AllSquads vs Outcoach
Australian-founded class management software for coaching businesses, priced per student per month
2 months free. A card is required to start, and nothing is charged until your 2 free months end. The free profile and free tiers never need one.
TL;DR
Outcoach vs AllSquads, the short version
- Outcoach is Australian-founded, works with Tennis Australia through AO StartUps, and is a genuinely capable product. This page credits that throughout.
- It charges per student per month. We charge a flat monthly rate per tier. That single difference is what decides which is cheaper for you.
- A small book of students almost certainly costs less on Outcoach. A large roster is where a flat rate wins.
- Its own pricing page says a club scaling beyond about three hundred and fifty students should contact them for a deal, so the published rates stop there.
- Its pricing page states no currency at all, so a buyer cannot tell whether the rate is Australian dollars. Ours are published in AUD with GST inside the figure.
- Both have courts, memberships, waitlists, makeup credits and AI. The clearest functional gap we found is a scheduled payout to the club and to an independent coach.
Outcoach is the closest comparison on this whole site, and pretending otherwise would waste your time. It is Australian-founded, it works with Tennis Australia through AO StartUps, it has courts, memberships, waitlists, makeup credits, term invoicing that skips public holidays and an AI assistant, and it never charges for parents, coaches or admins. If you are a coach with a small book of students it is very likely cheaper than us. This page is about the two places the difference is structural rather than cosmetic: how the bill is calculated as your roster grows, and what happens to the money on the way back out to the club and the coach.
What is Outcoach?
Outcoach is class and coaching management software built for businesses that teach: tennis clubs, swim schools, music schools, dance studios, gymnastics clubs, tuition centres and more. It was founded in Australia, it works with Tennis Australia through the AO StartUps programme, and its own FAQ positions it as a leading class management product for coaching businesses in Australia. The live product is at outcoach.io.
What it does is broad and current. Student and contact management with parent dashboards, recurring class scheduling, payments and automated invoicing, bulk SMS and email, goal and skill tracking with evaluations that parents can see, online enrolment with capacity control, documents and video, memberships and subscriptions, makeup classes with credits tracked against a student, court and room hire, and a families mobile app. Its December 2025 release added court and venue bookings and a Xero integration; its February 2026 release added term invoices generated in one action that adjust for public holidays, weekly recurring billing and trial bookings.
It also has real AI: an assistant with AI messaging, voice-to-text and business insights, and a co-founder on the record about bringing large language models onto the court at grassroots level. On pricing it is unusually generous in one specific way: parents, coaches, teachers and admins are never charged. Only students are counted.
So this is not a comparison where one product is missing half the list. The difference is the shape of the bill and the direction the money travels, and those two things are what the rest of this page is about.
Why clubs look for an Outcoach alternative
These are growth problems rather than complaints, which is the honest way to describe them. Each one is checkable against what Outcoach itself publishes.
The bill tracks your roster, so growing costs more
Per-student pricing is the fairest possible deal when you have thirty students and the most awkward when you have six hundred, because every child you enrol raises next month's invoice. A flat tier rate does the opposite: the price is the price, and a good enrolment season costs you nothing extra. Neither model is a trick, but they pull in opposite directions, and which one suits you is arithmetic rather than opinion.
Their published rates stop at about three hundred and fifty students
Outcoach's own pricing page invites a club scaling beyond roughly three hundred and fifty students to get in touch for a special deal. That is a reasonable way to handle large customers, and it also means a big club cannot work out its own cost from the published page, which is the moment most committees start looking around.
You cannot tell which currency the price is in
The pricing page shows a bare dollar sign with no currency named anywhere on it, and we found no AUD marker or GST content on any of its pages. For an Australian club that matters twice: once for the exchange rate and once for the tax treatment on an invoice the treasurer has to file. Ours are published in Australian dollars with GST already inside the figure.
Nothing on its pages pays the club or the coach out
Outcoach takes payments and integrates with Stripe and Xero, and its December 2025 release notes mention payment processing with no transaction fee of its own. What we could not find anywhere is the other half: a scheduled payment out to the club, itemised so it reconciles against a bank line, or a direct payment to an independent coach for the sessions they ran. It may exist; it is not on the site.
The review pools are very small
Its app ratings are perfect scores from single-figure and low-double-figure samples, which tells you almost nothing either way. That is normal for a young product and it is a real problem for a committee that wants outside evidence before switching. Ours are not large either, which is why this page shows the sample size beside every score rather than the score alone.
