AllSquads vs Mindbody

Global fitness and wellness software with a consumer marketplace, priced per location per month

2 months free. A card is required to start, and nothing is charged until your 2 free months end. The free profile and free tiers never need one.

TL;DR

Mindbody vs AllSquads, the short version

  • Mindbody publishes Australian dollar pricing, which most of this category does not. The figure compared here is its middle plan, for the reason given below.
  • Its price is per LOCATION per month. Ours is one flat rate for the club however many venues it runs.
  • Its entry plan is cheaper than our club tier, and it does not include resource scheduling or full reporting. If you do not need those, it is the cheaper product.
  • Mindbody pays a business out DAILY to a linked bank account, which is faster than our weekly payout, and this page says so.
  • What we could not find is paying an independent coach directly for the sessions they ran, which is core to how a club with contract coaches works.
  • Its consumer marketplace app is a real advantage nothing else here has: people already using it find and book businesses they had not heard of.

Mindbody is the biggest product in this category and the only one on this site with a consumer marketplace behind it: an app tens of thousands of Australians already have, where people browse and book. It publishes Australian dollar pricing, it pays businesses out daily, it has a genuinely capable AI front desk, and for a wellness studio it is a strong buy. This page is about what changes when the business is a sports club: the price is charged per location, the courts are a resource-scheduling tool rather than a member-bookable surface with member rates, and there is no route we could find to paying an independent coach for their own sessions.

What is Mindbody?

Mindbody is fitness, beauty and wellness business software with a consumer marketplace attached. A studio runs its timetable, memberships, payments, marketing and reporting in the business product, and its classes can also appear in the Mindbody app, where people browse and book without knowing the business beforehand. It operates globally, it publishes Australian pricing, and it is the most widely recognised name in this category by a distance.

The plans go Go, Core, Growth and Enterprise, each priced per location per month. Go covers bookings, payments, a website with booking widgets, a listing in the consumer app and basic reporting. Core adds full analytics, room and resource management for scheduling spaces and rentals, Client Pick-a-Spot and promo codes. Growth adds automated email and text campaigns and a round-the-clock AI front desk. Enterprise is a custom plan for multi-location and franchise operators. Every plan's button says let us talk rather than start free.

Two parts of it are genuinely strong and worth naming before any criticism. Payouts are real and fast: money from app bookings is collected through a payouts account and the net amount is deposited to the business's linked bank account, set to daily by default on business days. And its AI Concierge is not a chatbot bolted on, but a front desk that knows the business's services, staff, pricing, real-time availability and client history, answers in natural language and can book or reschedule.

The question for an Australian club is narrower. What happens to the price when you run two venues, what happens to the courts, and who pays the coach who ran Tuesday night?

Why clubs look for a Mindbody alternative

These are not complaints about reliability, and Mindbody is not a weak product. They are the specific places a studio-shaped, per-location product stops matching an Australian club, each checkable against what Mindbody publishes.

The price is per location, so a second venue doubles it

Every published plan is per location per month. A club running a main site and an annexe, or a council contract across two reserves, pays the plan twice. AllSquads charges one flat rate for the club whatever number of venues sit under it, with each venue's courts and classes on the same roster. For a single-site studio this difference does not exist; for a club with more than one address it is the largest single line in the comparison.

The plan a club actually needs is not the advertised entry price

The headline figure is the entry plan, and it carries basic reporting and no resource scheduling. A club that wants to sell court or room time and see proper reporting is looking at the middle plan, which is a different number. That is a normal way to sell software and it does mean the price a club ends up quoted is not the price on the poster.

Courts are a resource to schedule, not a surface a member books

Room and resource management, from the middle plan up, handles scheduling spaces and rentals. What their pages do not state is whether a member can book a court online and have their membership rate applied automatically, which is how court hire actually works at a club. On AllSquads courts sit on the same roster as the coaching, a clash is flagged as it is created, and the member rate applies by itself.

Nothing we could find pays an independent coach

Mindbody pays the BUSINESS, and quickly. What we could not find on its public pages is paying an individual independent coach directly for the sessions they ran, which is how a large share of Australian clubs actually operate. Without it the club collects everything and then redistributes by hand, which is the spreadsheet this software was supposed to remove.

