pack credit is valid for any class at the same club that has session packs enabled and is priced at or under the pack's per-session ceiling. Both conditions are required: a class with packs switched off cannot be paid for with a pack even if its price would qualify, and a class priced above the ceiling cannot be paid for with a pack sold at a lower rate. That lets a club sell one pack that covers its casual sessions while keeping a premium class outside it, without a conversation at the door.

Expiry, refunds and what the player is told

Packs expire twelve months from the purchase date. Pack purchases are non-refundable, and that is stated at the point of purchase: the club is paid for the pack in the week it is bought, so it cannot be cancelled or refunded through the platform afterwards by the player, the club or an admin. Unused sessions stay available until the pack expires; unused sessions in an expired pack are not refunded automatically, and a player with a genuine exceptional case, a club closing say, contacts support rather than the coach.

What the club and the treasurer see

The pack sale lands in the club's weekly payout for the week it was purchased, alongside classes, court hire and memberships. Session pack revenue is its own line in club analytics, and a session booked with a pack is not counted as revenue again when it is redeemed, because the money was counted when the pack was sold. On the roster, a pack redemption shows as a paid seat; on the contact record, the club can see the balance the player has left.

Where the punch card is fine

One class, one coach, a handful of players who come every week and never cancel: a card in a drawer works, because the count is easy and the coach is always there to keep it. It stops working at the second class the pack might apply to, the first cancellation the player wants credited, the first player who asks what happens when they move, or the first week the coach is away and someone else is at the door.

Which pack setup fits your club?

Casual players who come most weeks but will not commit to a term

Good fit

That is the pack's natural customer. Enable packs on the casual classes, sell a ten-session pack at a small discount to the single-session price, and the player books week by week with a session coming off the pack each time. A cancellation within policy returns the session, so the pack is never wasted on a week they could not make.

One pack that works across several casual classes

Good fit

Enable packs on each of those classes and price the pack's per-session ceiling at or above the dearest of them. A pack then covers Tuesday, Thursday and the Saturday social alike, while a premium class left with packs off, or priced above the ceiling, stays outside it without any conversation at the door.

Players who want a fixed weekly commitment at a lower rate

Worth knowing

A pack suits variable attendance; a weekly subscription suits the player who comes every week. Enable subscriptions on the recurring class instead, with a weekly or fortnightly price and a notice period, and the player is billed automatically rather than topping up a pack. Many clubs offer both on the same class.

You want to sell a pack that never expires

Worth knowing

Packs expire twelve months from purchase and that is not a setting. If a longer horizon matters more than the pack mechanics, a one-off membership with a set length or a fixed end date may be the better product, with the member rate applying to the classes it covers rather than a session count.

A club that currently refunds unused sessions when someone leaves

Worth knowing

Packs are non-refundable through the platform and the player is told so at purchase, which removes the case-by-case decision. A club that wants to be generous can still issue a manual credit to the player from their contact record, at its own discretion, for use on any booking at the club.

Choose packs on AllSquads, or keep the punch card

Choose AllSquads if

  • A player and a coach have ever disagreed about how many sessions were left.
  • A pack has ever been marked off against a class it was not sold for.
  • You would like a pack-paid seat to be a paid seat before the player arrives.
  • Two coaches keep two counts of the same card.
  • The treasurer has asked what the pack money covered and nobody could say.

Stick with WhatsApp if

  • One class, one coach, and players who never cancel or move away.
  • The pack is a loyalty gesture and the count does not really matter.
  • You like the pen.

Move the punch cards across in a week

Existing balances can be honoured without selling anything: a manual credit on the player's contact record covers the sessions left on their card, and new packs are sold online from then on.

  1. Import the players with cards

Contacts, then Import, with names and emails. Each player who still holds a card becomes a contact you can issue credit to.

  2. Honour the sessions left on each card

Issue a manual credit from the contact record for the value of the unused sessions, with a reason and an expiry. The player sees it on their next booking at the club.

  3. Enable packs on the classes a pack should cover

In each class's wizard, turn session packs on. A class left off stays outside every pack, whatever its price.

  4. Set the pack size and its per-session ceiling

The ceiling decides which enabled classes accept the pack. Price it at or above the dearest class the pack is meant to cover.

  5. Retire the drawer

New packs are bought at checkout with a session booked in the same purchase, and every redemption is deducted at booking.

What to try with a test pack in your first week

Every step is inside the free trial and ends with a balance, a roster or a payout figure you can see.

  1. Enable packs on two classes, one priced under the ceiling and one over, and buy a pack as a player.

The checkout requires a session to be booked with the pack, and the balance appears on the player's account.

  2. Book a session on the cheaper class with the pack.

The balance drops by one at booking, and the roster shows the seat as paid.

  3. Try to pay for the dearer class with the same pack.

The pack is not offered, because the class is priced above the pack's per-session ceiling.

  4. Cancel the pack-paid booking outside the class's notice threshold.

The session is reinstated to the pack and the balance goes back up by one.

  5. Open the club's analytics for the week of the purchase.

Session pack revenue appears as its own line for that week, with nothing added when the session was redeemed.

Why clubs and coaches run on AllSquads

One platform for the whole operation: bookings, payments, courts, members and messages, built for racquet clubs and the coaches who run them.

  • Every class type on one timetable

Group classes, terms, camps, private lessons, socials, court hire and retreats all live on one schedule, with one roster per session.

  • Every way to pay

Upfront, weekly or monthly subscriptions, drop-ins, memberships, session packs and term instalments, collected online and paid out to your club every week.

  • Court hire with cost splitting

Players book one court or several in a single checkout and split the cost between up to eight people, so nobody chases anyone for their share.

  • A CRM with every channel

Every player and parent has a contact record, and you reach them by email, in-app message, push notification or broadcast. Paid plans add SMS for cancellations, reminders and payment requests.

  • Team scheduling

Coaches set their availability, you assign a head coach to each class, and a substitute takes a single session without rebuilding the class.

  • Admin that runs itself

Reminders go out before a session and before every subscription charge, the waitlist tells everyone waiting the moment a place opens, and cancellations turn into account credit under your own policy.

  • Promo codes and a pro shop

Discount codes at checkout, and a pro shop with member pricing and online or cash sales that land in the same weekly payout.

  • An AI agent on both sides

The Club Agent answers questions about your bookings, members and money from the dashboard, and the Concierge helps players find and book the right class.

  • Analytics you can act on

Revenue, bookings, attendance, court use and member trends, with weekly, monthly, quarterly and financial-year reports you can drill into.