Which setup fits your club?
Do you have a few hundred students or more on the books?
Good fitThen do the arithmetic before anything else, because this is the whole decision. A flat monthly tier rate does not move when you enrol another twenty juniors, while a per-student rate does, and Outcoach's published rates stop describing a club past about three hundred and fifty students anyway. Read their pricing page and ours side by side with your own student count in front of you, and pick whichever total is smaller.
Are you a coach with a small book of students?
Worth knowingThen Outcoach may well cost you less, and we would rather say that than have you find out later. A per-student rate at a small roster is very cheap, they never charge for parents or coaches, and there is a thirty-day free trial. We do have free Coach and Club tiers covering classes, bookings, payments, the roster and messaging, so compare those against their entry plan rather than against their top one.
Does somebody at your club spend Monday working out who gets paid?
Good fitThis is the clearest functional difference we found. AllSquads pays the club once a week for the week just gone, itemised booking by booking so it reconciles against the bank statement without rebuilding it in a spreadsheet, and an independent coach can be paid directly for their own sessions. On Outcoach's public pages we found payment collection, invoicing and a Xero sync, and nothing describing a payout out to a club or a coach.
Do your courts need to be bookable beside your coaching?
Good fitBoth do this now, so compare the detail rather than the tick. Outcoach shipped court and venue bookings in December 2025 with a court availability display. AllSquads keeps courts on the same roster as terms, camps and private lessons, applies the member rate to a court booking automatically, and flags a clash between a hire and a session as it is created. Try both with your own court grid rather than taking either page's word for it.
Is tracking each student's progress the thing you most want to fix?
Worth knowingThen look hard at Outcoach, because that is where it has invested most. Goal templates, skill levels, evaluations, weekly homework, competition results and video shared with parents are all first-class parts of its product, and we do not match that depth today. AllSquads is stronger on the money and the roster than on coaching pedagogy, and if progress tracking is your priority you should weight that accordingly.
AllSquads vs Outcoach
| AllSquads | Outcoach | |
|---|---|---|
| Getting paid | Players pay by card at the moment they book or enrol, the payment is taken inside the platform, and the place is held only once it clears, so no coach starts a term chasing a transfer. | Online payments and automated invoicing, with a Xero sync added in December 2025 and weekly recurring billing added in February 2026, so the collection side is well covered. |
| The roster | Courts, term classes, camps, private lessons and memberships share one roster, so a clash is visible as it is created rather than found on the morning it matters. | Recurring class scheduling with a calendar view, capacity control and a court availability display, with court and venue bookings shipped in December 2025. |
| Term and drop-in on one class | One class takes both: enrol for the term and drop-in is a toggle on that same class, so a casual player and a term family sit on one roster and one attendance sheet. | Term invoicing generated in one action that adjusts for public holidays, plus trial and general bookings; whether a single class carries a term enrolment and a casual booking together is not something its public pages state. |
| Cancellations and credits | A cancelled session issues a credit against the payer automatically under the club's own policy, visible to both sides and spendable on anything the club sells. | Makeup classes are a named feature and makeup credits show against a student's profile, so this is a genuine strength rather than a gap. |
| Reminders | Automatic reminders before a session and after a booking, by email and push, with the club choosing which events notify whom rather than anyone remembering to send them. | Bulk SMS, email notifications, announcements and a set of automated reminders on the mid and upper plans, with a notification centre added in February 2026. |
| Member pricing | Membership tiers carry their own rates and the member price applies by itself to classes, court hire and a Pro Shop discount, with one tier able to cover a whole family. | Memberships and subscriptions give access to facilities and sessions; whether a member rate applies automatically to a court booking is not stated on its public pages. |
| Waitlists | A full class takes a waitlist, and a released place is offered to the next person in order with their contact details already held by the club. | Waitlist management is a named feature alongside the self-service booking portal, so a full class is handled rather than left to a phone call. |
| Payouts | One payment to the club every week for the week just gone, itemised booking by booking, and an independent coach can be paid directly for the sessions they ran. | Paying a club or an individual coach out on a schedule is not something we could find on its public pages, which describe collection, invoicing and a Xero sync. |
| Court hire | Courts are bookable on the same roster as the coaching with the member rate applied, so one calendar sells both and shows one view of the week. | Court and room hire for practice, matches and training, shipped as court and venue bookings in December 2025 with a court availability display. |
| Comms and AI | A chat on every session for the coach and the people booked in, announcements filtered by tag or membership, and AI on both sides: a branded AI chat agent the club puts on its own website that answers questions and books from there, plus an Ask AI concierge in the player app. Email enquiries are still answered by a person; our email agent is published as Coming Soon. | Bulk SMS, email, announcements and group chats, plus an AI assistant with AI messaging, voice-to-text and business insights. Both products have AI and this row is not a gap either way. |
| Records | Attendance, payments, credits, memberships and payouts all queryable, with exports a treasurer or an auditor can work from at the end of a season. | Attendance reports, custom reporting on the top plan, finance dashboards, retention rates and deep per-student skill and goal history, exported live into Xero. |

How AllSquads compares
Seven dimensions where the two genuinely differ. This is the closest competitor on this site, so most of these are trade-offs rather than gaps.