There is nothing to try by yourself

Every plan's call to action is a conversation, and no trial is listed anywhere on the pricing page. For a volunteer committee that meets monthly, a sales call before you can see the product is often the reason nothing changes for another season. AllSquads is self-serve: you can publish a class and take a real booking the same evening.

Which setup fits your club?

Do you run more than one venue?

Good fit

Then compare the totals rather than the plans. Mindbody's published plans are per location per month, so two venues is the plan twice. AllSquads is one flat tier rate for the club however many venues it runs, with every venue's courts and classes on the same roster and one payout covering the lot. Put your venue count into both pricing pages before anything else.

Do you need a member to book a court online at a member rate?

Good fit

Then look closely at both, because this is where the two shapes differ. AllSquads puts courts on the same roster as the coaching, applies the membership rate automatically and flags a clash with a coaching session as it is created. Mindbody publishes room and resource management for scheduling spaces and rentals from its middle plan up, which is the closest thing on its pages, and it does not state whether a member books one themselves at their own rate.

Do your independent coaches need paying for their own sessions?

Good fit

This is the clearest gap we found. AllSquads can pay an independent coach directly for the sessions they ran, with the club's own payout arriving weekly and itemised booking by booking. Mindbody deposits to the business's linked bank account, set to daily by default, which is faster than ours, but we could find nothing that pays a contract coach their share without the club doing it by hand afterwards.

Is being discovered by people who have never heard of you the main thing you want?

Worth knowing

Then Mindbody has something we simply do not. Its consumer app is a marketplace with a large Australian user base, and a listing in it puts your classes in front of people already browsing for something to book. AllSquads has no marketplace of that kind: we bring in the people you already reach, through your own site, your own app listing and your own links. If demand generation is the purchase, theirs is the better product today.

Are you a single-site studio rather than a club with courts?

Worth knowing

Then much of this page does not apply to you and Mindbody deserves a serious look. Per-location pricing costs you nothing extra at one site, its entry plan is cheaper than our club tier, the marketplace works in your favour, and its marketing automation and AI front desk are built for exactly your business. We would rather say that here than have you work it out after signing up with us.

AllSquads vs Mindbody

AllSquads compared with Mindbody across the eleven jobs an Australian club has to do, using only what each product's own public pages document.
AllSquadsMindbody
Getting paidPlayers pay by card when they book or enrol, the payment is taken inside the platform, and the place is held only once it clears, so nobody starts a term chasing a transfer.Integrated payment processing on every plan through Mindbody Payments, with the processing rate not published on its pricing page and described as depending on the plan.
The rosterCourts, term classes, camps, private lessons and memberships share one roster across every venue the club runs, so a clash shows up as it is created.A full scheduling product for classes and appointments, with room and resource management for spaces and rentals from the middle plan up, scoped per location.
Term and drop-in on one classOne class takes both: enrol for the term and drop-in is a toggle on that same class, so a casual player and a term family share one roster and one attendance sheet.Classes, courses, memberships and passes are all supported; whether a single class carries a term enrolment and a casual booking together is not something its public pages state.
Cancellations and creditsA cancelled session issues a credit against the payer automatically under the club's own policy, visible to both sides and spendable on anything the club sells.Cancellations, refunds and disputes for app bookings follow the business's own policies, and clients can cancel from the app themselves.
RemindersAutomatic reminders before a session and after a booking, by email and push, with the club choosing which events notify whom rather than anyone remembering to send them.Automated email and text campaigns and templates from the top published plan, with the AI front desk answering missed calls around the clock on that same plan.
Member pricingMembership tiers carry their own rates and the member price applies by itself to classes, court hire and a Pro Shop discount, with one tier able to cover a family.Memberships, passes and promo codes are core to the product; whether a membership rate applies automatically to a room or resource booking is not stated publicly.
WaitlistsA full class takes a waitlist, and a released place is offered to the next person in order with their contact details already held by the club.Waitlists are a long-standing part of its class scheduling, and Client Pick-a-Spot from the middle plan lets a client choose their place in the room.
PayoutsOne payment to the club every week for the week just gone, itemised booking by booking, and an independent coach can be paid directly for the sessions they ran.Money is collected through a payouts account and the net amount is deposited to the business's linked bank account, set to daily by default on business days, which is faster than ours. Paying an individual independent coach for their own sessions is not something we could find on its public pages.
Court hireCourts are bookable on the same roster as the coaching with the member rate applied, so one calendar sells both and shows one view of the week across every venue.Room and resource management for scheduling spaces and rentals, from the middle plan up; whether a member books a court themselves at a membership rate is not stated on its pages.
Comms and AIA chat on every session for the coach and the people booked in, announcements filtered by tag or membership, and AI on both sides: a branded AI chat agent the club puts on its own website that answers questions and books from there, plus an Ask AI concierge in the player app. Email enquiries are still answered by a person; our email agent is published as Coming Soon.Email and text marketing automation, plus an AI Concierge on the top published plan that knows the business's services, staff, pricing, live availability and client history, answers in natural language and can book or reschedule. Both products have AI and theirs also answers the phone.
RecordsAttendance, payments, credits, memberships and payouts all queryable, with exports a treasurer or an auditor can work from at the end of a season.Basic reporting on the entry plan and powerful analytics and reporting from the middle plan up, with a dedicated report tracking app-booking payouts.

How AllSquads compares

Seven dimensions where the two differ in ways a club will feel. Mindbody is a strong product, so several of these are trade-offs rather than gaps, and one of them goes their way outright.

Per location against per club

Every published Mindbody plan is priced per location per month. AllSquads charges one flat tier rate for the club, whether it runs one site or four, with every venue on the same roster and one payout covering all of them. For a single-site business the difference is nothing; for a club with an annexe, a second reserve or a summer venue it is the largest number in this comparison, and it is the reason most multi-venue clubs start looking.

Which plan the comparison is really against

The figure recorded on this page is Mindbody's MIDDLE plan, not its dearest, and the reason matters. Their entry plan carries basic reporting and no resource scheduling, so it cannot do what our club tier does; the middle plan is the first that carries both resource scheduling and full reporting. Their top plan and their enterprise plan are dearer and would have flattered us more. Their entry plan is cheaper than our club tier, and this page says so in three places rather than hiding it.

Payouts, where they are faster than us

Credit where it is due: Mindbody collects through a payouts account and deposits the net amount to the business's linked bank account, set to daily by default on business days. Ours is weekly, for the week just gone, itemised booking by booking so it reconciles against the bank line. Daily is faster, and if cash timing is your constraint that is a real point in their favour. Where we differ is the second half: AllSquads can pay an independent coach directly for the sessions they ran, and we found nothing equivalent on their pages.

A marketplace against your own audience

Mindbody's consumer app is a genuine marketplace: people browse it and book businesses they had not heard of, and a listing is included from the entry plan. AllSquads has nothing like it and does not pretend to. We help you sell to the people you already reach, through your own website, your own links and search. A fee applies only on the first purchase by someone new the app introduced, it is capped, existing clients and tracked referrals are free, and every booking after the first carries nothing.

Both have AI, and theirs answers the phone

Mindbody's AI Concierge is a round-the-clock front desk on its top published plan: it knows the services, staff, pricing, live availability and client history, replies in natural language and can book or reschedule, including turning missed calls into bookings. The AllSquads AI is documented in our own help centre and is aimed at the enquiry: a branded chat agent a club puts on its own website where a parent can ask and book without leaving that site, and an Ask AI concierge in the player app. Agent conversations are kept ninety days and are not used to train models. Our email agent is published as Coming Soon, and we have no equivalent of answering the phone.

How you start

Every Mindbody plan's button is an invitation to talk, and no trial is listed on its pricing page. AllSquads is self-serve: open an account, publish a class and take a real booking without speaking to anybody. A card is required to start a paid trial and nothing is charged on the day, and the free Coach and Club tiers never ask for one. Which is better depends on whether your decision-maker is a full-time manager or a volunteer with an hour free on a Sunday.

Built for a studio week or a club season

Mindbody is shaped around a studio: a timetable, memberships, passes, marketing and a marketplace. AllSquads is shaped around a club's season: a term that repeats weekly with school holidays taken out, a camp, private lessons, memberships and the courts, all on one roster, priced in Australian dollars with GST inside the published figure. Neither shape is wrong. The mismatch only bites in the parts the other was never designed for.

Where Mindbody wins

A comparison that concedes nothing is an advertisement. Mindbody is the largest product in this category and it wins in several places, including one where it is simply faster than us.