Per student against a flat rate
Outcoach charges per student per month, cheaper again on yearly billing, and never charges for parents, coaches or admins. AllSquads charges a flat monthly rate for a tier no matter how many people are on the books. At a small roster theirs is almost certainly the cheaper bill; as the roster grows there is a crossover point, and past it a flat rate simply stops rising. Work out where that point is with your own student count, because no page can do that for you.
Where the published price stops
Their pricing page says a club scaling beyond about three hundred and fifty students should contact them for a special deal, which is honest and also means the published rates do not describe a larger club. Ours describe every size we sell, on one page, with the platform fee for a payout set by tier and published in the same place. If you are big, one of these two pages tells you your cost and the other tells you to get in touch.
The currency nobody named
We scanned every Outcoach page we fetched for a currency marker and found none: the rates are a bare dollar sign with no AUD, no USD and no GST content anywhere. For an Australian buyer that is two unknowns on the invoice at once. AllSquads publishes Australian dollars with GST already inside the figure and bills from that same data, which is the whole reason we will not reprint their numbers here without knowing what currency they are.
Getting the money out, not just in
Both collect well. AllSquads also pays out: one weekly transfer to the club for the previous week, itemised so it reconciles against the bank line, and independent coaches paid directly for their own sessions. On Outcoach's public pages we found invoicing, Stripe and a live Xero sync, and nothing that describes a scheduled payment out. If your admin pain is reconciliation and paying people, that is the half to test hardest.
Coaching progress, where they are ahead
Goal templates, skill levels, evaluations, weekly homework, competition results and video shared with parents are central to Outcoach and it has clearly invested there. AllSquads does not match that depth. We are built around the club's week and the club's money: the roster, the term, the courts, the credits and the payout. A club whose main problem is showing parents progress should weigh their product heavily.
Both have AI, aimed at different people
Outcoach's assistant is aimed at the operator: AI messaging, voice-to-text so a coach can talk rather than type, and business insights. The AllSquads AI is documented in our own help centre and is aimed at the enquiry: a branded chat agent a club puts on its own website where a parent can ask a question and book without leaving that site, and an Ask AI concierge in the player app that searches what is on and says when it widened a search. Agent conversations are kept ninety days and are not used to train models, and our email agent is published as Coming Soon.
Both Australian, differently Australian
Outcoach was founded here and works with Tennis Australia through AO StartUps, which is a real credential and not a marketing line. Its product surface, though, reads as international: no currency named, no GST, no school-term language on the pricing page. AllSquads publishes AUD with GST inside the rate, pays weekly into an Australian bank account, and treats school terms and public-holiday exclusions as first-class parts of a class. Both true at once.
Where Outcoach wins
This is the longest version of this section on the site, because Outcoach genuinely wins in more places than most. If any of these is your main problem, buy theirs.
- Cost, if your roster is small. A per-student rate at thirty or fifty students is a very small monthly bill, cheaper again on yearly billing, and parents, coaches, teachers and admins are never charged at all. Our free Coach and Club tiers are the fair thing to compare against their entry plan, and above that a small business will usually pay less with them.
- Student progress, tracked properly. Goal templates, skill levels, evaluations, weekly homework, competition results, lesson plans and video shared with parents are the centre of their product rather than an add-on, and we do not match that depth today. For a coaching business whose retention depends on parents seeing progress, that is the feature that pays for the software.