  • The consumer marketplace. Its app has a large Australian user base and people use it to find and book businesses they had not heard of, with a listing included from the entry plan. AllSquads has no equivalent and is not trying to build one: we help you sell to the audience you already have. If your problem is being discovered rather than being organised, that difference is the whole decision.
  • Payouts are faster. Money from app bookings is collected through a payouts account and deposited to the business's linked bank account, set to daily by default on business days. Ours is weekly. If your constraint is how quickly takings reach the bank rather than how they are itemised, they win that outright and we would rather say so here.
  • An AI front desk that answers the phone. Their AI Concierge knows the services, staff, pricing, live availability and client history, replies in natural language, and turns missed calls into bookings around the clock. Our AI answers enquiries on your website and in the player app; it does not pick up the phone. For a business losing bookings to unanswered calls, that is a concrete advantage.
  • Depth for a multi-location wellness operator. Room and resource management, promo codes, Client Pick-a-Spot, marketing automation, branded apps, and an enterprise plan built for franchising add up to a product for a chain of studios. AllSquads is built for a club and its season, and a growing wellness chain is genuinely better served by them.
  • It publishes Australian dollar pricing at all. Most of this category will not give a buyer a number without a sales call. Mindbody puts its plan prices on a public Australian page, which is more than several of the products on this site do, and it deserves credit for that even though the plans are per location.

Independent ratings and verified pricing

Two listings a reader can open, and they are deliberately not the same one. The score usually quoted for Mindbody belongs to its CONSUMER marketplace app, which people use to book yoga and massage; the app a club's own staff would run is the business one, and it sits lower. Both are below, because quoting only the first would be picking the flattering number. We have not quoted a Capterra figure: its listing would not open for us on the date below, and a rating we cannot open is not a fact.

  • App Store

Measured impact

Rounded bands from clubs that moved onto AllSquads from an existing system, not one club's figures presented as a benchmark. Your week will differ; the shape usually does not.

Monday spent working out who gets paid
most of it goes away, because the payout arrives itemised
What a second venue adds to the software bill
nothing, because the tier rate covers the club
Chasing money after a term starts
close to none, because a place is held only once payment clears
Places sold from cancellations
more of them, because the waitlist offers them in order by itself
Time to publish a term with the holidays taken out
minutes rather than an evening

The second line is the one to sit with for this comparison. If you run more than one address, work out both totals at your real venue count before anything else.

Should you choose AllSquads or Mindbody?

Choose AllSquads if

  • You run more than one venue and would rather not pay for the software again at each address.
  • Your independent coaches need paying directly for the sessions they ran, rather than the club redistributing by hand afterwards.
  • You want members booking courts online with their membership rate applied, on the same roster as the coaching.
  • You want to try it yourself this weekend rather than book a call to find out what you would be quoted.
  • Your week is a school term with holidays taken out, a camp and private lessons, rather than a studio timetable.
  • You want the AllSquads AI answering the easy enquiries: a chat agent on your own website that books, and a concierge in the player app.

Consider Mindbody if

  • Being discovered by people who have never heard of you matters more than anything else on this page, because their consumer marketplace has no equivalent here.
  • You need takings in the bank daily rather than weekly.
  • Missed phone calls are costing you bookings, and an AI front desk that answers them is the fix you are buying.
  • You are a single-site studio rather than a club with courts, where their entry plan is cheaper than our club tier.
  • You are a growing multi-location wellness chain and want franchise-grade tooling around marketing and resources.

Pricing: AllSquads vs Mindbody

Mindbody publishes its Australian plan prices on a public page, which deserves credit because most of this category does not. Three things a club needs to read carefully. The plans are priced per LOCATION per month, so a second venue is the plan again. The entry plan carries basic reporting and no resource scheduling, so a club that wants to schedule spaces and see real reporting is comparing against the middle plan, which is the figure shown above. And the processing rate, the contract length and the GST treatment are not stated on that page, so none of them is asserted here.

AllSquads is a flat monthly subscription per tier in Australian dollars with GST inside the published figure, for the club rather than per venue, with free Coach and Club tiers underneath the paid ones and Pro tiers above, billable monthly or annually. Every paid tier opens with a trial at full tier access; a card is required to start it, nothing is charged on the day, and cancelling before it ends moves the account to the free tier with your data intact. The free tiers never ask for a card at all.

On the marketplace: a fee applies only on the first purchase by someone new to your business who the app introduced, it is capped, an existing client or a tracked referral carries no fee, and every booking after the first is free of it. That is a fair deal for what it is and we are not going to characterise it as anything worse. Our own two fees, a booking fee the player pays at checkout and a platform fee the club pays on its payout, are published on our pricing page and deliberately nowhere else on this site.

How to switch from Mindbody

Three moves and a first term. Do the export first, and while you are in there write down your real venue count, because that is the number this comparison turns on.

  1. Export your clients, memberships and passes

Take the client list, the active memberships and passes with their expiry dates, and current class enrolments out as a spreadsheet. Note who has unused pass visits or membership time left, because those are the balances you will carry across as credit and they are the thing families notice immediately if they go missing.

Help centre: Club guide, Contacts (CRM)

  2. Import the contacts and carry the balances as credit

Upload the spreadsheet as a CSV under Contacts, then Import. Imported people keep a record of where they came from, can be tagged as juniors or members, and can be given a membership tier with its renewal date straight away. Unused pass visits become credit against the person who holds them; a credit raised against somebody who has not signed up yet waits as pending and attaches itself when they register with that email address.

    Help centre: Payments and credits

  3. Rebuild one term, then put every venue's courts on it

Publish a single class with its dates, weekly time, excluded public holidays, capacity and both prices, switch drop-in on so a casual player can take a spare place, then add the courts at each venue so they all sit on the same roster. Doing every venue is the point of the test: one roster and one rate across all of them is the part that is priced differently.

    Help centre: Term classes

  4. Watch one Monday, and count your venues

After the first week of real bookings, open the payout report: one payment for the previous week, itemised booking by booking, and if your coaches are independent, check their own sessions paid out to them. Then put your real venue count into both pricing pages. Those two things together settle this decision better than any feature list.

    Help centre: Court hire guide

What to try in your first week

It is self-serve, so there is nothing to book and nobody to sit through. Five things to do inside the trial, each ending in something on screen you can judge for yourself.

  1. Publish one term class with the school holidays excluded and drop-in switched on

The dates skip the holidays by themselves, and one listing shows both a term price and a casual price.

  2. Add courts at two different venues and look at one week

Both venues appear on the same roster at one rate, with a clash between a hire and a session flagged as you create it.

  3. Import thirty clients from your Mindbody export and carry their unused passes across as credit

Each person's balance shows against their name, spendable on anything the club sells, with nothing typed twice.

  4. Pay a coach for one session they ran

The coach's own payout shows their sessions itemised, without the club redistributing anything by hand.

  5. Generate the website chat agent and ask it when your beginners class runs

It answers from your own timetable on your own site, and a player can book from inside the conversation.

Other Mindbody alternatives to consider

If Mindbody is on your list, some of these probably are too. Naming them, and who each actually suits, is how a comparison page earns being read.

  • Outcoach

Australian-founded and priced per student, which suits a smaller roster, with deeper student progress tracking than either of us.

  • SportLogic (inTennis)

The long-standing Australian racquet-sports incumbent, with an on-premise option and no published price at all.

  • TeamUp

Capable class and membership software with its price published up front, aimed at studios rather than clubs with courts.

  • Momence

Studio and wellness software with marketing automation and a well-specified waitlist, and nothing for courts or payouts.

  • Punchpass

Simple, well-liked software for a single operator running classes, with no court side to it.

FAQ: Mindbody vs AllSquads

The honest summary

Mindbody is the biggest product in this category for good reasons. It publishes Australian pricing when most of its competitors will not, it deposits takings daily rather than weekly, its AI front desk answers the phone, and its consumer marketplace puts a business in front of people who have never heard of it. For a single-site studio, especially one whose problem is being discovered, it is a strong purchase and its entry plan is cheaper than our club tier.

What changes for a club is the shape. The price is per location, so a second venue is the plan again. The plan that matches what a club needs is the middle one, not the headline. Courts appear as resources to schedule rather than as surfaces a member books at their membership rate. And while the business gets paid quickly, we could find nothing that pays an independent coach directly for the sessions they ran, which is the job most Australian clubs actually have.

So the test is simple and it is arithmetic before it is features. Put your real venue count into both pricing pages, then do the first week above and look at one payout report. If being found by strangers is what you are buying, buy theirs.

  • Mindbody publishes Australian dollar pricing, which most of this category does not. The figure compared here is its middle plan, for the reason given below.
  • Its price is per LOCATION per month. Ours is one flat rate for the club however many venues it runs.