- Getting started with help. A thirty-day free trial with no lock-in contract, contacts imported for free, and for a larger business their team will migrate the data and run a free pilot on a few classes first. That is a lower-risk first step than most products in this category offer, ours included.
- Xero, live. Invoices auto-sync into Xero with customer accounts created under your Xero profile, which for a club whose books are done by a bookkeeper removes an entire monthly chore rather than easing it.
- Breadth beyond racquet sports. Music schools, dance studios, swim schools, tuition centres, gymnastics and more are all first-class verticals with their own pages and language. If your organisation runs several of those under one roof, a product built for all of them may fit better than one built around a sports club's season.
Independent ratings and verified pricing
Two sources a reader can open today, with the sample size in front of the score rather than behind it, because a perfect score from single figures is not evidence of anything. We have deliberately not quoted a Capterra figure: its Outcoach listing would not open for us on the date below, and a rating we cannot open is not a fact. Outcoach has no Trustpilot profile.
App Store
5.0 / 5
12 ratings
The Australian store listing. Twelve ratings is a very small pool, and Apple counts ratings rather than written reviews, so treat this as directional only.
Google Play
5.0 / 5
7 reviews
Published by Outcoach Ltd with more than five hundred downloads. Seven reviews is too small a sample to read anything into, in either direction.
No price is shown for Outcoach because its rates are published per student per month with no currency stated anywhere on the page, so there is nothing we can honestly convert or compare against a flat monthly figure. Read their model on their own pricing page and ours on ours, in Australian dollars with GST inside the rate, and do the arithmetic with your own student count. See pricing
Measured impact
Rounded bands from clubs that moved onto AllSquads from an existing system, not one club's numbers presented as a benchmark. Your week will differ; the shape usually does not.
- Monday spent working out who gets paid
- most of it goes away, because the payout arrives itemised
- What a good enrolment season adds to the software bill
- nothing, because the tier rate does not move
- Chasing money after a term starts
- close to none, because a place is held only once payment clears
- Places sold from cancellations
- more of them, because the waitlist offers them in order by itself
- Time to publish a term with the holidays taken out
- minutes rather than an evening
For this comparison in particular, the second line is the one to sit with. If your roster is growing, ask what each product costs you next season rather than this month.
Should you choose AllSquads or Outcoach?
Choose AllSquads if
- You have a few hundred students or more, and you would rather the software bill stopped rising every time you enrol another junior.
- You want a price you can read for a club your size, in Australian dollars with GST already inside the figure.
- Somebody currently spends Monday working out who is owed what, and you want it to arrive itemised instead.
- Your independent coaches need paying directly for the sessions they ran, without the club acting as a clearing house.
- You want courts, terms, camps, private lessons and memberships on one roster with the member rate applied automatically.
- You want the AllSquads AI answering the easy enquiries: a chat agent on your own website that books, and a concierge in the player app.
Consider Outcoach if
- Your roster is small, where a per-student rate is almost certainly the cheaper bill.
- Tracking each student's goals, levels and progress, and showing parents that progress on video, is the problem you are actually buying software to fix.
- A live Xero sync is the thing that would settle it for your bookkeeper.
- You run music, dance, swim or tuition programmes alongside sport and want one product built for all of them.
- You want a thirty-day trial with somebody migrating your data and piloting a few classes for you first.
Pricing: AllSquads vs Outcoach
Outcoach prices per student per month across three plans, cheaper on yearly billing than monthly, with no setup cost, no lock-in contract and cancellation at any time, and it never charges for parents, coaches, teachers or admins. Two things about that page matter for a club. It names no currency at all, so an Australian buyer cannot tell what the rate actually is, and it says a club scaling beyond about three hundred and fifty students should get in touch for a special deal, so the published rates stop describing you at roughly that size. Their page is linked below and dated; we are not going to reprint their figures, because a number whose currency is unknown is not a number a treasurer can use.
AllSquads is a flat monthly subscription per tier in Australian dollars with GST inside the published figure, with free Coach and Club tiers underneath the paid ones and Pro tiers above, billable monthly or annually, and the rate does not change with how many students are on the books. Every paid tier opens with a trial at full tier access; a card is required to start it, nothing is charged on the day, and cancelling before it ends moves the account to the free tier with your data intact. The free tiers never ask for a card at all.
Two fees exist on AllSquads and different people pay them: a booking fee the player pays at checkout, and a platform fee the club pays when its weekly payout is made, set by its tier. Both are published on our pricing page and deliberately nowhere else on this site, so a reader always gets the current figure from the place that bills from it. The only honest way to settle this particular comparison is to open both pricing pages with your own student count in front of you.
How to switch from Outcoach
Three moves and a first term. Export before you rebuild anything, and while you are in there, write down what your current bill actually is at today's student count, because that is the number this decision turns on.
Export your students, memberships and enrolments
Take the student and contact list, the active memberships with their renewal dates, and the current class enrolments out as a spreadsheet. Note who has already paid for the current term and who is holding a makeup credit, because credits are the part that is easiest to lose in a move and the hardest to reconstruct from memory afterwards.
Import the contacts and carry the credits across
Upload the spreadsheet as a CSV under Contacts, then Import. Imported people keep a record of where they came from and can be tagged and given a membership tier with its renewal date immediately. Raise each outstanding makeup credit against the person it belongs to; a credit raised against somebody who has not signed up yet waits as pending and attaches itself when they register with that email address.
Rebuild one term, then add the courts
Publish a single class with its dates, weekly time, excluded public holidays, capacity and both prices, switch drop-in on so a casual player can take a spare place, then add your courts so they sit on the same roster. One term is enough to judge it, and the courts are worth doing early because both products have them and the detail is where they differ.
Watch one Monday, then compare the two bills
After the first week of real bookings, open the payout report: one payment for the previous week, itemised booking by booking. Then put your old per-student invoice beside our tier rate at today's student count and again at the count you expect next season. That comparison, not a feature list, is what should decide this.
What to try in your first week
It is self-serve, so there is nothing to book and nobody to sit through. Five things to do inside the trial, each ending in something on screen you can judge for yourself.
Publish one term class with the school holidays excluded and drop-in switched on
The dates skip the holidays by themselves, and one listing shows both a term price and a casual price.
Add a court and book a hire against the same hour as a coaching session
The clash is flagged as you create it, on the same roster, instead of two groups arriving for the same surface.
Import thirty students from your Outcoach export and tag them as members
The member rate applies by itself the next time one of them books a class or a court, with nothing typed twice.
Cancel a session and follow what happens to the money
A credit appears against the payer under the policy you set, visible to both sides and spendable on anything the club sells.
Put your student count into both pricing pages
Two monthly totals you can hold beside each other, which is the only comparison that settles this one.

Other Outcoach alternatives to consider
If Outcoach is on your list, these are probably on it too. Naming them, and who each actually suits, is how a comparison page earns being read.
SportLogic (inTennis)
The long-standing Australian racquet-sports incumbent, with an on-premise option and no published price at all.
TennisBiz
Australian, priced by how many active customers you have, with make-up handling that is more specific than ours.
TeamUp
Capable class and membership software with its price published up front, aimed at studios rather than clubs with courts.
Momence
Studio and wellness software with marketing automation and a well-specified waitlist, and nothing for courts or payouts.
Punchpass
Simple, well-liked software for a single operator running classes, with no court side to it.

FAQ: Outcoach vs AllSquads
The honest summary
Outcoach is the closest thing on this site to a like-for-like comparison, and a page that pretended otherwise would deserve to be ignored. It is Australian-founded, it works with Tennis Australia through AO StartUps, it has courts, memberships, waitlists, makeup credits, term invoicing that skips public holidays and a real AI assistant, its progress tracking is deeper than ours, and it never charges for parents or coaches. For a coaching business with a modest roster it is very likely both cheaper and a better fit than we are.
The two structural differences are the shape of the bill and the direction the money travels. Their rate is per student, so it rises with every enrolment and their published figures stop describing a club past about three hundred and fifty students. Ours is a flat tier rate in Australian dollars with GST inside it, published for every size we sell. And on the way back out, AllSquads pays the club once a week for the week just gone, itemised, with independent coaches paid directly for their own sessions, which is the half we could not find on their pages at all.
So the decision is unusually clean. Open both pricing pages with your own student count, and if the totals are close, stay where you are. If you are growing, or if Monday is spent working out who gets paid, do the first week above and look at one payout report.
- Outcoach is Australian-founded, works with Tennis Australia through AO StartUps, and is a genuinely capable product. This page credits that throughout.
- It charges per student per month. We charge a flat monthly rate per tier. That single difference is what decides which is cheaper for you.
